@Marquis Murray, the first 30 seconds you nailed everything I am thinking! Of the dozens of project management systems I've been evaluating, they all have a fatal flaw. That flaw is when I want to create a temporary project without having to manually email out tasks to outside team members, I want those recipients to just open up the sheet of tasks and see if they need to add a document or comment or task update. Everyone requires outside commentors to sign up for an account, even for free, but they must do that. In my profession, real estate, I have a set of tasks for every transaction. I interact with other parties, who are not required to update anything. They are only with the file for 30-60-90 days. A Google Spreadsheet might be a simple way for me to do this, but then why use Asana? Is there a way to share a Google Sheet of tasks to those people so they can edit the Sheet, but not have to get into Asana? I would like them in Asana, but I'd also be fine if they can just edit the Sheet. Big drawback on that: Sheets does not allow attachments as a dropdown in a specific column. So, still not ideal. Do you have any videos that address either of these topics? Thank you!
I’m so sorry for the late response. I can’t believe that I missed this very well thought out question. What changes have you made since posting this comment? I’m asked things like this all the time. Communication with external stakeholders can be tricky if we don’t offer them seats to Asana. Then there’s the topic of training these external stakeholders on how to use Asana. There are cases where a spreadsheet might be best. But understand that Asana is built for collaboration. That should always happen within the tool. I agree that this is a blind shoot for a lot of tools but it’s also a reminder of how true collaboration should work. Let me know what worked for you.
Hey Marquis, do you know how to sync asana task status to worksheet? so I have for example task statusses "todo", "in progress" and "done" as columns in kanban view, and want zapier to fetch those and order in subsheets (worksheets in mastersheet), accordingly. do you know how to do it? do I need to make one zapier for each and every move? or can I automate the syncing through one zap? thanks in advance!
Hey, I’ve never done that myself but it sounds like you’d need to setup a new zap for each of those movements. If you used something like Integromat, you could use if/then logic to do this as well. Hope that helps!
