There were some things I didn’t quite understand about iCloud and I tried learning something via videos which were all over the place with their info and I just couldn’t watch but for less than a minute. So I decided to use iCloud for a while on and off and then stopped bc I was unable to understand and coordinate all those files I had “roaming around” on my different devices! But thank goodness that I serendipitously came across your video which clarified everything for me, EVERYTHING! And you did this in just a few minutes! You were so clear and easy to understand from the very beginning! Thank you so much! You saved me a whole lot of time, especially time spent on other useless videos! 👍

Thanks for the video. But Apple are such crooks😂 Also, the file management is awful. Why do I want MY photos, business and personal files scattered throughout Apple's various software folders? I dont. I want them in folders I create. Of course, doing it Apple's way complicates everything, splits up all your data deep in their files and folders and makes it very difficult to know you have all your data without staying with Big Brother. Their file management is awful.

Hi @ Keep in mind, you don't have to use iCloud just because you have an Apple device. I think it can be challenging to separate work from personal especially when it involves photos or syncing files and such. Most companies don't use iCloud, so my biggest recommendation would be to use Google or Microsoft cloud services for work and keep iCloud as personal. You don't have to have photos sync into the Apple Photos library either. You could create referenced libraries or have multiple libraries to keep them separate too. It can get a little messy though if you don't stay on top of file organization though! Thanks so much for watching! It’s not awful, if you know how to utilize it. I think it’s much easier than Windows file explorer.

Question: original files (photos/videos) are stored on the phone and are also saved on the cloud so I can access on my MAC and other apple devices.. if deleted from phone then they are gone from cloud. Is there anyway to move those files to MAC (more storage space) and still have access on my phone in order to have more iPhone storage space? Please and thank you

I echo others’ comments that this was the clearest and most complete explanation of iCloud Drive that I have seen. It was particularly insightful to have you switch Desktop and Documents on and then off - nobody else has explained that at all.

My problem is I can’t sync my Icloud (200g) on the IPad to my IPhone because the ID’s are different. I can’t use the same email or phone number on the two platforms.

You're exactly right @T.J.H. Art Studio! For the continuity and the ability to sync the same information from each device, you need to use the same Apple ID for iCloud. Unfortunately there is no way to merge an Apple ID. You would need to decide which one to use going forward and then sign out of one device and sign in with the same account. You can always export content and information out of one account and import into another account. I hope that helps clarify! Thank you for your continued support! You are much better getting external drives for all your back-up needs. I would not recommend iCloud for any kind of storage needs. It’s complex and unreliable unless you are fully trained in how to use it and have all the necessary support software

HI Joel, I have upgraded my iCloud storage on my iPhone and I pad, but I cannot get my iMac 27 to recognise iCloud, I am running HIGH SIERRA ON MY MAC, I have changed Apple ID loads of times getting verification codes, but my phone and iPad sink, no problem, could you suggest what is happening to my MAC

I have a larger iCloud Drive than local storage on my Mac mini and MacBook. I can I create a Time Machine backup? For example, I have 512GB drive on my Mac mini and I have 1.7TB on iCloud. Can Time Machine backup automatically by downloading from iCloud and backup locally to my external hard drive?

So in my Pictures folder within my home folder I have several Photos libraries. One of them is my iCloud photo library and that gets synced with iCloud. However what about the other photos libraries? They don't get backed up to the cloud if they live in the Pictures folders. So should I move these libraries somewhere where they can get backed up to iCloud?

Is the iCLOUD DRIVE also ideal for storing backups? How much data can I store on the iCLOUD DRIVE? Can I encrypt a folder in the iCLOUD DRIVE, so that anything I drag into it will be encrypted?

I'm a lifelong Windows user (and DOS before that) but just bought my first brand new 24" MAC Monterey 12.4 (the whole computer is in the monitor). I'm not 100% sure what you mean...the only thing I can think of is that when you turn on the option to sync Desktop & Documents, it has the two categories on the left side of the Finder and the colors are slightly different. I cancelled iCloud Drive because it doesn’t work as anticipated. ANY FILE MUST BE COMPLETELY DOWNLOADED BEFORE IT CAN BE USED.

