Except for he starts somewhere other than the beginning of the process. How did he get the Acrobat values (PDF TEMPLATE) into an Excel spreadsheet? That would be a better stating point instead of the 10 stories off the ground he choose to start from!!
Thank you so much Derek, I do appreciate that. I know some of my videos are more complex. I will try to keep them as simple and straightforward as possible. Love the feedback.
I'm not one to comment on videos, but this has been SUPER helpful! I have never done anything with excel or VBA before and this was a knockout explanation. I'm hoping to cut down manual input and boost continuity within our office and this might just be the perfect fit!
Thanks so much Jacob, I am really glad you enjoyed this and I appreciate your comments. I have another ones along the same lines as this in which you may find helpful right here: ru-vid.com/video/%D0%B2%D0%B8%D0%B4%D0%B5%D0%BE-6fot1T_g1dM.html Thank you for your Likes, Shares & Comments. Thanks so much. I do appreciate that. I will only email you new weekly videos on Tuesdays. I won't be spamming :) (also some people have trouble with emails so automated facebook chat works well too, to get your downloads and to get weekly new video announcements)
Excel For Freelancers: Thank you SO much for your useful tutorial! First time tuning into your channel and have subscribed! This solution proves very useful as I am filling out multiple PDF forms for multiple individuals! Thank you again! Keep up the great work! Be Blessed
Normally never comment on a video. Was trying to automate this process using the JSObject and couldn't for the life of me get it to work. Wish I had seen your tutorial before going down that rabbit hole. The applications for this are boundless. Bypassing the APIs and going right to simple inputting the data like a user would is genius. Thank you so much for posting this video.
HI Andre thanks so much. I have another one I recently did that is simpler and you may enjoy it here: ru-vid.com/video/%D0%B2%D0%B8%D0%B4%D0%B5%D0%BE-qeQmrADtFjw.html Thank you for your Likes, Shares & Comments. It really helps.
very well explained, Awesome Video for the beginner. this is my first time coding on VBA but it went well with your help. i was able to create a different set of variables which works well on my new project. Thank you so much.
This is fantastic. It really opened my eyes to the possibilities of interaction between excel and other applications. Keep up the great videos. Do you know if there is a way to use sendkeys with formatted font options instead of just black... i.e. red, or bold ...or both. Thanks.
Hi and thanks so much for your comment. SendKeys can be used perhaps you can if you use the same keys for the formatting however it does depend on the host application and how they determine the formatting. I hope this helps. Wow! Incredible video. I can see many applications for your coding. With a few changes from patient information into financial modeling I can visualize an incredible for reporting potential profitable projects. Thank you very much for this invaluable lesson/tutorial. Ruben
VBA has always been super intimidating to me. This video may be the best tutorial I have ever watched. The explanation was top notch and I definitely feel like I have the tools to apply this to my cases. Thank you so much.
WOW. That is really amazing. I am super happy to help and share. I also just started a new weekend series on VBA For Beginners, with a new video every weekend. Thank you for your Likes, Shares & Comments. It really helps.
Thank you for explaining what each step does and for the apostrophe tip! When I run the first check (around 14:10) I keep getting: Compile error: Sub or Fucntion not defined, for the OpenURL "" & PDFTemplateFile & "", Show_Maximized. I re typed the code from scratch numerous times but it keeps popping up.
I appreciate this video! Great work. A suggestion would be to slightly alter the code so that instead of writing a new PDF file each time, that instead, you save the template with the patient-appt date file name. That way, the form-based PDF could be forwarded to the patient for them to fill in any blank fields, and more importantly, give them the ability to edit any fields that might have incorrect information. OOPS - I just read the comment from Ruth Block a few comments back - and your reply that answers this need!
HI and thanks so much. I am glad you were able to get the solution. Since this video i have had a lot more ways to fill in pdf's, including this one ru-vid.com/video/%D0%B2%D0%B8%D0%B4%D0%B5%D0%BE-wI6nFlq9CS8.html I hope this helps and thanks so much.
