Hello! I'm Steve Knutson and I'm here to help you learn how to use SharePoint. I'll share videos demonstrating SharePoint, Power Automate, PowerApps and other Microsoft 365 features. In most cases the videos are based on real world problems my clients have asked about or some general functionality to help you get up to speed quickly.
I have over 30 years IT industry experience and have been a Microsoft MVP since 2017.

Can I add a copilot to my sharepoint communication site so that it can be linked to one of my teams in the MS Teams app So when someone asks a question, it can take data from the sharepoint page rather than a document in sharepoint?
Thanks for this Steve. The 3MB limitation is quite significant. Do you know if it is on the roadmap for this product line to be able to overcome that? I know this video was recorded a while back. Is this still a limitation ?
Thank you for this, really helpful, this is my first time using the Microsoft Automate, I have successfully created a user account however I cannot assign licences automatically as a part of this flow, do you know how this can be done?
Can Copilot read text that has been converted to a PDF as an image? If I am correct in my understanding, please clarify whether Copilot can process such text.
Does anyone have an idea as to when the connecting sharepoint functionality / authentication will work as intended instead of having to follow this manual process?
Great walkthrough. Copilot Studio doesn't allow for seamless integration with .aspx file format as seen in Sharepoint. Do you have any workaround for this for wanting to include +1000 Sharepoint documents in the Copilot's knowledge base that are .aspx format?
I can see that I kept writing the .aspx file extension in the URL, which is not supported. We also run on classic pages and have a ton of documents there, but might need to look into modern then
DUDE! Thank you for help! Scrathced my head for days guessing why does it show error about authentification... Turned out auto Authenticate just doesn't work
Yes, that is possible. This post my help powerusers.microsoft.com/t5/Building-Flows/Trigger-quot-when-a-new-email-arrives-in-a-shared-mailbox-quot/td-p/1579662
Hi There! thanks for the information. What would be the flow to do the same but pulling the file from Sharepoint. I am working in a project but it looks like we do not have the action convert html to pdf from Sharepoint :( any advice is greatly appreciated.
To do this you will still need to convert the file using OneDrive as I show in the video. You can "Get File Content" action to get the content of the file in SharePoint and then create a file in OneDrive using the Content from the first action, next use the OneDrive Convert File action to create a PDF file and then use the SharePoint Create File action using the content from the Converted file action.
Hi Steve. Thanks for the video. I have been asked to export an employee handbook from Sharepoint to allow someone to review it. The handbook is a series of webpages with a table of contents page. Do I have to do each page indivdually or is there some way I can supply a 'root' page and have the routine work through each page?
Hi Paul, I think this might help. I am not sure it will work with images in the page however, but it would be worth a try. sharepointstuff.com/2022/06/15/convert-sharepoint-pages-into-pdf/comment-page-1/
You need a Copilot Studio license. Cost is approximately $200 USD per month which allows for 25000 questions. You don’t need any per use licenses except & M365 license.
@@SteveKnutsonNZ does the developer/designer who needs to create and manage the created copilots require a Copilot Studio user license? That's the way I read it on the Microsoft site....
Does the copilot studio respect permissions within the sharepoint site when it recieves a question? For example document libary folders which are restricted to a list of users?
Permissions are delegated from the user making the request, and are restricted to the content they have permission to see. I still recommend using this particular solution with specific sites where you have control over the content.
This is a standard connector and doesn’t need a premium license. steveknutson.blog/2022/06/21/start-a-power-automate-flow-from-a-javascript-button-in-sharepoint/
It is possible to access the header image using an API call. This LinkedIn post has a step by step guide www.linkedin.com/pulse/how-send-thumbnail-sharepoint-page-email-microsoft-power-ka%C4%8Dena/
The refer file option is missing from draft with copilot box in all office 365 apps including word and ppt i want copilot to be able to refer other files and draft me stuff based of its contents. This feature would be mighty helpful for my work, can u help me with this please. as I explored I understand that you should get a button to attach file to make copilot refer files but its now showing for me! Thanks in Advance
In Word on the Copilot prompt in the document, add an attachment. This lets you generate content based on the attached document. Note in Word you can only attach a Word document. If you want to do this with a PDF file, then use the M365 Copilot (on the left hand app bar).
I've watched this video a dozen times while trying to learn SharePoint (I've only discovered SP recently...). And finally the penny dropped! Thanks, Steve :-)
An excellent detailed video. But I have a question here. When I create a label under FilePlan it says the label already exists. But I don't see any labels under fileplan or retention policies. It's weird not even allowing to create the labels from retention policy tab. Just keep getting labels already exists. But no labels are visible. How do I access those orphan labels or how can I see existing labels?
Copilot for Microsoft 365 was released in November. Currently the minimum subscription is for 300 users for 12 months. techcommunity.microsoft.com/t5/microsoft-365-copilot/copilot-minimum-licences/m-p/3949070#M338
Wow, Thank you Mr. Knutson! I've been looking for a way to do this without a third-party connector or software and this solution was fantastic and worked perfectly. I just need to fine tune the layout, I am not well versed in HTML. Also would like to name the file using a value from the list, like room location or something.
No longer relevant. Starting 4/2/2026 2:00:00 PM, SharePoint 2013 Workflow will be retired and users will no longer have the ability to run or create SharePoint 2013 workflows. Learn more.
Yes and it can use metadata to determine who approved the change support.microsoft.com/en-us/office/configure-page-approval-using-power-automate-14ce6976-a0a7-427b-b4ab-d28d344a5222
Oh dear, ,it's very hard to almost impossible to understand you. I'm sure the content is great and helpful but I don't understand a word (being German).
I haven't tried this, however there is some documentation here for the API calls learn.microsoft.com/en-us/graph/api/resources/permission?view=graph-rest-1.0
thanks for the video :) Is their anyway to ignore blank columns when generating PDF's? sometimes not all columns are used and i dont want that on the final pdf if possible. I know something can be acheived using an expression somehow.
You could use use variables to create each line of HTML e.g. <tag>label{column value}</tag> and then concatenate the variables to create the HTML format, checking to see if each column is not blank.
Great video Steve, loves the mindset and questions at the end. We often get tempted into solutionising with technology without truly understand what users think they need. Understanding requirements is a key to preventing waste and ensuring real outcomes are met.
