A tip from my therapist for when you find that you never get back to your schedule after scheduled breaks: remove those breaks; just do all of your tasks in a row so that you have the rest of your day to relax/break. Scheduled breaks work for some people, but not others.
I totally relate, Pomodoro never worked for me because a five minute break always turned into 3-5 hour break. Once I get into the flow of doing I'm best served to skip to another task when I hit burnout time. So study for 45 minutes, do the laundry, clean the kitchen, personal hygiene, do 45 minutes of contact work, exercise, than practice piano. The tasks are different and some are mindless AF, but it's perfect for a brain break while still 'doing' so I don't lose that initial forward moving energy. Your therapist is spot on, some of us just get lost in the break. I usually end up with two to three blocks like this through the day with hour to hours of 'break' in between.
@@jason_v12345 nothing wrong with that, the breaks are at the end. In dieting, instead of having one little dessert everyday it just means you have one decadent dessert per week only.
Mistakes discussed in this awesome video: #1 You're not adding everything to the calendar #2 You're not making planning a part of your routine #3 You're not being specific/detailed enough #4 You're not treating it as a to-do list #5 You're forgetting to add buffers #6 You go overboard on color/aesthetics #7 You forget your daily tasks #8 You're not flexible While I encourage you to watch the whole video since Mariana does an excellent job of explaining and going in depth of the logic behind everything. Hope this helped!
That is, you want to say, you need to add EVERYTHING right? For example, after I get up, I brush my teeth - even such small tasks need to be allocated space?
Adding tasks within events is a very interesting idea. I always left the tasks that were related to the events of the day without any time, and in fact there were very difficult days to compress all the tasks. I will try to organize myself by following your tips, thank you!
I love the idea of thinking of your time as a budget and being more consistent. Such a great way to get everything done more effectively. Great tips! ☺️
I absolutely love that your calendar completely mixes English and Portuguese. That's exactly how my calendar and my grocery shopping lists are! I write on whatever language I'm thinking in the moment. I feel normal now, hahaha!
Great video! Would love to see a follow up video on HOW you set up your Google calendar. Especially to see how you layer tasks over bigger events/projects. Thanks!
@@davidmerrill5604 You just have to create the task as usually and put the due date as when you want to do it, don't need to do something special for them to be able to overlap
All i know is that the first thing you need to figure out is your “sleep time”. Rest/ sleeping is easily the most important thing on your calendar. Personally, i figure out at what time i need to start my day, then at what time to i need to wake up to get ready and have breakfast so i can start my day, and THEN, i calculate the time i need to go to bed the day before so i can sleep 8 hours. After that, i always schedule something called “turn off all electronics” about half an hour before the bedtime. If there is one thing you should follow religiously, is your sleep time.
Mind blown! I never knew you can add tasks to events on your calendar and have them pop up like checklist items. I will definitely starting doing that. I’ve also been making almost all these mistakes so thank you for sharing! - Nelle r
@@tammimayson8059 So, you create the task and drag it over the event. But the task is not literally "in" the event now, is it? (If I just open the event, I won't see the tasks, right?)
I'm a champion time-blocker at work. I started blocking time for tasks (color blocked by task type) because otherwise, people will think my calendar is open and schedule me for so many meetings that I can't get any work done. I haven't carried the habit over into my at-home life. I have a toddler and an anti-planning husband at home so it's tough to create schedules around those two, LOL.
I find having routines, and changing the routine you have one task a week is what works for family stuff and toddlers can handle it too. It's tough for a month or so, but then life gets so much smoother. Even Anti-Planner Brains love going through routines. Just leave space for "spontaneity", for example, the routine could be "Anything Sunday", on which you don't schedule doing anything. At least it worked for my family, we do the big grocery shopping on Thursday, so I have mealplanning as part of my routine during the Thursday midmorning slump and my husband shops whenever he gets a break at work. I get schedule, he gets "spontaneity".
If I add everything in my calendar, I end up doing nothing. I tried that and learnt to add intentionally breaks but not get crazy with tasks because I do them anyway but without to force myself through a micro managed calendar. Just my two cents^^
I agree. It’s also important to remain flexible and not try to plan every second of your life. Just live your life and do the things you know you should be doing
i've experienced the same issue. the more i add, the less i do - and i think it's just naturally overwhelming me and makes me feel lost, confused and idk where to start and etc. (even if i time manage). but this video did mention flexibility - and i never thought of going that way!