Great point @Anonymous Donor! For the majority of files within iCloud Drive, you will need to download them in order to open and use them on a device. However there are certain files that you can edit directly from a web browser on a Mac, but 9 times out of 10, you'll need it downloaded along with an app that can read/edit the file. Do you use any cloud service that does do this? I'm also curious with what type of files you're working with for the most part. Thanks so much for watching! Some years ago, I de-selected to sync desktop and documents. All the files disappeared from my mac including my 60+GB vmware hard drive image. I could not copy the vmware image back to my mac, due to too little storage space … all the files were still on the mac but unaccessible in a hidden folder. No way back or forth. Oh boy (and girl etc.), what a mess.

I can related to the hassle and frustration @highlanderes! All cloud file systems can have their challenges here and there. If you de-selected the option to sync desktop and documents, it should have put a folder named the same as your Mac that has those files in there. iCloud Drive does have some limitations. Apple seems to recommend storing files 50GB or less in iCloud Drive and it recommends to avoid storing files like VMware files. I think the biggest inconvenience with iCloud Drive or any other similar service is that by default the preference is to MOVE files there and potentially lose them when I don’t want to use it, instead of copying and simply helping with copying files across devices, whenever i’m turning off iCloud Drive , the default action is to REMOVE files I currently have locally into iCloud Drive, as if by punishment, instead of simply leaving the device be, not everyone will always think of storing files locally or on an external drive, safe from the wrath of leaving iCloud Drive or similar services, my losing files that way before is one of the reasons for completely turning off iCloud altogether on all my devices and manually transferring files whenever I want to without the growing risk over time of forgetting how it works and losing files again. That said the video illustrates very nicely how it works

I have several computers, MBP, iMac and ipad. They are part of my iCloud account. I have the same documents and photos on these devces. Does icloud drive make duplicates from each computer?

Great question @david davidd! I guess it depends by what you mean by duplicates on each computer. I am in the same situation. I have two Mac computers, iPhone and iPad. They are all syncing the same content with the same iCloud Account. The information is synced and located on each device so from that standpoint it would have duplicates among all the devices, but they're not duplicates on each device. iCloud is designed to sync what you tell it to each device so you have access to it from any device you're signed into. Bottom line. If you are a smart person, stay away from apple file management. Just use the apps or devices as secondary helpers.

But if you're an iCloud Drive user and you sync with a Mac, Files is your only option, and can actually work pretty well. You're right though, if you use Google Drive for file management, get the google drive app and use instead of Files.

Great question @sashinger! So, it depends... Time Machine will backup files that are locally located on your Mac. iCloud has a feature to "optimize device storage". This goes for Mac, iPhone and iPad. The way it works is if you have this setting turned on, if you don't use a file for 30 days, it gets offloaded from the device and it only lives in iCloud. In this case, those files would not be backed up in a Time Machine Backup. You can find this optimize setting under the iCloud Settings on the device. I hope that helps! Thanks so much for watching! Is it possible, or better yet, I would I create an iCloud Drive for a business that I am a part of? Where would I start so that all the members (it's not a large group - less than 300) can access the drive and see the documents that have been placed there? Great question @Jeanne Rogers! So Apple does have a service called Apple Business Essentials. It is designed for smaller companies and gives you the ability to have management over Apple Devices in the organization in addition to creating users a Managed Apple ID, which essentially gives them iCloud Storage based off your plan. I'll link the website below for reference: Apple Business Essentials www.apple.com/business/essentials/ I will say that Microsoft and Google dominate the business market with online tools and storage options and Apple is slowly behind. Hi Joel, thank you for your videos. They are very helpful. I purchased the MacBook Air M2 as soon as it came out…a year after I sold my MacBook Air M1 after using it a few hours at most. My new MacBook sat unused for 3 months. Lol. I have finally begun to use it. I have had iPhones and iPads for years, but the Mac OS system is different enough that I have had much difficulty making the transition from Windows. Your videos are extremely helpful. I have two questions for you. 1. It seems like in one of your videos you recommended turning off both OneDrive and Google Drive, and having EVERYTHING, Windows based documents and apps sync with iCloud Drive. But I have not been able to locate anything since explaining exactly what should be “shut off” and what should be “left on”. I do have a Windows laptop as well. Question #2. I would really like the ability to edit pdfs. I like Adobe Acrobat Pro, but I think it’s ridiculous what they charge for one person who will realistically be using their software 2-3 times per month. It appears I may be able to do some pdf editing using Apple Books? But I’m guessing not enough. Bottom line, I have researched other options. Each article or video begins with hope that there are other options, but at the end I am left with, “unless I am willing to figure out workarounds, it’s Adobe Acrobat”. Before I bite the bullet and begin a subscription with them I thought I would see if you have any suggestions. Thank you!