Can you help me openurl statement ? when I put OpenURL "" & pdftemplatefile & "", Show_Maximized show maximized gives compile error: variable not defined. This erroe it gives on show_maximized highlighted
Hi thanks you will not want to use OpenURL (this was not a good idea by me) You an use Application.FollowHyperlink pdftemplaefile You can also download my copy, which has the FollowHypperlink code, using hte links in the description. (i hope this helps)
Hi and thanks for your comment. Instead of OPenURL please use ThisWorkbook.FollowHyperlink instead. Please see my sample. You can download this file using the links in the description above with either your email or Facebook Messenger. I hope this helps and thanks.
Amazing tutorial. Succinct and useful. I see you'd have to set you default printer beforehand, but that's easy enough to do when this is saving you so many keystrokes. Thanks for a great tutorial with downloads.
Thanks and I am glad you like it. I would try save the file using just your keyboard only to see what shortcuts are required, then you can transfer that shortcut to VBA using sendkeys
@@wadepritchard1283 in case nobody replied to your question after a year, one of his other video has exactly that. Use sendkeys for ''save as'' instead of ''print'' and keep the process the same
Hi you can use ThisWorkbook.FollowHyperlink along with the variable, and you also should check the long file name to make sure its correct. Thanks so much.
I know that this is an old video but it's new to me. Excellent. I've been using and programming apps on Excel for a while and I learned quite a few things on this video. I'm going to test this form right away.
Hi JG, Thanks so much. I was just thinking to redo this video next week but to add more 1) Start with a form that is not fillable, and also do it from scratch, starting with a blank worksheet. So it would go from: Static/Scanned in PDF > Fillable PDF with Fields > Automatically Add in Data from a table > Email, Print, Save the form All from scratch. What are your thoughts?
Thanks so much Noel. I will be setting up a shop so you can purchase some small Excel items (mugs, shirts, etc) I also have some products and courses you might be interested in here: www.excelforfreelancers.com/products-in-excel/
Great tuts here Randy. Btw, I was reading all the comments to find out whats the hot key for or the work around for Radio butttons with a yes, no and other options. Thanks Randy.
Hi Deither, usually its the spacebar to check/uncheck or select/unselect these options. (you can try it with your keyboard on your pdf) You would then use an If Then statement within VBA to see if a check is necessary and if so use a space such as If sheet1.range("A1").value = True then Sendkeys " " Sendkeys "{TAB}" Else: Sendkeys "{TAB}" End If Perhaps something like that. I hope that helps and thanks.

It's awesome, I've tried some of your tutorials including this one, n it's cool very helpful. Thank you. I've issue on saving the file, it doesn't wanna save into the directory n it goes to the next tab, typed the saved file name n overwrote the template itself

You are a great teacher! Just wanted to point out that VBA doesn’t allow you to declare a group of variables to be a particular data type by separating the variables with commas. For example, though valid, the following statement does not declare all the variables as Integers: Dim i, j, k As Integer In this example, only k is declared to be an Integer; the other variables default to the Variant data type.
Hi thanks for your comment. You can have different fill macros based on a form. So You have a list of form names and next to that a list of macros assigned to that form. You can then assign a form name to each Customer (if that is your data type) then as you cycle through your customers, you would know the form name used, and therefore the macro to run. I hope this helps. Great stuff. Really like how you explain every single step. Got yourself a new sub. A quick question. Would it be possible to create a subfolder(s) for the chosen "Save PDFs" folder, where each subfolder will be named with values from a single column? And is it possible to save each pdf (each row) to its own designated subfolder? Thanks
HI and thanks so much. Yes it is certainly possible. You could create individual Customer folders to save these documents, and do it all with Excel VBA. I show you how to do this in my Document Workflow training here: ru-vid.com/video/%D0%B2%D0%B8%D0%B4%D0%B5%D0%BE-4gIqZvR7RJo.html Also check out my Fill & Sign Document Creator here: ru-vid.com/video/%D0%B2%D0%B8%D0%B4%D0%B5%D0%BE-wI6nFlq9CS8.html
Thanks for your training. This is super helpful. I have one question- let’s say there are some checkboxes on the fillable PDF form, and I have yes/no on the excel template. What language should I use in this case?
