This is the kind of ideas I used to get distracted by earlier in my business in an attempt to control the chaos. But business is chaotic. Especially in the early days, you’re far better off embracing the chaos and rolling with the punches than trying to organise it neatly in your notion. Most likely you need more/better customers, not more control. And until you have so many customers the wheels starts coming off, you need to just focus on that.
From $0 to $1M you're absolutely right. If you don't focus on systems starting at around $2M you're unlikely to scale to $10M. If a $10M+ excitable business isn't your goal, then this video isn't for you, and that's ok. The beauty of entrepreneurship is we all get to chart our own paths. :)

Love you Ryan, but I used Notion in my business 6 years ago, and found it impossibly complex to run (even with a Notion assistant). More offensively, due to a technical glitch I was charged for THREE subscriptions concurrently and they refused to refund the two I didn't need and never used, and refused to entertain converting the subscription to a three-year commitment. I do not do business with jerks, or with businesses who hate their customers.
Man, that sucks. I'm sorry. Notion is far from perfect and I'm definitely NOT a Notion ambassador. It's just what works best for us, and all I'm ever doing is showing what's working for us.
I’ll have to add on to Ryan’s comment, but Notion has definitely come a far way since 6 years ago. I’d take another look/chance at it if you’re okay with it