Hi @Scot Stevig! I appreciate you and your kind words! I'm glad you're finally using your Mac! :-) Let's start with question 1: It's not that I recommend that you only and exclusively use iCloud. You can use any of the big cloud systems. Apple, Google, Amazon, Dropbox, whatever else. It's more about understanding what each has to offer. The reason I may recommend to turn off other syncing options is because Apple recommends to do that. I'll stick with Apple and Google as an example... Both have the ability to sync the directories/folders of the Desktop and Documents. If you have two different cloud systems trying to sync that same information, it can get confused and cause sync errors and possible lost files. So I recommend to pick whatever platform you have that works best for the hardware you have. If a user has all Apple Devices, my recommendation is iCloud. However if a user has a windows PC and an Android phone, their recommendation would be stick with Google. But even if there is a mixture, all cloud solutions are very similar so just use what you're comfortable with and what fits the needs. It's about knowing what you're using and how to use it vs just picking a brand. Question 2: PDF editing. So what kind of editing are we talking about? Do you need to markup up a PDF with annotation? Do you need to merge different PDF files? Do you need to make fillable forms? Do you need to highlight text? Do you need to convert the text and make it editable? Adobe Acrobat is very robust and offers a ton of features that the average user may not use. Preview is the built in App on the Mac that is the default PDF viewer. It has some handy tools built in, but it's not as full featured as Acrobat. So it really comes down on what you're trying to do. For simple things Preview really is amazing, but it's no Acrobat. Could you please explain the following: Although you explained and demonstrated the part about dragging "pictures" out of iCloud Drive and placing then back on your desktop, I didn't see anything discussed about the [ Documents ] folder. Currently the Documents folder is residing in iCloud Drive. How can one get THIS back in the Home Directory (without losing all it's contents) Can't the Documents folder exist in both places; (iCloud Drive AND Home > Documents)?

Hi @rogerbeltz2370! There is a setting on the Mac to sync your Desktop & Documents folder into iCloud. What it does is then move it from the native Home Directory to iCloud Drive. This allows these two folders to sync with other Apple Devices. You can turn this on or off at any given time. Unfortunately the folder can not live in both places. It's one or the other. Your message is much appreciated but I have to say that "part of" the reason I am having difficulty following your tutorial is the fact you must be working on a different OS than I am. The interface is much different than what appears on my screen. I am using OS 13.6.1 Ventura. If you are not familiar with the OS Ventura interface it's very difficult to describe the difference. Being a graphic artist, I am a "visual learner" and a "visual explainer". I have screen shots of what the Ventura [ System Settings ] look like but, of course there is no way, that I know of for uploading images to RU-vid. All I can say is as one progresses to the point of switching off iCloud Drive, a warning pops up saying: "If you turn off iCloud Drive, all documents stored in iCloud will be removed from this Mac" and beneath this: "Documents that have been uploaded to iCloud will still be available on other devices using iCloud." The user is given one of three choices; 1-Remove from Mac, 2-Keep a copy or 3-Cancel. Since I really don't fully understand the ramifications of this warning, I just choose, CANCEL. You tutorial does not go into further detail about switching iCloud ON and OFF so I am still left with a big question mark. (Macs used to be SO SIMPLE. Now I'm being forced to spend more time screwing around trying to figure out all these goofy things I get no work done!)

Thanks for this very clear presentation. I love Apple software and I use pages, notes, sheet, and keynote extensively. However, I found Apple’s file management inferior to Google when it comes to sharing files with the public. I’m writing a book containing a bunch of spreadsheets which, to my knowledge, cannot be embedded in a published pages book, and I have had to insert these sheets in Google drive link (avoiding internet sites and their annoying ads) for readers to download these spreadsheets. Why? Well for some strange reason publicly-accessible iCloud links expire after about one month. So I have the very strange situation of having Apple sheet files stored on Google drive that are only accessible to users with Apple sheet.

