Okay, you asked for our systems, so here goes mine. I was in an auto accident and suffered a TBI (traumatic brain injury). It left me with zero short term memory plus other memory deficits. That's the "spine" of how my organizing came to be. Stamp collecting started out minimally but when it grew I was in serious trouble finding things. So I gathered up all of my stamps and took them into my living room. I sorted them out on the floor, kind of like playing Solitaire--look at each one, what is the main theme of it and into that pile it went. When I got all done, I looked at each stack and decided what to call it, that is, what would its category be and then slapped a Post It note on it with that category title so I could create an inventory based on what I have (turned out that my categories are Action Elements (AE), Background (BKG), Birthday (BDA), Borders (BRDR), Card Bases (CRD), Critters (CRT), Floral & Garden (FLR)(Garden is what I think of for butterflies, bees, dragonflies, beetles, etc. which are usually with the floral stamp sets), Miscellaneous (MISC), People (PPL), Christmas (XMAS), Halloween (HALL). Once I got all my stacks stacked, I used 65lb Walmart cardstock cut to fit into acetate envelopes/sleeves--small, large, tall, extra large. On each white cardstock I wrote the company's name to the left and the name of the stamp to the right and slipped the stamp into its appropriately sized envelope. Then to the computer to create my inventory of those stamps/dies, etc. I don't have anything like AirTable so I use a Word document with tables to list my inventory (within that same document I have a table for stencils). My table headings are Column 1 "Brand - Name of Stamp/die"", Col 2 "Section" (this is where I type those abbreviations--i.e., AE, BKG, BDA, etc., Col 3 is Env Size (what size acetate sleeve is it in--S for small, LG for large, etc.) Col. 4 is Type (A for any occasion--AE, BKG, BDA, BRDR, etc. Col 5 is Description. In this column I type what you're referring to as tags but sometimes with more description, usually why I bought it, such as "perfect ivy or great pumpkins, "perfect for Helen". When I know I'll need to know, I will type in the size of it, usually when I know I'll be looking for tiny stamps/dies or giant stamps/dies). When I've typed the information into my Word document, I then take a "Multi Use label 1/2" x 3/4" and write the Section name on it--BDA, FLR, BRDR, etc., and stick it on the sleeve right under the stamp's name. My tubs have upright dividers that are titled "Action Elements", "Birthday", Borders", "Card Bases", "Critters", etc., and the stamps/dies are filed behind the appropriate dividers. All of this sounds like a tremendous amount of work and it is, but for my brain issue, the labels on the sleeves tell me where to refile it because my brain won't remember what section I had decided for it--and this is important because when I look for something in my computer inventory it will tell me which section it's filed under (as well as it's size because my bins are size specific (if all sizes were in one bin, the larger envelopes would block the smaller ones and hide them) so I can read the descriptions on the tops of the white cardstock in each sleeve) so if I don't put it back as I've inventoried it, I'll never find it. My brain cannot remember or even care what company makes it, I just want to get to the topic I want. I will remember that I bought a stamp that had pumpkins I loved so in my Word document inventory I just activate the search feature and type in "Pumpkin" and it will show me every entry that says "pumpkin" or maybe I want that stamp I had earmarked for Helen so I type "Helen" in the search box and it will find all stamps I bought with Helen in mind, etc. I'M TYPING ALL THIS OUT WITH THE HOPE THAT IF ANYONE ELSE HAS A "MEMORY DISABILITY" , a system like this--but maybe with Ardyth's computer program instead of a Word document," might help them. Also to say, "Don't let a disability stop you in your tracks, just figure out a work-around", if you get stuck figuring it out, ask your friends for their input and you'll get there.
Wow, wow, wow! I love that you shared this and how well it works for you! As I think about it I can see that a Word or Google doc could work quite well - I often forget how strong the search function is there. Thanks Ardyth for so many great ideas! I am relieved to know hanging up cutting dies is a safe storage method. Last year, I bought a 6-tier rotating tower (used in retail to display socks, etc.) and have used jewelry wire and tags to bunch all of my cutting dies (organized by brand) to free up shelf/cabinet space.
TFS. I have an amazing craft cupboard I call the TARDIS (Dr Who fans will understand). However the horizontal working space is only the size of a large desk. My cuttlebug has moved to the laundry as the bench is the right height for standing and it's easy to sweep up the rubbish. Watching your video has made me realise my two tubs of dies also need to move there. I also do extra die cuts when cutting - however they need to be more accessible then they currently are 🤦🏻. I always pick up some great tip from your videos
Thank you for explaining your set-up. I recently went through all my cards from the past three years, pulled out the ones I still liked, set aside the related supplies, then donated everything else to the women's shelter. I also got rid of all my inks except my full set of distress oxides. Definitely more enjoyment now that I've simplified my choices.
Me again - thanks for the great video. I am totally hooked on airtable since you first introduced me to it, but I still have to input quite a bit. I am also using it to plan card / papercraft projects and to collect ideas. The different results of using filters vs. search were news to me, that's going to be helpful!

