Couple things! 1. Breakout rooms have been delayed to November (rollout starts mid-November and should finish by end of November): jum.to/breakoutrooms 2. I want to clarify some terminology confusion that's popping up regularly. A lot of teachers have been using channels in Teams as a great workaround for breakout rooms for months and even years (mainly due to the very long time it took to get actual breakout rooms in Teams). Even if you know these channel setups as "breakout rooms", they are not; at least not as far as the Teams terminology goes. Microsoft will always call them channels. Breakout rooms and channels are not really related at all. The channels can host conversation, files, announcements, and meetings. Breakout rooms can only exist INSIDE a meeting. Just wanted to make that clear because otherwise this video could confuse you a lot and I definitely don't want to do that. Okay, carry on!

Sorry - going to stick with Zoom. Office 365/Teams is bloated ugly mess. I'd rather stick with a technology that doesn't try and overreach itself

Is there a way for you (as the organizer) to get all participants back into the main room or must they (the participants) individually rejoin?

They can’t rejoin on their own, actually. All you have to do is click ‘Close rooms’ and they’re yanked back in. See 8:54.

Hey! Can participants move freely between rooms? Zoom just added that feature. Great for conferences!

Can attendees (students) in a breakout room contact the organizer (teacher) to request that the teacher come to their room or bring the student(s) back into the main room? I'm thinking that students need a way to ask for help if they are working on a group activity in a separate room.

Yes, through the main meeting chat or breakout room chat (organizer can see both). Best to use an @mention to get their attention.

In Feb. 2021, it is not clear how participants within the Breakout rooms can access Whiteboard. How can the organizer access those whiteboards after the meeting.

Just curious is preview builds in private previews similar to the preview build system for Windows and Office. I am in the 10k band in that program, and a major contributor. Is there a way for someone in my situation to get into an advance release program.

Not an expert on this, but I don't think so because I don't think Teams has the concept of "preview builds". The previews have everything to do with tenant and nothing (or little) to do with the version of the app you're running (since the app auto-updates so frequently you likely have a recent-enough version). The schools that currently are on private preview have access because MS set their tenant to have it. The public preview part aligns with targeted release, which is a setting in the M365 admin center you can set for the whole tenant or user-by-user. There are other preview programs that get you access earlier than public preview and I guess would be considered private preview (since they're invite-only), but they're not feature-specific. You get access to every new feature whenever it rolls out to whichever ring you have access to. Unfortunately this is sorta complex and I don't fully understand it. If you want to get into one of them, I'd look into the Technology Adoption Program (TAP).

202/5000 Very interesting, Matt, thank you! Is there also a possibility that the role of organizer will be transferred to someone else? Imagine that the meeting planner is not supervising the meeting himself? Or the organizer is ill and needs to be replaced by a colleague?

Very unlikely. Although at some point they may create a new role specifically for breakout rooms; not organizer, but maybe "co-meeting lead". I have no idea, though. "Organizer" has been a role for decades in Outlook and it's always been a nightmare when someone leaves an organization and you have to replace their meetings. If they haven't "fixed" this yet for those situations, I doubt they ever will.

It would be great if the organizer of the meeting could monitor all the breakout rooms at once. This feature is extremely important for elementary teachers because we need to be able to monitor little ones when we are conducting small reading groups or one one one instruction. Please let me know who should I send an email for this. Thank you.

to use breakout rooms do you have to have a specific 'team folder' already created in the 'team' section...to use breakout rooms?

No, breakout rooms aren't associated with a Team at all actually. Breakout rooms exist only within a specific meeting. I think a lot of people (mainly teachers) have co-opted Team channels and are calling them 'breakout rooms' as a (very good, in my opinion) workaround, mainly due to the feature taking so long to roll out. But Microsoft will never call a channel a breakout room; they are two very separate, un-related things. Very good question.