Fantastic question @Pedro Leitao! There is an option within System Settings/Preferences on your Mac under the iCloud settings that should say "Optimize Mac Storage". When this is turned on, it will offload any file/folder within iCloud Drive that has not been used/open for 30 days. Then the next time you try to open it, it will need to download the file (which will require internet) and then you're good to go. Keep in mind that at any given time, you can "Right Click" on a file within iCloud Drive and choose either "Download Now" or "Remove Download" This should allow help to keep more files in the cloud than locally stored. I don't have a video on this yet for Mac, but I do have one related to this same concept on iPhones and iPads. Hi @user-rp7eg4be9o! So the option to sync the Desktop & Documents folder is a choice in iCloud, it's not required. You can also create a folder just within iCloud Drive and share that to other users. However the only downfall is that they need an Apple ID to access it, which is kinda silly! I can’t find tips/help on how to keep files for offline use in iCloud. It’s been the main issue for me and I’m looking to move back to google drive now…for example i want my passport/ID and other important PDFs on my iPhone and iPad for offline use, but every few weeks it shows a cloud icon next to them…and that’s really irritating when I’m traveling and don’t always have Wi-Fi or data.

Great question @Sachiv Mehta! In System Preferences under your iCloud Settings, you should find an option that says "Optimize Mac Storage" Ideally you would want to turn that off because then it will keep the full contents of iCloud Drive on the Mac assuming you have enough space. If you don't it will offload to iCloud Drive Cloud. If you have it turned on, any file not used within 30 days will be offloaded to free up space. I totally get your point and it can be frustrating. I have folders for my IDs, my health reports etc that I want to keep always downloaded on my devices when traveling…how can I make sure that drive marks those as “always keep offline” - I can’t find this option anywhere!

Oh so just save it all on ICloud Drive. This is way simpler than it seemed. Can easily do school essays on iPad now. Just delete one drive and save them to ICloud Drive then they’ll be on my mac. Thank you so much

Great question @steven871! The email address that you're sending anything to needs to be an Apple ID. So for example if I share a file to an email address of joelfeld@gmail.com and that email address I have only used for Google, I would need to create an Apple ID with that gmail address in order to view/edit the shared files. Great question @davidhudson391! iCloud Photos isn't closing down. What is being discontinued was a feature called Photo Stream. Problem for me is I’m on my iPhone 98% of the time. I don’t have other Apple devices. I have a windows pc. With that being said my main email is gmail. If I want to send a file via iCloud Drive in my iPhone I can send it easily from my gmail email address. If I’m a windows pc and got to the iCloud web and want to send file I can only send from my Apple email address.

I hear ya @Marc P! A few things for thought. Keep in mind you're not forced to use iCloud. I would really choose the platform that fits best with all of your devices. If your'e primarily on a windows device, Google may be your better option. Also keep in mind that Apple does have an iCloud integration with Windows. Very clear, very thorough. One question that you didn't deal with: when files are synced, where are the actual files? Duplicated on each device? Only in the cloud? This is important not just for understanding where your files are, but for managing storage on various devices.

They end up everywhere where iCloud is installed and logged into the same user account. Example: You create a document in the iCloud folder. This doc will get uploaded to iCloud @ apple and the will become available on all your other devices. Also if you delete the doc on any device then it will be removed from every device and from iCloud @ apple. If you don't have a backup of the doc file at another place like a external drive you will lose this document.

hi Joel. great video - very helpful and clear. One issue I'm having regularly is keeping certain files ALWAYS DOWNLOADED on my iPhone and iPad - eg ID cards, passport copies, vaccination docs (we don't have apple wallet enabled yet in my country!). they keep going offline. How do you mark certain files to always be available offline (or when wifi isn't available)?