Ha! My husband taught me to use a tool to retrieve items from under the cabinets, but your addition to the tool is sheer genius! I have a strong magnet, too, so I make that this afternoon. TYFS.

I also have been using airtable for a while and really like it. I used to put all my supplies on there individually, including inks, but I did find that I reached a point where it wouldn't let me add more records beyond 1000 without a subscription. 😊 I decided to modify what I included and took my inks off. You've given me an idea of entering the stamp/die sets as one entry - that would keep the number lower! Cheers Edith 😃

I’m in the mist of totally reorganizing my craft room, as it time too and it got to a point that I couldn’t even get into the room, I was in the progress of emptying the room, when I got sick… this was at about 3 weeks ago, I’m slowly recovering but can’t push myself or relapse will occur as it already happened. I was trying to figure out how to store my stamps and dies when I came across your video yesterday- well looks like I will be busier now. What a fabulous idea I have pockets and bins - all I have to look into is the magnet board and see where on my wall to place them 🤞🏻🤞🏻 Loving your videos and your tutorials on cards are some of the best ones I’ve seen-you explain and show how to do them and I greatly appreciate that I find I can follow so much better. I really like your new pocket storage. I too don't like that I can not keep my background and larger stamps sets in the same bin as my 4x6 sets. However, the thought of buying and sorting all those sets seems too big. Maybe I have too many?😅 I do store my sets by theme and for the most part that works. Thanks for the tour, lovely space!!

I love seeing your system. I recently changed to storing by manufacturer too and everything is stored in pocket folders with label in the corner. I store stamps/dies/coordinating stencils together and stand alone dies and stencils separately. I also store embossing folders separately, even if they coordinate with stamps, dies. I seem to use the embossing folders more if they are separate. All pocket folders with stamps and dies are in low sided baskets that fit perfectly in my cubbies. Then I have separate baskets that stay on my desk for dies, embossing folders, and stencils. I find if they are within reach I use them more. When new items come in, they are immediately placed in pocket folders, labelled and filed. If I run behind because I have a large influx for a workshop they are placed in a separate basket on my desk until they are "processed". I too have purchased a tabletop standing desk. I tend to use it more when die cutting, mixed media, and cutting card panels. Thanks for sharing your ideas.
Storing by manufacturers is best for me as well. All kit packs ducts together and AIRTABLE! Love all your new changes and that has been working well for me. Great video!

Loved seeing your studio. I recently started storing my product that has stencils or embossing folders that coordinate together. Originally I only stored coordinating stamps and dies together but I kept getting more products that had stencils and embossing folders, etc. so currently they are all in a large bin sorted by them. I will have to figure out what to do going forward as I tend to gravitate towards those. I mostly sort my stuff by theme EXCEPT for brands that I seem to always buy from: Tim Holtz, Lavinia, Colorado Craft, and so on. Although my sentiments are now separated into various themes (including all-occasion) as they were making each section too large to handle. See you soon!

Did u come to a decision on that? I have considered pulling apart the greeting sets I have to collect all birthday stamps, all thanks stamps, etc., but I haven’t acted on the idea. I, too, do this as a hobby, so there’s no necessity to keep the sets together. Maybe it’s a psychological thing. What considerations have you looked at? I am presently determined to UNmount the last of my wood block stamps; when I finish that job, I’ll make a final decision on breaking up sets.

