Add & Update Excel Data to SharePoint List using Power Automate | Excel Import using flow

Thank you very much for this video, excellent work! I have a large excel file (4000+ rows) that would have taken several hours for this exact method to update every row each day. In my scenario, only a few dozen cells change each day in the Excel Spreadsheet, so not every one of the 4000+ rows really needed to update each day. As a solution, I created a Data connection in my Excel file which pulls down the SP List. Then I created 3 Merges in PowerQuery for Excel, which produced 3 separate Tables. One table contains items that need to be "Added to Sharepoint", another table contains items that need to be "Deleted from Sharepoint", and the 3rd table contains items which need to be "Updated in Sharepoint". From there I used the concepts in Reza's video to create 3 parallel branches of "Apply to Each" in PowerAutomate: "Create item", "Update Item", and "Delete Item". Only updating the rows where a change has been made has worked flawlessly and only takes about 4 minutes to run each day.

Absolutely phenomenal. I was building a flow to talk directly to Salesforce via their premium connector but it was such a heavy operation (s) to get all the values ,etc. Then realised I could use Excel to talk to a preconfigured report in sales force which would give me the values I needed without multiple lookups and then to use this file to update SharePoint. Your video could not have been posted at such an appropriate time. It's gonna save me days of figuring out stuff. And I learnt so many new things. You are a genius and I thank you for sharing your knowledge to bring the rest of us (ok I am referring to myself) to about 5% of your level !

Really a gem Reza. Though it looks like a very simple and easy topic, I experienced that it is really very complex activity to import data from Excel to SP List. You have explained very complex part like adding multiselect choice fields, multiselect person field, date and time field with the classic workaround are really great. That magic of video editing that you do not have wait for delay action to finish running. BTW in my test tenant update file properties 2 action after 6 minutes delay ended with 400 error. Icreased the delay up to 10 minutes, flow ran successfully. Thanks for sharing 🙏👍

HI Reza, First of all thank you so much for making this wonderful video. I have created the similar automated flow based on this video to create or update the record on SharePoint list. I am stuck at update item condition. When I am using single line text column as my unique then it is updating but when I am changing it to lookup driven column the condition is always evaluating to true and creating new record. Can you please suggest if I need to add any additional condition to use lookup column as unique ?

Hi Raza, its an amazing video and really helped me a lot. I have 2 queries : 1. Multi choice field related question : I have a field called "Deliverable" which is multi-choice field and has values like : "Webcast : RPA & AI" "Online seminar : SharePoint online" "Offline training : Excel VBA" .... When creating a workflow, In the create item step, for "Deliverable" field I do not see these values getting listed. If my row in the excel contains value for this field as "Webcast : RPA & AI;Offline training : Excel VBA", though row gets created on SharePoint, the values for multiselect is not populated. In all items view of the list, I see that it shows value as "[{"Value":"Webcast : RPA & AI"},{"Value":"Offline training : Excel VBA"}]" instead of multiple values being selected. 2.Regarding hyperlink (url) fields : How do we update both Description and URL for a Hyperlink type column.

Hi Reza, your videos are really great, I'm just starting with power automate and SharePoint. Your videos are very easy to follow, thanks a lot for that. Now, I have a job tracking list where I need to calculate a deadline for the recruiter on each position. I have a requisition date column and a Time to complete column, I can calculate the final date pretty straight forward, but I need to exclude sundays from the calculation. I've even found how to exclude weekends, but I need to exclude only sundays. I'm very confused on how to do that, any advise?

Hi Reza, thanks for your video. It solved a big problem for me. However, I got a problem after loading data from Excel the way you describe. I have loaded some multi-choice fields with several options, and after that you can't filter with the second, third and so on options. Eg. if I have a multi-choice field with the possible values of A,B and C and I have an entry with A and B choosen, the filter only works on "A" not "B".

Hi Reza, this tutorial was great. But I am setting up a flow, to read from the same Excel file day, and I only want the new rows added to the Excel file to be pushed to my SharePoint list, and not the entire file. I have a unique ID, in the excel file. How can I prevent the duplication ?

Fantastic video Reza. Thank you very much - I built 2 such flows. 1 flow it works perfectly for me. Another flow has additional columns that need to be updated. When I run the flow, 2 fields from excel (which are populated and are in same format as others), dont show up on the list. They show up as null value. I have checked the settings, excel and other things that I could have thought of. NOt sure why things are not working.