I also use tasks inside events to make my calendar more efficient. As well, I add links/files to the relevant timeframe like syllabus, checklists, and so on. Nice hues on your calendar btw
Thank you very much, now I will merge my todolist with google calendar, I think the benefit is greater than having separate applications. Greetings from Uruguay 😎
thank you very much, it helps me a lot to manage my current tasks in google calendar keep going to make other videos like this, love it, thank you so much
Hello! I watched your video because I can't organize my time well for years and I wanted to develop my planner once again. Your video was perfect for me, because I've thought a planning should be so complex but I hope that would be effective! Thank you for your video and have a nice day!
Cara que vídeo INCRÍVEL, seu inglês é tão perfeito que eu só fui perceber que você não era nativa em 5 minutos de vídeo e era por que tinha coisas escritas em português. Parabéns!
I'm a few months late but this is an amazing video, super concise and great advice! Similar to other people in the comments, I didn't know you could make tasks within the calendar and check them off in the calendar itself! This is something I've been searching for in apps for a while but didn't know it was built-in in google calendar, thank you!
question, do you retroactively modify your calendar to match what actually happened and what you did? for example, instead of working from 8:30-9:30, it was actually 9:45-10:30. or do you include unexpected scenarios? e.g. got flat tire, changed to spare, drove home [delete planned grocery shopping outing]
Do you need to do that? I mean by all means delete and reschedule the shopping trip but this seems like it might not be the best use of your time? Just curious as to why. Not an attack.
I guess you have to do what works best for you. For me, it's enough to know I completed that task, no matter if later or sooner. But if you want a kind of diary or record of your days, I guess you should modify, so that at the end of the week you can look at it and see what you have done exactly :) About planned grocery store, maybe you should reschedule, because you'll have to do it eventually
Very good the tips at 3:54 I always have problem with events and the impossibility to put a to do like in task on it, but now here a smart way to solve the problem 😀
This is such a helpful video, I love google calendar! Quick question though, how do you make your tasks fit inside your events so neatly? For some reason mines always shift off to the right in a weird overlapping way.
I found that happens if you have the task too high up in the event. It's like Google is trying to shift it over so you can see the event info. I need a good chunk of time to put the tasks in the event. Hope that helps :)
In most cases, the first problem is related to your activities. You can prepare your plan and will not follow it. So even if you have a plan, you will not achieve the results. That's why you must understand that only actions can lead to a result.
Thank you so much for this quality content (as you always deliver!). I just wanted to ask how do you get those "out of office" and "appointment slots" options? I just have events, tasks and reminders.
Ótimo vídeo, Mariana! Tem me ajudado muito a planejar a rotina. Ótima pronúncia, também! Só percebi que era brasileira pelos nomes dos compromissos hahah Continue com o ótimo trabalho!
Hi, it's so good to say how productive methods that you gave us make me "wow". But I still can't find the way of moving tasks within an event like you did. Can you explain a bit please? Thank you!
Found this channel via a collab it did with a video game / history channel. Have been looking for a project management channel (that’s not like, official PMP certification type Project Management) because I really struggle with personal project management skills. Idk if I was just not searching the right words or what. Thanks for the content!
I've attended the workshop you had on google calendar blocking/tasking and it really changed my levels of productivity. Thank you. Looking forward to the WS next week.
Obrigada!!
Hey loved your calendar habilities!! Can you please help me how to create a calendar like yours? How do I add the routine and than the tasks .. like to be fulfilled with colors..
Weird question: In your calender, you can have the bigger task in the background and the "To-Do"s overlaying in the foreground. Idk if you use google calender, but if you do: How did you manage to do that? For me, it is always squished next to each other and looks way less aesthetically pleasing.
For everybody wondering about the same ting - I just figured it out! Settings - General - View option - untick the box "View calendars side by side in Day View" Welcome! ^^
I do add tasks into my Google calendar but I can never get it overlap with my time block event. It’s always get divided between the event and the tasks but never overlap like yours does. How do I do the overlapping?
Which app are you using? It looks like Google calendar but my Google calendar doesn't allow subtasks related to an event, only independent tasks? How did you do that?
Wondering which app this is (for crossing off the item) - i downloaded the Google Calendar for IOS for my phone and there doesn’t seem to be an option to show it as completed. Could it be for ipad maybe?
I've never ever make any of my schedules...2 years before I was in school in it was already planned and necessary to complete works..and in this last 2 yrs I'm just living on my less schedule...I wanted to make schedules but I didn't so now I'll try My best. Nd will focus on that🍻
Hi Mariana, I’m not sure if you read comments but I’m having a hard time viewing your February calendly. It just says “no times for January” and doesn’t let me look at February. I’m really interested in attending the next workshop!