I used your idea for dies on magnetic sheets on wall. I also use your method of stamps,dies,stencils together as sets and finally I have my stencils on rings on a towel bar on side of bookcase for stamp/die storage. I am a "retired" interior designer..(if there is such a thing) lol My problem was I am new to cardmaking and while I was anxious to organize I knew I had to wait awhile as I did not know how I was going to use my space..sorta the cart before the horse...MANY THANKS for all ur help over these last couple years...❤❤ I love your videos.
Your right about our craft rooms ever changing. I'm in the basement, but recently (this year) I decided to get product off of my tables. I managed to find some large filing cabinets and that has been huge for me. I also had the refrigerator bins with my stamps stored that way. For the most part they slipped right into the filing cabinets with no problem. I've always stored by company, mainly because I remember where stuff is that way. Probably my largest supply would be Altenew, Penny Black and MFT. For other companies, I just have a few, and they are stuck in willy nilly. ha ha I also have a magnet board for my most used dies and for sentiments. I don't like them 'hidden' because I forget I have them. I will have to check out the air table thing, that looks ideal, plus I would like to have a photo record of my cards. I've made hundreds if not a thousand by now and I've forgotten most of what I've done!
Sounds like we're very similar. I like things neat and tidy, but visible (not in closed boxes or cupboards) so I don't forget about them. Thanks so much for watching!
I started record keeping in a notebook way back when I first began crafting. I write down supplies and colors, put in the try outs I made and a finished card. I also date the full notebook and record the month I made the card on the page. More recently I have added the RU-vid inspiration where before I tore out the magazine page! It’s been helpful when I want to recreate something, to look back at progress, and to see the cycle in styles. I’m sure it would be more efficient and space saving to keep a picture, but I do enjoy this sort of a journal.
So glad that you have found what works well for you, it is inspiring seeing how other crafters organize. After the strokes, I had to rearrange in a way that required no remembering who made it or where I bought it, I have to see everything and I have to keep 'inventory' small. I don't really have a system, but it all makes sense to me and I rarely have to hunt for anything.
I’m using Airtable and still learning about it. I don’t have a lot of wall space as my room is a loft. I would like to put dies in a frame but right now they are in 9x12 mag sheets and in a plastic ticket holder. Then they are in a bin. Ty for sharing your ideas.

I love how well thought out all of your storage solutions are for the way you create. I really like your solution for word die cuts. The true test of any storage solution is whether it helps you as you create and it seems you have found ways to do just that! TFS. Two of the solutions that work best for me in my small space are: storing dies on magnetic sheets in 8x8 photo albums and storing projects that I would like to make again with an example, measurements and some of the supplies in plastic letter size envelopes that I place in a magazine file. My last solution is especially helpful when I need a card in a hurry.
Love this! You are so well organized! I also keep my stamps together by brand, but also have all of my Christmas sets in their own bin, as I have the most of those. They are still sorted by company too though. I don't necessarily do it by alphabetic order, but I kind of do. I have my most used/collected brands in one bin, and another for the lesser used ones, and Halloween themed sets. I will need another bin for my own brand soon, as I grow the items I have in the collection lol Always needing more shelf space 🤦♀Thanks so much for sharing your process 😁
I go back and forth on whether to keep my Christmas sets separate. I've tried both and ended up leaving my 'Nativity' (ie religious Christmas sets that I use for church Christmas cards) in my old pockets in a drawer, since they are for a very specific purpose and generally brought out only a few times a year. I'm in the exact same position! I started my Christmas cards this summer and still have loads to do. We moved into our house 2 years ago and although I was super excited to finally have a dedicated craft space, I feel like it was thrown together. After spending some time in that room, I've determined some changes need to be made so that I don't have to get up as frequently. I haven't figured out the solution, but I know that change is coming. It just can't happen while I have Christmas die cuts all over the place! 🫣😜 I think I enjoy organizing more than actually crafting! 🤫

I have spent 3 days pulling all my card stock and patterned paper from different areas of my room and going through all of it. .I’m sharing a lot of it with my cousin and a friend, to whom I am also giving some stamps. None of us will have to buy card stock or patterned paper for the rest of our lives. I made myself get rid of the tiny scraps that makers always say to keep It’s looking better but I still have way too much stuff. I use the clear envelope with a label on the front and store them in refrigerator bins by subject but have been considering trying sorting by company. Tim Holtz has 2 bins, but that includes steel rule dies that I still love.
I think the important thing is that you're able to find what you're looking for and not 'forget' about things - beyond that, there's lots of ways to organize - I love seeing and hearing how others do it too! Thanks for watching!
Ardyth- I LOVE your craft room setup. I’ve seen you on craft Roulette and I’m the one that commented on the fact that you turned me onto that wheel that you craft on so you can turn your objects without having to pick them up when you’re working on different sides of it like stencils and painting. I love that wheel. I can’t remember the name of it. But anyway, your craft room is awesome and I think I’m gonna try some of your things that you use as far as your storage of stamps dies. I may even try the app although I’m not very computer savvy. I watch all your videos so keep up the good work!