Hi, Matt! Great, informative video! I am a teacher who is looking to use Breakout Rooms; however, it is not safe for us to have students in a room and we cannot easily access that room. I watched a video on Channels where this is a feature. Do you have any insight on that??? @jumpto365

Channels can be a good way to organize groups of students for the long term, where they can have written discussion, share files, and kick off meetings in the channel whenever they need them. Thing is, you’ll never really get over the “must easily access the room” requirement. I think you can be in a maximum four meetings at once, so yes you can jump between that many channel meetings going on to keep tabs, but when you’re in one meeting it puts the rest on hold. So you’re still only in one meeting. And jumping between channel meetings isn’t really any quicker than jumping between breakout rooms. My advice on this is 1) get clarification from your administration and explain the tech (the rules may be in place without understanding of the limitations of the tool), 2) record the meetings as an incentive for good behavior “I watch all your breakouts after class to make sure everyone was behaving!” (whether you do or not I do not judge), and 3) incentivize use of the meeting chat, which you can keep tabs on without joining the meeting.

Classes start October 19, and I would like to use Teams with breakout rooms in my class. Is there a Beta Version with breakout rooms I could use until it becomes available? Do you know the official roll-out date for this version?

Great video, as usual. I am newer to teams so these help a lot. I don't believe I saw a question about this but you did mention this in the video. Now that the break-out rooms are not going to be released until December 2020, per the roadmap, I wanted to know how to get public preview access? Otherwise, I am stuck trying to have a meeting with 100 people in one chat, it is a daunting task.

As far as I know, attendees should be able to JOIN breakout rooms using Android and iOS. But not CREATE them as of yet.

Great video! Do we know if Breakout Rooms works with scheduled meetings? All of my school meetings have to be scheduled (admin made it mandatory), but I can’t use BR. I have the option in Meet Now, though.

No, not yet at least. You could join the meeting early and *create* the breakout rooms, but you can't assign someone to a room until they're in the meeting. MS says this will be a feature in future updates.

It does. Each room is like its own meeting and has an attendance report, transcript, recording, etc.

Based solely on the fact that breakout room participants automatically are given presenter status, I assume they can unmute themselves in the BRs. Haven’t tested though.

Does this mean that participants can't self-select which break out room they go to? For conferences this is a REQUIREMENT (breakout sessions). For example, I want to create 5 breakout rooms and then let people pick which ones they go to. Is that possible?

Very informative video thank you. Have you heard anything about whether the Presenter will be able to share a slideshow or screen with all the Breakout rooms at once? This is essential for most of my development activities which involve discussion. I have lots of work arounds for this at the moment but none are as simple as me just sharing my screen or PP with all rooms at once. It would make teaching and facilitating so much easier... If Teams cracks this before Zoom it would be a game changer!

Definitely not available now and not something I've heard on the horizon. If it's a one-off slide, you could always screenshot it and paste it in the whiteboard of each breakout room. Not ideal, but could work.

I am a teacher. I would like my breakout participants (students) to work on a shared project I create in MS Whiteboard. How can I give them access to the file? Let's say I have 7 copies of the same template and want groups 1-7 to work on their own copy of it. Is this possible?

Each breakout room gets its own whiteboard, which all attendees can edit and work on concurrently. I’m not sure about the copy+paste-ability of content from one whiteboard to another, but you could definitely test and look into it with two test meetings, to see if you can use a whiteboard you keep for yourself as a starter for each of the breakout room whiteboards. Whiteboard templates are on their way, but I haven’t seen any evidence of being able to create your own templates.

If I am not the organiser is there a way I can set up breakout rooms? (Is this function here yet?) Can you set for someone to be a presenter within a breakout to discuss a piece of work?

Only the organizer can set up the breakout rooms currently. Once someone is in a breakout room, they automatically have the role of presenter in that breakout room.

Negative. Live events are basically webinars. A few presenters talking to many (potentially very many) people. Live event video feeds are also delayed upwards of a minute so breakout rooms wouldn’t work anyway.

Hi there, Matt! I'm a university teacher and I see a great potential in breakout rooms as far as simultaneous interpreting classes are concerned. Is it possible, by any chance, to transmit audio or video files simultaneously to ALL breakout rooms?

Not currently, no. Though you could upload the file to each of the breakout rooms and have a room leader play/share the file.

@@jumpto365 With our MS Teams team we've figured out a solution: students should join the general channel where the audio/video file is streamed and join a dedicated channel (in pairs, for example) where they interpret it. It requires using a web browser and the desktop app simultaneously. What do you think about it?

No, every meeting only has one organizer (the person who scheduled the meeting). You can have multiple presenters but as of now they don’t have the ability to share breakout room management duties. Coming soon, according to Microsoft. More details: jum.to/breakoutrooms
