In #Google #Workspace, you can get in a situation where you want to create a new user in your #Admin #Console, but you will be surprised to find out that this account is being used by someone else! Most probably, that other unknown user will be the user himself that you want to create the new account for!
This case is called #Unmanaged #users. This is a common case for enterprises and large organizations who have users create Google accounts using their work email. Google does allow such behavior to happen through team accounts as well. This whole process does not require the intervention of the IT people, as the user will be asked to just verify his work email as a valid email address by a link that is sent to his mailbox.
Once the user verifies the work email, then the new account will have his work account as the user name, and then once you come and want to create a new user name for this user under your Google Workspace domain and admin console, you will find out about this situation.
Google has made it easy for you and any other Google Workspace admin to handle this situation. They have made the "Transfer Tool for Unmanaged Accounts". This tool basically allows you to bring in these accounts under your Google Workspace domain using one of 2 options:
1. Either ask the user to migrate his personal account - that have the work email as the user name - under your Google Workspace organization,
2. Or forcefully rename the unmanaged account into something else, so that you can then create a new account with the same old user name.
In both cases you will need to use the transfer tool to decide what to do. Once you initiate the process for the first option, the user will receive a notification that asks him to accept the transfer request to your Google Workspace organization. If they agree to that, then the whole account with its data will be transferred to your organization. If they reject that however, then your only option is to forcefully rename that account into something else.