Wonderful video as always. You were the one to introduce me to Air table a few years ago and I’m still using it today. I don’t sort by manufacturer, but by occasions and seasons as Totally Tiffany’s organization does. I am about to reorganize my stamps, dies, stencils, embossing folders and sets again. Originally, I created a numbering system and had all those products mixed together. However, it really was t working for me. Now, I’ve decided to separate the stamps, et al separately, but still by seasons and Occasions. I just haven’t started yet as I know it’s going to be a long process. I will have to see how you label your tabs again to try to make it simpler. Thanks for sharing as always.😊

Hi Doris! It's never too late, you just might need to inventory your stash in increments. I just wrote out a way-long comment about how I do it. If your struggle to find things isn't too bad, just get your inventory started (I really like Ardyth's computer program), and tag your item to show you've entered that particular thing into your inventory. If you put your stamps and dies in acetate envelopes or sleeves, just put a sticker on the sleeve after you've entered it. Just do a few at a time and you'll get there. Good luck!

very pretty room Ardyth. I too keep my stamps in alphabetical order by Brand. I had bonders with stamped images as my catalogue, thought it was easier to flip through them, made them, didn't really use them a lot and when I gave away or sold a set I had to remove it, giving me way too much extra work

You're not the first to ask, and I have it on a list of topics to consider. But I can assure you that if you can use excel, you can use Air Table! lol! My columns are Manufacturer, Product Name, Product image (screen shot from the site I purchased from), Date purchased, product type (stamp, die, coordinating die, stencil, embossing folder), category (Sentiment, Floral, Christmas, Background, Image) and Tags (every sentiment and image). Hi Ardyth! I was really interested to hear that you use AirTable and the filter tip was priceless. I find the search system unwieldy. The question I have is if you are a paid user of AirTable. I'm just a hobbyist and though I've come up against some limitations of the program and would love to have more options, AirTable is just toooooo expensive. It is really geared toward companies who are working on thing as teams. They don't have any intermediate price point for someone like me who is nerdy enough to want to track all the cards I make and who I give them too as well as the products I have and even the what technique or product I used for a given card. Who can remember that stuff; not my aging brain! Anyway. Your craft room is a dream!
Thanks so much! I use the free version of AirTable, and am working hard to keep my list below 500 items. I totally understand what you're saying about an intermediate price. I am not currently aware of another program that does what Evernote and AirTable do for a reasonable price. I thought you could have unlimited bases, but only 1000 items on each one? @@ardyth Yes, I didn't plan well and combined my dies and stamps into the same base as well as several other supplies and so I have to export and re-import into new data bases. And all the accompanying pictures won't show up. But that's okay I guess because the picture limit was something I'd reached too lol. I wasn't paying attention to the 'size' and so need to retake pics to decrease size. Your video has gotten me re-energized on this. The result of being just a tad OCD I guess. 🙃 Oh, well, if I didn't have so many other crafty things I am doing or want to do, I'd probably be fine with it cuz I do like organizing things. Weird.

