How are some of the exact usage numbers higher than the unit usage numbers, for example the coke? You're using 1.8 litres, but the Exact Usage Cost is showing as £3.60? Is simply failing to factor in the size of the unit?
The exact usage is what you are 'short of' in each drink between stocktakes. So, in the Coke, line, you had 1 bottle in the first count, and 1.8 bottles in the second, but you purchased 1 bottle between counts, so you actually used 0.2 of a bottle, which is 0.2 litres. The cost of that is the price times by 0.2, which in this case is £3. The bottles bought in between the stocktakes might be confusing the issue, but I wanted to exclude them as if they are already purchased, you would have the costs for them (you don't have to use that column). The unit usage then just rounds them all up to whole units. I hope that answers your question.
@@Spreadsheetsolutions Are those number you are quoting not for the spiced gold rum line (row 11)? If you look at the Coke line (Row 12) the exact usage in column P is coming up at 1.8 (Litres) and the cost is coming out at £3.60. This is despite the fact the per unit cost for 2 Litres is £2.0?

When you copy and paste (using paste values) from cell F11 to cell L11 on the Prize Draw tab, it should show the details in cells Y10 to AS12. Please note that these come from the Numbered List tab. If you have only completed the Ticket Sales tab, and not the Numbered List tab, there will be a red warning in cell D7 on the Numbered List tab. You should effectively have a list of all the ticket holders (per ticket) in the left hand section of the Numbered List tab (which is where the lookup is done). If this is blank, you can copy and paste (using paste values) from the formulated section on the right (which comes from the Ticket Sales tab). I hope that helps.
Thanks for your comment. No, you'll need to use a spreadsheet per vehicle. You can simply make copies and use a different file for each vehicle. I hope that answers your question.

I tried using your spreadsheet. I filled out ticket sales and the numbered list tables populated correctly, but when I try to draw the winners via copy/paste(v) it keeps coming up blank.
What version of Excel are you using? These Basic Range spreadsheets are made for the latest versions, and sometimes don't work with older versions or other platforms. If you are using the latest version of Excel, we can check why it's not working. Thanks.
Hi Francois, my advice would be to put in like for like prices, either with VAT or without (whichever you prefer). If you're VAT registered and will claim it back, I'd put in the exc VAT price. If you're not, and you have to pay the VAT, I'd put in the inc VAT price. As long as you're comparing the same for each supplier, it will all come out in the wash. I hope that helps. Richard

The unit sizes on the spreadsheet are merely there so that you can remember what unit you used when you add ingredients to drinks. I have used Litres to make it easier, and as you can see, when entered 1 litre shows as 1.000. That means that 50ml would be entered as 0.050. So if you buy a litre bottle, and use it to pour 50ml shots, then do the following: On your stock list, enter the size as 1.000 Litre. Then on the drinks list, under ingredient - qty, enter it as 0.050 (Litres). This means that both values are in Litres (so that they can be compared), but the second value shows only 50ml, so the prices are correct. I hope this explains it.