I agree with you @Jeff Bommarito! I think there could be way more options for different folder syncing. I can see the purpose of not syncing the Photos folder as I think Apple really wants users to store their photos within Apple Photos, and same goes for iMovie in the Movies folder. But you can always create as many folders as you want within iCloud Drive and not use the pre-built folders within the Home User Folder. Thanks so much for watching! I have one question - often work accounts use Office 365 environment i.e. Outlook, One Drive etc. Do you have any advice on how to reconcile the two? I still do an iCloud Backup, but never had to use it. Even when I get a new device, being that the majority of content is in the cloud already, and half the apps I've downloaded I don't use, I usually just setup from scratch. I think it's good for the user who may be traveling and something happens to their phone and they can just quick restore from a backup. Running out of storage will often be an issue for majority of people at some point @MCorpReview . The challenging piece about filling up the iCloud is that once that gets filled up to the top tier, you really need a plan of what to do next, and buying a new device always isn't an option for users. I think the best thing is to figure out what is taking up the space and either delete or move that data to a different location to archive it for safe keeping. Thanks so much for watching! Great question @Anton Sager! When files from your Mac get uploaded to iCloud, it still is locally on your Mac. If you delete it from your Mac, it will remove and delete it from iCloud. There are some things you can do however. Within the System Settings/Preferences, there is an option to "Optimize Mac Storage". This is located in the iCloud Settings. When this is turned on, it will offload any file/folder located in iCloud Drive off your Mac that hasn't been used for 30 days and in return free up space on your Mac. Also at any given time, you can "Right Click" on a file and choose "Remove Download". This will keep the file in iCloud, but free up the space locally on your device. I hope that helps! Interesting. Have you tried offloading files from your device or laptop, to the iCloud? For example, when running low on SSD, taking 100Gb say and copying it up to the iCloud, then seeing that it’s safely there, delete it from your device? That’s really useful for valuable files like video or something, your own music on GarageBand, etc? Thanks for the info, take care all.

Hi @sleekitwan! I would ask the question of what do you mean by "copying" to iCloud? iCloud Drive syncs one of two ways... 1. iCloud Drive. This pretty much mounts a network storage where you can move files to iCloud Drive. This then keeps them on you Mac locally for offline use, but if you delete it on your Mac locally, it deletes it from iCloud. 2. Desktop & Documents. There is a feature within iCloud Drive where you can choose to sync the Desktop and Documents folder. This acts the same way though. If you delete a file from your desktop or documents, it will then delete it from iCloud Drive. The key with saving space is to check the box to "Optimize Mac Storage". This can be found in the System Preferences or System Settings on your Mac in the iCloud Settings. What this setting does is say if you haven't opened a file on your Mac for 30 days and it's located in either iCloud Drive or Desktop & Documents (assuming you turned that sync feature on), then it automatically offloads the file to iCloud and frees up storage. It still has the file visually on your Mac and it will appear with a little downward arrow to download, but it frees up the space. You would never want to delete the file from your Mac and think it's safe in iCloud Drive, as the two sync and it would be deleted from both places. Thanks so much for watching! What I find confusing is what is the difference between iCloud and iCloud Drive? They both seem to mean the same thing - the means to sync and store content in the cloud. How can you have one without the other? Or why are there two systems for this?

I think of it like this. iCloud itself is the overall service from Apple that encompasses different tools and features like iCloud Drive, iCloud Photos, iCloud Notes, etc. And really they are now marketing it as iCloud+ So really iCloud is the service you subscribe to and everything else is just part of that package, if that makes sense. At about 28:54 you talk about saving a pdf Panera Bread menu. You indicate this is being saved to your phone & ONLY your phone. Is it possible to save this item where it will show up on ALL your devices? If so, how? I will say kinda....it depends on what you're syncing. iCloud Drive and Apple Photos can be optimized on iPads and iPhones so after 30 days of no use, it will offload the file to iCloud freeing up the space locally on the device. If you have iMessages or contacts or something, that can take up space too, but depends on how much you have. I have two video related to optimizing storage and freeing up space that may be helpful. Hi Joel, can I have one document on my iMac synced with my iPad and iPhone via iCloud Drive? I haven't activated the Desktop and Documents folders in iCloud Drive. Or do I have to copy that document to iCloud Drive and make changes to that document in iCloud Drive itself to see these changes on my other devices???? Thx!!!