Hi Helen, thanks so much for your message. In a PDF generally the space or spacebar is used to select a checkbox and a Tab is used to skip it. So you can add something like this If .Range("N" & CustRow).value = "Yes" then Application.SendKeys " ",True Else Application.SendKeys "{Tab}", True You can just adapt it for your workbook. I hope this helps and thanks so much.
Thank you so very much, I really appreciate that. Make sure you to catch my latest series "School Manager" in which I am creating an entire application from scratch in a multi-part series here: bit.ly/SchoolManagerSeries
@@ExcelForFreelancers thanks a lot. I am facing an issue with OpenURL function. It is giving an error when runnind it. Any advice on how to resolve this issue? [OpenURL "" & PDFTemplateFile & "", Show_Maximized] this is how i am writing it. do i need to define this function. Thanks a lot for your support
Hi and thanks. Do not use the Open URL but instead use: ActiveWorkbook.FollowHyperlink Address:="" & PDFTemplateFile & "" You can find this solution in the downloaded workbook as well. I hope this helps and thanks so much.
Another worthy tip for anyone interested, one of the reasons why SendKeys is discouraged is because with this methodology, it sends the keystroke to what's the active window, which can be disastrous for your macro. To that end, be sure that you enable focus on the application you are sending keys to.
Great videos, just got to the point of wanting to use, Excel to populate some PDF docs myself. I will watch next video as well. I learned Excel from watching RU-vid videos 10 years ago and when I worked for someone else they always said I was amazing on Excel. I don't need to impress anymore I just want it to do what I want. Ive hit subscribe as I don't want to lose your videos.
Thank you so much Stephen. Great to have you here. I create brand new applications and training each and every Tuesday so and a live chat every Tuesday during video release. Hope to see you there. Thanks again.
@@ExcelForFreelancers I will be back for sure, I have 22 PDF docs to autopopulate from Excel. I get my DATA from forms when we call a client we complete the form which then populates Excel, then I need to populate the docs which are all government docs. Thank you for your very helpful video! You can use an image field in a pdf form as well. Is there any way to have the macro fill in that as well? (With a picture of the patient for instance.)
hmm its a good question Sophie, I have not tried it, but perhaps it's possible. The way to know is this. Put away your mouse and see if you can add a picture with ONLY keyboard shortcuts. If it's possible, then write down all of the steps required, then write those steps in VBA using Sendkeys, and put in some Application.Wait lines to slow down the code as well. I hope this helps. Hi Sir, First of all a big thanks to making very powerful training videos for us. Sir request you to please release a short video for add and save a pdf file in vba excel. Thanks
Hey! Great video! It was exactly what I needed! Thanks! I do have an issue and it doesn't happen all of the time. After the save, it doesn't always activate the PDF Template to populate the next row of information. I have a feeling it is a setting in PDF, but I'm not sure. Any help will be GREATLY appreciated!
HI Lara, thanks so much for you comment. When there are inconsistent issues in an application like this they often have to do with timing. Sometimes things are skipped when it moves to fast. Awesome video! I'm new to programming and having trouble with the SavePDFFolder button. I've got the code typed in verbatim (with the range changed for my form) but when I click on the button it won't let me select a folder. It still wants me to pick a PDF like the PDFTemplate button. Thank you what you do! This is some awesome stuff.
Hi Cody, thanks for your comment. If you are using a different PDF Viewer the shortcuts may be different. Always do the steps with your keyboard first, making sure you have all the shortcuts right. Thanks so much for this! So helpful! Can I ask what the code would be if you want to just select 1 patient or person at a time to generate a pfd for? We have a large database of names and need only to select specific people each day to generate a pdf for. Thanks so much!
Hi Melissa, thanks so much and I am glad you like the training. If you wanted to send just the selected one, you would not need to run a loop, you would just define the selected row into a variable and use that. Great video, it helped me out so much. I have a question about the file if it already exists. What text would I replace "Kill" with to instead "Overwrite"?
