Imagine the following scenario - you're writing down your tasks for the day, or week, using a notepad, your wonderfully organised bullet journal or your favorite to-do app. As you add those items to your list, you feel a sense of relief: you're able to brainstorm exactly what you need to do to get to where you want to be. Chores, work or college assignments, tasks related to personal projects, and even some personal to-dos - they all go in that list.
But as soon as you stop writing, you immediately face several questions: where should you start? Is there a correct way to prioritise items in a to-do list? Will tackling a certain task in the list and leaving the others behind ruin your day? Why should you prioritise those items? Shouldn't all tasks get done eventually, independently of the order you chose?

This is my issue as well as someone with a 9 to 5 job, some A tasks such as steps in a major project are personally important to me and advance my career, but others I might see as low value busywork but which might be seen as important by others, such as updating annual goals, completing timesheets, etc. When you work within the structure of a company, you are not always free to set your own priority levels. Traditional workplaces treat most tasks as A - priority tasks, and only completing one a day will get you fired pretty quickly.

I am a fully ignorant guy in this topic so take it with a grain of salt. If you are depressed for other reason, which I am going to assume, I do not think putting more pressure is going to help you, I guess that makes you feel worse. At the end of the day, putting effort in for the average person is hard, if you are under a circumstance where that makes it even harder, maybe is not the thing to focus in nowadays. Trying to build habits around what seems to help depression may be a useful effort: daily walks, spend some time under the sun, exercise, trying to do something good towards other people. I believe people start feeling better pretty quickly after just implementing some of them. I believe the easier for most people is just: take walks under the sun and try to help a person or animal. For me animals make me feel a lot better and it is cheap. In any market you can get some packet for cats or dogs and just enjoy the cat/dog eating the food while petting him/her. Hope it helps in some way, and remember, we all go through shit, so you are not alone in this, you can do it!

She highlights the reality that depression kills your motivation entirely and can really paralyze you for weeks/months but she give tips on how to workaround that

I think the most important thing is to remember that any amount of progress is still progress. If you walk into the kitchen and remember with a pang that it’s messy, you will suddenly see an overwhelming amount of tasks. Personally I like taking care of whatever thing is most in my way for whatever I came into the kitchen for, and then try to do something that will help future me. Usually that means wiping down the counters and then starting the dishwasher. So deal with the now, do something for the future. Even if all you do for that messy kitchen is wash the plate you needed, (dealing with the now) you still managed to make it so that you can *do the thing you set out for*. Isn’t that kind of awesome?

Hi from India... I too struggling ..but when feeling such lethargy fir days together, I fix something small or even 5 minutes doing the task that s bothering u.. eg my project.... so I started kaizen way , taking embarrassingly small next step.. so I started switching in the computer , keeping it on for 10 minutes minimum..that made me start at least small action for exam0le writing. 5 lines abt subject/ chapter. Hope this helps u too. Love & light

This came at such a perfect time! I had been ricocheting between one big list (which seems to work more intuitively for me, and I always end up somehow slipping back to) and subcategory lists. But the multiple lists would just get lost, while the one big list could feel overwhelming. This seems like it might help me go with my preferred one list, but have a better sense of how to prioritize within it. I’m giving it a try! (Btw first time commenting but I always love your videos!)

En verdad explicas muy bien este sistema. En otros sitios llegaba a confundirme el cómo categorizarlas, pero tu vídeo me quitó todas las dudas acerca de este sistema. Definitivamente, lo usaré. Could these labels work? A) Must do B) Should do C) Could do D) Delegate E) Eliminate Or is the A category more about tasks related to moving you forward in life rather than those that MUST be done. Because getting groceries is a Must Do task but belongs in the B category because it doesn't move you forward in life.

I like your labels! Overall, I believe A and B tasks are things you must do, but A Tasks have a higher priority, as they a really high personal value. In case those differences are hard to distinguish, I would say A Tasks, when comparing to B, are usually more intellectually and creatively demanding.

Do you have advice as to how to make sure you still complete those C and D tasks? I like the way these are prioritized and actually think this is sort of how I already prioritize (though not so clearly articulated as in this video!). My struggle is I always complete the A and B tasks and then never get around to the C and D tasks because of the lack of priority. Some of these tasks like learning or reading a book or writing a message to a friend that I've been putting off for a year are hard to attach any kind of accountability to, so I don't know what to do about them. They just end up sitting on my list forever and it's so frustrating to look at, but there is always something more urgent and important I need to address on any given day than those tasks. Would appreciate any insight on how you avoid this problem!

