Have you ever needed to sync SharePoint files within your organisation? If so, I will run through this today.
First of all you will want to login to Microsoft 365 via a web browser.
Once logged in, select the squares on the top left to open the app list, select SharePoint to open a new tab.
Form here either select or search for the site. If you have access it should come up.
Alternatively, if this has been shared with you then you can directly access it via a link sent to you by email.
Once on the site, select documents and then click the “Sync” button.
This may then ask you whether you want to open this in OneDrive, select yes and then it will start to sync. If you are not signed in to OneDrive, a box will pop up asking you to do this.
To access the files, open up File Explorer and select your organisation on the left. This will show all synced libraries on the machine.
Depending on the amount of files, it may take some time for them all to show. You can check this by selecting the cloud icon on the taskbar.
The files should also show icons next to them determining their sync status. A blue cloud means they are available when connected to the internet and a green tick means you are able to access the file even when offline. If it shows a red cross, this means there is a sync error. Select the cloud icon on the taskbar to find out more details resolve the issue.
You can also add shortcuts to your personal OneDrive from a SharePoint library so that you have quick access when you sync your personal OneDrive to your desktop or access it through a web browser.
What you want to do is browse to the site and go to the main documents library or go into specific folders that you want to add the shortcut to.
At the top, you will see a button that says Add shortcut to OneDrive.
Please note - If you want to sync specific folders then you can not sync the whole document library as it will create duplicates and when you go to create a shortcut it will fail and mention that you already have a shortcut there.
Now if we go back to OneDrive, once that’s loaded you should see the folders you have linked.
You will see a blue paperclip next to the folder showing that it is linked to SharePoint. If we go in the folder, we will all the sub folders listed also.
And that’s it!