H and thanks so much. You can use FileCopy OriginalPath, DestinationPath The destination path would overwrite the existing file. Make sure the existing file is in a closed application and not open on your desktop. I hope this helps and thanks so much.
Hi there :) , again thank you so much for this channel it's the best one out there *two thumbs up*. I have a question on whether it would be possible to extract data from a multiple PDF Form and transfer it to an excel file to make it sort of like a database? I understand there's already a video on that, however is it possible to do it without the Foxit software?
Hello Nor, thanks very much for your comment. Once the data is extracted it should be able to be used in any capacity, including a database in Excel. Congratulations for the video. very helpful. I am trying to adapt it to my need and I have a question: What if I want to export the date from excel to the pdf form? I tried but the date is converted to something else.

Hi, This is a lifesaver, thanks! I’m having issues getting the file name to change using Alt+N and saving. The code stops at the save as box. Please help
Hi thanks make sure you walk through step, by step using your keyboard before programming so you have all the right steps. I also go over it again in this newer video here: ru-vid.com/video/%D0%B2%D0%B8%D0%B4%D0%B5%D0%BE-6fot1T_g1dM.html Thank you for your Likes, Shares & Comments. It really helps.
First, thanks for this very helpful video! Second, a question. I have customized what I need to and it runs perfectly, however I need it to save as a PDF (not print to PDF) because it is a fillable form that needs to remain fillable after being saved. I've adjusted the code to run a "Save as", and have gotten it to the point where the dialogue box opens and it needs to enter the file name, however, it does not change the filename from the template, so it does not go any further. Any ideas on how I can get that filename field to populate correctly?
Hi Ruth, thanks for your comment and question. For the PDF to remain a fillable form you will want to use the API associated with the PDF. You can try this training which includes fillable PDF's as well: ru-vid.com/video/%D0%B2%D0%B8%D0%B4%D0%B5%D0%BE-6fot1T_g1dM.html
Great video Randy 👍👍👍 Can we attached the pdf file in the workbook itself and open it from there?instead of locating/opening it from a specific location. So you will only have 1 file instead of having two.
Hi Charles, I do not believe that is possible however if you upload your workbook to a web server the link can be static and users can open it from anywhere in the world. I hope this helps. Hi Calvin, make sure you clear the form right after all the fields are added in the first form. I have another video that walks you through the steps, you can see it here: ru-vid.com/video/%D0%B2%D0%B8%D0%B4%D0%B5%D0%BE-6fot1T_g1dM.html
While an older video, it is new to me and absolutely stunning! It helped me immensely! Is there a way to alter the code into a separate macro that would allow you to do the same thing but for an individual row based on a data validation drop down? Such as if this amazing program has already run, but you would update new/existing users into the table and would then only need to have it run for a specified user?
One of the best tutorial on how to fill pdf form with excel. Thanks!!. I have a question. Is it also possible to fill the pdf with different font or color ( defined in the vba code) ? If yes, how ? many thanks again
That would depend on your pdf software you are using. If you can change the font, using your keyboard only, you could them map out those steps in VBA using Sendkeys. Thanks very much.
@@ExcelForFreelancers The softwares used are both adobe acrobat and adobe reader. The vba code has to work with both of them. Unfortunately i cannot change the color with a sequence of buttons on my keyboard. The color and font are associated to the text field properties of the pdf. Is there other way to do it ?
This is great! I am assuming that a different .pdf file/form can be filled out with the same data (with changes to the VBA)? Also - your voice is very similar to Jim Halpert's (from The Office)
haha thanks so much Pablo. I will have to listen to him again. This would work with any fillable PDF form for sure. It takes a bit of patiene to get the coding and the timing just right but after that its easy. I do recommend slowing things down a lot using the application.wait now, so you can watch it, then speed things up. Keep in mind if its too fast, words may get cut off.