I would recommend you always on your daily plan choose a small C or D task and commit to do it on that day. You could also try to do that C or D task before you get to do the A and B tasks, so you're holding yourself accountable because if you don't do it you won't be able to finish the urgent and important tasks (of course, only as long as you can still manage to do the important ones). Or, my last idea, you can set a time of the day or the week for "catch-up time". For a while, I always dedicated 30 minutes before dinner to do this kind of tasks I never found time to do (I cleaned my wardrobe, I filtered all the photos on my phone, I fixed some clothes...). It was a time I would otherwise spend scrolling on social media since it's the end of the day. I hope any of my ideas can help!

This method reminds me a bit of the Eisenhower Matrix somewhat. Though this method seems a bit more solid to me for some reason. I'm definitely gonna give it a shot.

How does this work for college students who have multiple classes? There might be multiple A tasks to complete in one day. Could you give an example of how you might organize class assignments? Also, if you never get to the B-C tasks, you could eventually end up going weeks without getting them done. How do you prevent that from happening? When do B-C tasks become A tasks? I look forward to reading your response. :)

Interesting concepts. I'm not sure I'd be able to categorize things that way due to the fact that I do everything at home and people get angry when I try to delegate, plus the fact everything seems immediate.

What about organizing tasks by context (where they're done), such as @Home, @Errands, @Computer? As recommended in GTD (Getting Things Done by David Allen)

Wondering about the cover you use for the notebooks (approx 9:04 in the video) and what brand it is? Not for the thicker Hobonichi planner but the notebooks, it has a pen loop on the side. Thanks for the excellent video as always!

The cover with the pen loop on the side is actually the Hobonichi cover I use, from a shop called Nobuku! I carry my Hobonichi there as as well as two thin notebooks. In 9:04 the notebook you’re seeing below the cover with the pen loop is an official pink Bullet Journal from Leuchtturm

If each task is getting a tag, wouldn't it make more sense to organize them by that? Even if it's one long list, it'd be easier to find an A task, B task etc if they're alphabetical.

Great video as always, Mariana! I enjoyed learning about ABCD(E) tasks, but it kinda reminded me of the Eisenhower matrix which you've talked about before... I understand they're not the same, but is the ability to delegate the main difference between the two? Or are there other important differences I should keep in mind?

Interesting! In my perspective, the Eisenhower matrix relies a little bit too much on the concepts of importance + urgency, which are not always easy to distinguish and prioritise accordingly. What is urgent? What is important? According to what? The ABCD system is a little bit more clear -- personally important (to your goals); bad consequences (overall). According to the Eisenhower matrix, Urgent and Non-Important tasks are supposed to be delegated, so I don't think that the existence of a delegation option is what distinguishes both systems. Overall, I think the ABCD(E) is a little bit more flexible, because the EM only gives you the option to do, schedule or delegate, but on a daily basis, I find it hard to apply. This is only my perspective, of course, and I would love to hear your thoughts on this!

It also feels to me like the two systems focus on different aspects of tasks; while ABCD(E) is sorted on why those tasks should be done (i.e. because it's important to my goals, because X thing will happen if I neglect them), EM asks what should be done next (i.e. it should be done, it should be scheduled, it should be delegated). I can see both systems being useful depending on the person's tasks or their approach.

Personally, it helps me a lot :) I had a huge tendency to add 15+ more tasks to my daily to-do list, even if I knew I would never be able to tackle more than 4/5 of them. This allows me to keep a steadier workflow and focus my attention on the most essential

Sorry, I realize that came out sounding critical but at the time I was pretty tired and literally wondering how this could not be overwhelming (to me), like what am I missing here? I think this is just going to be one of those things that my brain doesn't wrap around. There are things that I don't process well. I've tried a lot of systems over the years, GTD, the bullet journal, etc. Since R.C. has ADHD I had more hopes for that one. I can't really remember them all but I've been looking at a lot of planners and systems for inspo, not finding anything that worked as is very well, and making custom planners for myself for about 5 years, nothing has really taken yet. So my brain not wrapping around this is not surprising given how I have a hard time with most.
