Super useful tips from Nina. Glad you were able to keep your train of thought throughout! I often lose my place with interruptions-- especially as a presenter, but also as a viewer-- and it can take a couple minutes for my brain to get back on track. You did great. Grateful for Nate's separate videos which also have good tips. Appreciate the lack of interruptions in his so I can focus on all the good stuff he's sharing without getting pulled out of the stream, so to speak.

Wow! I have been intrenched in learning how to use SharePoint for my small company and although I learn something from each tutorial I review, yours finally made some sense to me. I was able to set up a test document library. We are a 3rd party management company that manages Senior Living Communities. And we have sets of docs (P&P, Forms, Best Practices, Agreements, HR, etc...for our core company but customizable to each client to recognize and acknowledge their differences. Your video was so helpful...thank you. I sat tonight and actually set up some documents with the metadata system and it makes so much sense. Do you folks offer any consulting outside of your region? We would certainly be interested in getting some guidance from you to avoid the bumps I am sure we will run into that you have already faced and resolved. I need to learn more about permissions? Either way, I am grateful that I found your video. Thank you.

My greatest challenge with Sway is not being able to hyperlink within the Sway to other areas of the Sway. Our newsletter averages 60-70 headings a month, but there is no way to jump from the TOC to the various sections. Any thoughts on how else I can get out this level of content monthly in a more user friendly way?

Is there a way to attach a file straight from Sharepoint to an Outlook email, while you are in Outlook, without having to copy the link from Sharepoint, particularly if I would rather attach it as a document rather than share a link? You showed how to attach the file from the synced One Drive, but what if this particular file lives in a folder that you don't want synced to your OneDrive?
@MytechPartners
@MytechPartners 6 месяцев назад
Hi! When you are in Outlook, composing an email, if you click "attach file" it should give you the option to "Browse This PC", or "Browse Web Locations" If you choose Web Locations, you can then select the file from your SharePoint, and it will then prompt you to either add as a copy (which will create a separate version), or add as a link. If you add as a link, it will attach it to the email - and appear as a file, but it is really a link to the document in your SharePoint library. As a reminder, only those with permissions to that SharePoint library will be able to open that file. Hope that helps?

Thank you so much for putting these videos out - so much information to absorb! Two questions I'm hoping you can help clarify: 1: Do the columns for the metadata get created at a copy level or at a specific document library level? Wondering if the columns and tags would be the same across all Teams within the organization. 2: How do you use metadata across different Teams? You gave the example of a document being pertinent to two different teams - how do both teams access the document with it living in just one location?
@MytechPartners
@MytechPartners 6 месяцев назад
Hi - Glad the content is useful! First Question - The metadata columns are set at a document library level. Second question - this is where a shared channel with a document library could come in handy. We have a video on shared channels here: ru-vid.com/video/%D0%B2%D0%B8%D0%B4%D0%B5%D0%BE-fOWQKICtT68.htmlfeature=shared OR if the content should be shared organizationally - you may want to do a Communication Site that gives access to everyone in the organization. Here is a video on that: ru-vid.com/video/%D0%B2%D0%B8%D0%B4%D0%B5%D0%BE-697eJ90PXEk.htmlfeature=shared Hope that helps!

Yeah, meradata/tag-based file organization is smooth, but what if your file server contains half a million files organized in 100.000 folders? There's no way to assign whatever tags you might come up with to all those files. So what do you do, other than just moving everything as is over to SharePoint?
@RogueVeggie
@RogueVeggie 4 месяца назад
if you have any organization type to point to, such as file naming convention, you can use that as keywords/metadata. Then, a feature that regularly gets overlooked is Column Default Values. 1, create your keyword columns and folders to match the content you'll move into it. 2, go into the library settings. 3, look for Column Default Values. 4, In there you can set the default value for your keyword columns for each folder. 5, copy your files into the appropriate folder and each file will automatically be tagged with your selected metadata. After that, if you need to move the file elsewhere and the new location has the same keyword structure, the files will maintain their metadata as long as there is not a column default value set for the new location on the same keywork columns. Another option I also like to use is the Enterprise Keywords column. In place of or with the individual keyword columns. It reduces the number of columns I need and any new keywords I enter are automatically available for others to use when they add a document.

Hi Guys! Great vid! Quick question Ive always used a communication site sharing because i prefer the look and a while back an IT lad said it was better than a Teams site. im currently just setting up a new sharepoint communication site and my new boss is saying why arent we setting up a teams site instead and to be honest im not actually sure of the answer. Which is better for file sharing please?
@Stonecoldsidious
@Stonecoldsidious 7 месяцев назад
depends on purpose, if its internal to your department and files you guys use then you want your teams site, which is standard, the comms site is more for sharing to people outside of your team/department. HR is the best example they would have a teams site for working togetther on, (think old school shared drive basically), but then they have all the policies that employees need to read etc, thats the comms site

I am trying to avoid writing a PowerShell Script - is there a prebuilt tool that will pull in the documents in the current file folder structure & take in the metadate in the form of say a XLSX, CSV, JSON) I have over 300K docs that will neeed to be migrated in over 5 batches from 5 different and seperate M&A's. I see lots of migration tools on the market NONE say metadate or properties or any language hinting it will do whats needed. Short of scripting and iterating importing and adding all the available fields in PowerShell I am not sure what else can be done?

I ask you to help in a question of work with Sharepoint. Documents have been saved to the desktop through synchronization. If you accidentally delete a large number of documents and return them using the button, how does this operation appear in the system? Can it show in the system that the documents were allegedly resent somewhere, instead of being deleted? Is it possible to resend documents at once directly from Sharepont or do I need to download them first? Moreover, the computer and all programs are protected and only the administrator has full access. I am in despair, because they say that I transferred documents to an unknown destination, but I did not send anything anywhere.

This is a great video. I really liked how you demonstrated the usefulness of a Non-Teams SharePoint Site, especially for documents that are Read Only. This video was exactly what I was looking for to plan my migration. I immediately tested one of our SQL apps to make sure it could read files from SharePoint instead of the fileserver. (worked!). I have been hesitant to use the "SYNC" option and was only using the Create Shortcut, but after viewing your presentation, I see the benefit of using the Sync. For one, I was having a hard time with all these folders named "Documents". Also, I like the flexibility of "shortcuts" but I had to create far too many, and for internal communications it is untenable when giving a directory/path when everyone is using shortcuts instead. I am still concerned that the team might sync the entire directory to the local hard drive, which would crash the system. I will research the differences in how the data is sync'd between the "sync" and "shortcut" options. It could be there is no difference. What I saw, when you used the "Sync" option was that my directory naming issue of "Documents" immediately went away, and the naming convention was perfect.