I can't begin to explain how helpful this video has been!!! Thank you so much man!!! You are a gem! Kudos!!!! However, I have one issue. I would be really really grateful if you could please share the coding for someone using Mac instead of Windows! PLEASE RESPOND. THANKS. I AM WILLING TO PAY TO CHANGE THE CODING FOR MAC
HI and thanks, I would hope Mac's would be the same, however since I do not have a Mac here to test on, I can't be sure. However there is no doubt we can help you with that. Can you post your question in our Excel For Freelancers Facebook Group here: bit.ly/groupexcel We have 50,000 Members who would love to help you with this. Thanks so much.
Hello, Thank you for your video. It is very detailed. I see that you are using the same form to create multiple forms i.e. you are closing the form only after you finish the loop. I am trying to add some more code to the base code as i want to append another page to the form. As my new append page is different for each form, i am looking for something that will close form for each line and will open a new form for each line. I am using your code structure with some edits. I was able to append page for 1 line.
Hi thanks for your comment. The best way to approach this is to put away your mouse and find the manual keystrokes that will allow you to do what actions you want to perform, using your keyboard only. Once you have those keys you can then transfer those steps into sendkeys in VBA. I hope this helps. Should you have any additional questions, please join our Excel For Freelancers Facebook Group in which we have thousands of Excel experts who can guide and help you with your Excel Questions. Just post your detailed question with code screenshots here:bit.ly/groupexcel
Thank you very much!! It helps me a lot to tackle the current problem that I am trying to solve. I have a question though. What should I do if I want to run this VBA only with the rows that I have selected? For example, I just want to run it with row 14. The reason I ask this is that I don't want to wait for the whole programme to run from row 5 to the last row each time I make a new entry. I just want to run it on my latest entry. Thanks again for your wonderful tutorial.
Hi i am so glad you liked the video. It's a great question you have. Assuming you were to hold down the Ctrl key and select various rows, then click the button, you could add some different code (instead of the existing For Next Loop) as well. Something like: Dim cel As Range Dim selectedRange As Range Dim SelRow as Long Set selectedRange = Application.Selection For Each cel In selectedRange.Cells SelRow = cel.Row 'The rest of the code here now you can use the "SelRow" Next cel
Thanks! It seems to be too early for me to ask you the question that I asked. Right now, I am stuck at putting your macro to my own excel and pdf form to use. I intended to only have a single text field to be filled for each procedure, just like your video. But I encountered a problem. There were multiple text fields being filled up by the same cell when I ran my VBA. It is like when you run your macro, the cell that shows the last name, would show up in the text fields of Last Name, First Name, State. The other text fields are not supposed to be filled as they should only be able to filled when macro ran the "Tab" procedure. Would you happen to know the solution of this problem? This could be a silly question as I have just started learning VBA. I hope I don't trouble you too much. Thanks again!
There is never a silly question. It's a bit difficult for me to know the issue unless I see the code. Perhaps just post your code right here, and i will answer. You can also join our private facebook group here facebook.com/groups/ExcelFreelancersGroup/ Post any questions and me and the group can answer :)
I have joined your group already. I have also found my answer which is totally not related to VBA. Thank you very much and please keep up the good work!
Hi, very great tutorial, thank you so much! I have one question. Would it be possible to have VBA remove certain text directly from the PDF if a certain column value is empty?
Hi and thanks, most likely you can if it is a fillable pdf. If you can do it with your keyboard, then you can use Sendkeys to mimic the behavior of the keyboard. I hope this helps and thanks so much.
This is the most valuable use of vba that I have found. Great job. I am running into one problem. I format numbers using ###,###. Zero decimals. When the amount is negative, it shows up as: -###,###. I would like to show it as (###,###). I'm not having much luck using the excel formatting rules. Any suggestions? Thank you.
Hi Robert, thanks so much and I am glad you like it. Excel formats would not help in this case since it would only format the visible value in Excel. You would want to use the format in VBA right before it is added in a pdf using either of the following lines of code Format(YourString,"(###,###)") Application.WorksheetFunction.Text(YourString,"(###,###)") You would want to use an If/Then statement so only the values you want formatted are added to the PDF and you would want to add this to the SendKeys command. I hope this helps.