Great question @jds4935! There are two ways to sync files among all Apple using iCloud Drive. Option 1: You drag/move files into the main hierarchy of iCloud Drive. This would be in the Finder on the Mac, or within the Files App on an iPhone or iPad. Or if you go to iCloud.com it will be there too. Within this main location, you can create as many folders as you want and anything you put here can be accessed by any Apple Device that is using that same iCloud account. This option will always exist if you're using iCloud Drive. Option 2: If you turn on the option for Desktop & Document Folders, what this does is takes the native Desktop and Documents folder for the Mac user account and moves them into iCloud Drive. That way anything you save to either of those locations will also be available on any Apple device using the same iCloud account. There's a folder with a cloud icon on it within iCloud Drive? Not sure what you mean by get rid of the cloud? You can sign out of iCloud and that would make everything in iCloud Drive disappear and stop syncing

Help, please, with a problem. I have 5GB of memory on my iCould. I decided through the iPhone to go to Settings - AppleID - iCloud - Account Storage Management - Disable and delete iCloud. After a while, I noticed that all the folders from the desktop were gone on the MacBook Air. There were files that were well over 5 GB. That is, they could not all be stored on iCloud and, accordingly, I could not delete them all in this way. Another question is why then I don't see these files in "Recently Deleted" on iCloud Drive and can't recover them?

You are able to drag an App from the Applications folder on your Mac to iCloud Drive @Randy Ranson. At first it will want to make an alias, but if you hold down Option on the keyboard it will copy it. I did it as a test and was able to still run the app while in the iCloud Drive folder. It will not work on an iPhone, iPad or iCloud.com. Perhaps another Mac if it has the same or similar macOS. I hope that helps! Thanks so much for watching! Hi! I purchased a second hand iphone 11 recently. But when I wanted to create an apple ID it shows "the maximum number of free iCloud account created on this device" prompt. I wanted to know if I buy iCloud+ subscription then will I able to sign in the device without the above quoted prompt?? Please help me 🙏

@@MattieK09Totaly agree. For example the photo app where it is impossible to move a photo to an album or Folder and where people have to use the File app. While one of the most common things to do in a photo app, for organizing photos, is to move photos to an album or folder.

I have all of my working files on a 16GB flash drive because I work between my MAC and the Windows laptop that I travel with. Can I do something to do away with the flash drive? Perhaps create a directory on my MAC with those contents. But, then how do I access and work with my files on my Windows laptop?

Hi @M Ja'fr Yirka! Well the OneDrive is part of the subscription that you're paying for, but last time I looked I think it was like $7 a month for m365 and 1TB of storage. They actually have a pretty good deal. Apple is $10 per month for 1TB of storage and they have all the free apps of Pages, Numbers and Keynote. I hope that helps! Thanks so much for watching! MS OneDrive is 1TB. Apple was nagging that iCloud was full. So I put all into OneDrive and disabled iCloud

Wonderful as always! Will you clarify for me: at 30:50 ish mac 1 gets desktop and docs unchecked in iCloud drive, then at 33: ish mac 2 after having desktop and docs unchecked and then turned back on... when you go back to mac 1 the folder that was created are on the desktop. I am a bit unclear. 34:04 Did that happen just through sharing or did the checkbox under mac 1 iCloud drive get turned back on.

Suppose something I upload through Mac into iCloud then it should appear and access through iPhone iCloud also locally on iPhone without internet. something like automatic download iCloud files on iPhone similar to Mac. e.g. All the iCloud files should be stored locally automatically..

From a new user perspective, Apple has confused everything. Files should have been "iFiles' Documents should have been" iDocuments" and photos should have been "iPhotos" Every common word should not be made into a specific app. It makes everything confusing. Even discussing or searching for anything brings confusing results. Plus, each app cannot see any other folders or files normally.

I can certainly see your perspective @dan raz! I think because the Files app supports not only iCloud Files, it also can integrate with Microsoft OneDrive, Google Drive, other network and cloud drives that they left it with just Files. Files is fairly new to the mobile devices and has room for improvement. Most apps can save to Files, but the integration of them all could always be improved. I hope that helps! I think you have a valid concern @Jwalker0075, but if we stick with that theory, then anyone could be at risk for any website or services used with an email address and password. That's why I strongly believe to have security measures in place like 2-Factor Authentication and strong passwords to help with that.