My system is a bit chaotic but mostly works, for now. I store most of my stamps by theme, in pockets if possible. But I have a lot of SU stamps which take up so much room and unless they are photopolymer, they have to stay in their dvd-sized cases. 😒 I probably spend more time organizing my stuff than using it, which is a problem in itself! I’m not sure why SU stamps have to stay in the case? If my red rubber stamp is cling, I cut a piece of clear rigid acetate to fit my pocket and stick the cling stamp to that. If the rubber is bare, I will either paint the back of the stamp with tack-it-over-and-over and stick it to the acetate that way or I will put a piece of double stick tape on the acetate and stick it that way. (I’ve gotten lazier as I age and learned from Christine Stokes that a smear of glue stick will hold a bare rubber stamp to the block long enough to stamp it!)
@@99zanne this would be an additional make-work project for me that I don’t need. I have far too many cling mount stamps, as well as wood mount stamps (which I’m not interested in unmounting), to be bothered putting in storage pockets. But if it works for you, that’s great. Everyone needs to find their own system. 🙂
Thank you so much for your ideas. I use a colorful life and love it. I’ve tried Airtable, but struggle to use it. But we all work with what works for us. But this was the best and easiest way for me to find things. I also just have my stuff organized by manufacturers, but I do keep my stencils and dies separate, unless they belong to a set. For now this works for me. I just have a huge problem with purging. I need to as I’ve ran out of room. And now have things on the floor which bothers not only me but the hubs. I just keep thinking I can’t get rid of something I’ve never used, or what if I get rid of it and need it later and can’t replace it? I’ve watched yours and some other purging videos, but you all seem to do it so easily and I guess I have issues. Help!
LOL! I get it! For me one big hurdle in destashing was recognizing that I wasn't getting rid of things because I don't like them any more. I still like them, but I try to be realistic about how often I would use them, and what would I do if I wanted to use that set but didn't have it. There have been a couple of instances where I wished I still had something, but I just go back to what I do have and figure out how I can get a similar look. There are 2 times when I have repurchased an item that I previously destashed. I figure in 15 + years, that's not bad. Good luck - remember that you're the only one that has to feel comfortable with how you organize things - what's right for you is perfect!
I would also suggest that you find someone to give the overflow to? I had a hard time, too, until my friend decided she wanted to do this hobby too and had nothing as well as a severely limited budget for art supplies. It made my heart happy to help her and it helped me to purge since I knew this perfectly good stuff I loved was going to a good home! Having done that, I have been so much more productive, and I have made a second pass through which reduced my inventory even further. Good luck.🍀

Hi Trudy - I think you mean the teal dividers - they were plastic folders I bought from Staples then cut down to the correct size (for my previous bins). I decided not to create new wider dividers - these ones seem to work fine.

Air Table looks very much like excel or google sheets - it's a grid, so if you are familiar with those, you should have no trouble with input. AirTalbe has more database capability and power once you get your stuff inputted. I do it by brand, same as my pocket system, but that's just how my brain works. Whatever works best for you is right. I can definitely see the value in maybe having all the happy birthdays together so you can choose the one that fits the card best. Thanks so much for watching!

mine are nOT organzied! I'm tryingt! I recently blocked off a crafting space (vs. quilting) and am trying to get all my treasures in there, in order. I'ts a VERY SLOW process!
I love Airtable and am so glad I learned about it from you. Do you use the free version or paid? I have trouble with my image files being too large and I run out of room for the free version. I have to try to figure out how to minimize the file space for each picture without getting frustrated. Any suggestions?
I use my snip tool to select the part of the photo I want and add that to Airtable. The difference in size is astronomical. KB's instead of MB's. I was running out of room, too. I did have to split my bases up as I kept getting to the number limit but I added a "coordinating supply" field so I know if I have any and I now use a different base for dies and stamps that have coordinating product or are stand alone.
I use the free version, and the photos I upload are 1080x1080. I have heard that there is a limit, but I haven't come up against it yet, so honestly, I haven't figured it out. The suggestion here about an image compressor sounds like a good one, and one I may need in the future too!
Thanks so much Ardyth, I love your room. My question is about Airtable , which I have been using with my dies and stamps and other supplies like Copics. I was also keeping track of crafts I have made and that is where I have run up against the storage limit. Currently loading those things into a Google Spreadsheet, which is fine but not ideal, to keep Airtable from off loading my stuff. Is it worth the $20 per month? Or is compressing the pictures the way to go. That sounds like a lot of work, lol. Thanks again!
Hey Ardyth, this is so weird - I get no sound on this video, whatever I try. The sound for the advertisement is fine, so it isn't a problem with my sound system, and all your other releases are fine, too. I tried all browsers and also watching it directly from your site, nope. Has anyone else ever had this issue?
Oh no! I recently changed to a new editor and definitely had sound issues initially because I didn't realize tha tI had some clips recorded in mono, some in stereo. I have changed my process so that everything is recorded on the same software and in stereo. I have no explanation and no other complaints on this particular video, so I don't know what to suggest.
