I'm trying to wrap my head around how this would be better than using the Airtable automations to send email. It will still pull in data from a specific record with less steps. Maybe it saves you from having to clear a field to write another email? I don't know this is a tough one for me.
For that specific example, it may not be better. However with the prompt (interface) option, as well as the more advanced logic options, it allows for more robust and advanced use cases. This was only an intro video, but we'll get more complicated in future vids
I watched this video ages ago and I finally got around to testing this out myself. One big question - how can we authenticate the emails that are being sent this way so they don't get marked/ flagged as spam when emailing partners or other contacts. Thanks!
Great question - as a general rule if you are working an email campaign then the best approach is to use an ESP like Mailchimp, Constant Contact, etc. However, when email is part of your operation and/or process, then I like to use this type of approach. You can integrate the automation so that the email comes from your actual email (Gmail, Microsoft, etc.) It's possible that any email can be marked as spam, but if you're sending legit operational emails to your clients, I can't imagine people who have paid for your service would flag you as spam - they want and need your emails in order to fulfill their order!
The way to share these with teammates is actually pretty simple and you can include onboarding steps for them. We'll definitely do some videos on this in the future!
So much potential here! Is there a way to add optional pre-written text blocks to the email? We regularly do intake calls and then follow-up with potential clients with some boilerplate descriptions of possible services. We've been working on an automation that let's us build these emails (ex: send client A services X, and Z, but not Y). If this all happened through this automation that would be amazing for our workflow.
Totally possible. In the interface step, you can add a "single select" option. Depending on the option picked, a specific template could then be submitted. Cool idea!

You can add a button to a record, or to a table. The actions the automation can take are dependent on which button you start with. A mail merge may be possible at the table level, although I haven't experimented with it yet. I'll work on this for a future video if it'd be helpful!
I'm still trying to think what makes it a better option to the use case in your video, compared to Zapier/Pabbly. I personally use Pabbly, so 1) I can create a new vision (not sure if this is the right term) inside Airtable filtering the records I need to send email to, and 2) I can connect other 3rd party apps like openai API to even make the subject/email etc even more automatic. In conclusion, Pabbly can do what you show in your video with more flexibility? Would love to hear your thoughts.
Hey Gordon, I haven't used Pabbly, mostly because they don't have a subscription model which makes me suspicious that they don't have a sustainable business model.