I am working on project which for Quality Log Team is getting weekly report on Q Log which consist of EE job details and Error occurred in it. Even if I don't change the value on that column, the update flow fails. I would like to keep that validation on the column because users manually add values in the Sharepoint list, not only by buk update with Excel. Is there any way to also permit Excel import in a Sharepoint List with column validation? Or the only way to make it work is to remove validation from the list? Thank you so much in advance.

Hi Reza, Thanks for sharing this video really helpful. Question on the field Subcons where you created an array of multiple user claims by using the split functions and composing the array. However if your excel sheet had blank values for Subcons, the flow throws an error as it does not update null values to the Subcons field in Sharepoint. How can we update null values in that case? Please advise.

This video tutorial is really helpful!! Like my flows really works well. Apparently there's a flow has an issue, once I upload a file in drop-off library, it automatically change the status to "complete", even the column is set to "new" for every file created. Upon checking the flow, it was noted as succeeded. The problem was, there was no item created in the sharepoint list. Do you know how to troubleshoot this scenario? it is great to watch this video and apply for my flow, however, I got an issue with error "400" in step Update file properties. The message says that the file in sharepoint list is locked by my email. I dont know how to fix it, can you give me some ideas? Thank you

what about if the excel sheet is stored online and the flow with power automate is also online but the external data source that is populating the excel sheet online is an on site data source... I believe there is a limitation ??? So the since the users pc cant stay on all the time.. the document has to stay online.. and query the external data source " being a sql server or something of that nature External to the SharePoint or one drive or where ever the excel file is held... and we don't want to hold data on site anymore for the simple reason of availability and protection in the cloud ... So shitty position here ... lol makes me wonder though I was talking to Microsoft and they said the same thing cant do it online. ***********Update***************************************************************************************************************************************************************8 SO it looks like ill be using an online server on premises to manage odc files form an administrative standpoint. Then when they move the files to SharePoint the odc connection variables stay with the file... This in return allows to setup the solution in a better fashion than embedded.. with the secure store service. It still has the secure store service setup however now its more granular in what we allow and how we want to manege it. Looking forward to trying this tomorrow after i spin up the server and setup the secure store and all the azure apps. Good stuff again brother. Cheers!

Hello! Thank you very much for sharing so much knowledge about Power Automate! Your video helped me a lot in the last days. However, I think that there should be more clarity at the step where we create the filter to apply the conditional create / update item. In your video you say that the formula should be like this: field_1 eq 'item()?['[SID]Supplier ID (Vendor Id)']' where "field_1" is the SharePoint ID column and "[SID]Supplier ID (Vendor Id)" is the corresponding column in the Excel files from which I get the data. I used this and I kept receiving an error, searched all over the internet and I wasn't able to get a solution. What I did, on my own, trying to solve it, was to switch a bit the formula, like this: field_1 eq item()?['[SREG]Supplier (SM Vendor Id)'] So instead of putting the entire formula between ' ' put only the Excel column name between ' ' . Hopefully my comment will help other people who are beginners, like me, and get stuck on that step.

Hi @Reza This was extremely helpful. I have a similar use case as described on this video. I followed each and every step very carefully and wisely. But there's one issue am facing. Among all the columns on the excel and the sharepoint, it's just only 1 column which is not getting updated/created on the Sharepoint List Item. Rest everything is working fine. Not getting any errors also. Could you advise what should I do to fix it?

Another great tutorial Reza. Thanks . Our use case is in Australian formatted date / time . That is the excel file is copied over and I have to remind colleagues to only paste values into the template as I have formatted the date column for USA date time . If they forget to do this the flow fails as SP list expects date time input to be US format . Any suggestions within the flow so this can be accommodated ? Once again thanks !

Hi, just a question off the top of my head: once you have List updated after running the flow, can users modify Lists without running the flor through Power Automate? Or are changes only able to be made by running flow?

This works perfectly, except for one thing. I’m having issues with data that was already in Sharepoint being erased. I added the logic for each column you provided in the video. If there was info in Sharepoint, I tried to just update the record with new information. Need help

Reza, another great video. I ran into an issue when setting this up. In the Update Item action I am getting an error because the ID field is alpha numeric. In the SP list, I am using the Title column as the unique ID. Is there another expression besides this one that will correct this? outputs('Get_Items')?['body']?['value']?[0]?['Title']
