What does Apple Reminders look like as a GTD system?
And how does it feel for someone moving from either Omnifocus or Todoist? Listen to this episode to learn more about how Morten and Lars have migrated/are migrating from those platforms into Reminders, including:
- What lists they each use in Reminders
- What their pro's and con's are for switching
- How #hashtags can be used in a Weekly Review
..and much more!
Also, a quick reminder about the GTD Summer Camp 2023. All tickets have been sold, but get on the waiting list by emailing Lars (lars@vitallearning.dk) if you want to join. We look forward to seeing you there! More information at www.GTDSummerCamp.com

It's going to take less than 2 minutes. Quick! Hit subscribe to follow the video versions or open your podcast player, search for Vital Learning and subscribe there for the audio version. And your done! Good job ☑️

Terrifically paced conversation. Very refreshing after listening to the fast talking Americans.

So happy to hear that! It is indeed how we wanted to record it - a listener recently called it something ala “companionship in your GTD practice”, which I think sums it up quite nicely :-)

I would have liked to see some screen sharing etc, so we could see some stuff. also the intergration with notes, I want to intergrate across notes, i am setting up and I want to link to my projects. handling the project planning, and linking to a task list is somthing I am not yet able to do it. Thank you for the video.

Can't argue with you on the screen sharing part. The reason is simply that our background is the audio version of the podcast, so we're always very mindful not alienate them. But in this case, it certainly would have helped. As for linking Notes with Reminders, it seems that there's a bug right now on MacOS. I just tested and it doesn't work for now. However, I'm pretty sure it's a bug, as on my iPad it works just fine... So hopefully Apple will fix this soon, it's a pretty nice feature when you need to link things as you describe 😊

It is simple and easy on the eyes 👀

Yes, it really is. I even add the few folders I need as favorites, so I can also hide the sidebar - really trying to minimize what I see 😁

Not being able to put a list that has been shared to you, inside a folder really is maddening! We should report it as a bug certainly, probably an edge case scenario they didn’t test? Regardless I’m here as a long term GTD guy, wanting to move out of Omnifocus and use reminders for a more simple set up. Enjoyed this video, still finding my feet here!

I completely agree! I actually haven't tried it recently, but I guess it's still the case? Glad to hear that you enjoyed the video! I've been using Reminders for a while now and as we just mentioned in our most recent episode (GTD Tools Check-in 2023), we both still stick to Reminders 😊

Longtime podcast listener here from the UK!! Love the show and your English is perfect!👌🏻👏🏻I was torn on which channel to post to so lucky you! I have read GTD and listened to every episode on the podcast but here is my sticking point, maybe a question for the podcast…? when it comes to GTD and emails (outlook) I never see the emails go down… say I get an email which will take longer than 2 minutes and I will flag it to action tomorrow at say 10am. This handy flag will now automatically show up in To Do which is great to manage my tasks. where should I move my email to…? I do have an action folder in Outlook which is where it would generally go, trouble is I will be reminded about the task tomorrow in To Do (and outlook) mark it as complete in To do but to then go and then archive the email out of the action never happens….! So I end up with a load of emails that need to my brain thinking again…! I am on the road 70% of the time so To Do is ideal to keep track of key tasks but I always feel I am doubling up on my emails. iPhone user and windows laptop are my tools, any tips on this topic would be great, many thanks Jimmy Ps apologies to Morton…I will drop him a comment next time😉

Thanks so much, Jimmy! 🙏🏻 I’ll grab that one and drop it on our listener questions list, so keep listening and we’ll get to it 😊

I am not a GTD trainer, but I am an avid GTD practitioner. I wonder if the longer-than-two-minute emails could be dragged to an "action required" folder (3: organize), right after you define the next action (2: clarify). Then, try to create a habit to check that "action required" folder every day (4: reflect/review). For example, depending on how you feel at various hours of the day, you could decide that you'd like to check this folder as the last work-related task each workday, or perhaps the first one. Perhaps you might do it right after lunch, or with your first sip of morning coffee. This can be a time when you can archive the emails that you already replied to, and you might also choose to carry out some actions as you look through that folder (5: engage/do). Last but not least, it might be "GTD Heresy," but I turned my two-minute rule into a five-minute rule. It results in fewer email-related tasks clogging up my next actions list.

Hey Jimmy, It took a while, but we finally got to your question! It's covered in the listener questions episode coming out February 28th. I hope it helps and thanks again for your question 🙏🏻
