Setup Outlook to access Gmail via IMAP

This tutorial will show you how to access your Gmail account in Outlook 2007/2010/2013 using the IMAP protocol (as opposed to the POP3 protocol)
UPDATE: Google are always changing their security requirements and recently Outlook (all versions) was affected, so if after following this guide you keep getting a password prompt, visit the Gmail article My client isn’t accepting my Gmail username or password ( support.google.com/mail/answe... ) and do two things (1) activate the Unlock Captcha and then (2) enable access from less secure apps. You should now be able to follow this guide and everything will work fine.
IMAP is great when you have several devices or PC's accessing your Gmail account as the messages are actually stored on the remote server and Outlook (or other email client) simply syncs with the server. This means messages don't disappear or end up in strange folders :)
All you will need is the following:
- Your Gmail email address & password
- Installed Microsoft Office 2007/2010/2013 with Outlook
- Pen and papers for taking notes

thanks Ric I just came back to your tutorial to warn you about my problem with Outlook requesting the password again and again. Then i clicked on the 'show more' tab and all was revealed....now working fine but would be helpful to include an addendum on the video as would have saved me a couple of hours trying to find the fix ! But thanks in any case as the tutorial was very clear up until final click where i did NOT get the 'congratulations' window!

Hi Richie- great video. All these settings worked on my system and I'm up and running. Thank you. But, I do have one follow up point to make, and a question... So I took it a step further (because I don't like seeing two inboxes in my navigation pane) and went back into More Settings, and then to the Advanced tab, and under Folders I made root folder path: inbox. That got rid of the excessive redundant list of folders in my navigation pane. However, now my sent items (sent from Outlook) do not show up in my sent items. They do show up on line in my web-based gmail sent items, but not at all in my Outlook sent items. It's driving me crazy. I've gone back in and double checked any related settings (including unchecking "do not save copies of sent items") but they still do not populate after sent. This seems to be a recent change. Last month they populated in there just fine... Did google change something? Or did I just do something wrong when I set this back up? Please advise- I'd really appreciate it. :-) Arctic Joe

This is a great tutorial, thanks. I would like to do the opposite : read my outlook mails on my Gmail. Would that be possible following the same steps?

Hi Alain, thanks! Doing the opposite of this guide to read Outlook emails on Gmail wouldn't work, but you could *forward the emails from Outlook automatically* (see this link: www.technipages.com/automatically-forward-email-outlook ) but that will only work when you have Outlook open. The best way would be to have both Outlook and Gmail access your *POP3 account* (see this link: support.google.com/mail/answer/21289?hl=en ) or you can also forward your emails from your POP3 account to Gmail too. Hi Alain, I would recommend having Gmail access your work server via POP3 as it would all work far better (see this link: support.google.com/mail/answer/21289?hl=en ) you may need to ask your IT Admin for the details or even get him to set it up for you if possible. cheers! Richie

Hi there, After filling in the setting on "Test Account Settings" when it check for the settings it shows Server \\ Username \\ Password box.. I did fill in all the correct settings but it is asking for password again and again and finally it failed .. Kindly help !!

Quick question, if I want to setup the same e-mail address using imap on 3 or more computers using Outlook will the changes be reflected across all PCs? Also, would the setup be the same as you've shown for each PC? Please advise.

Candis Sarwan Howdy, yes for sure when using IMAP all 3 PC's will sync up, any change on one PC will be reflected on the others etc so essentially you will have the same inbox for all 3 computers. cheers, Richie

Hi Camellia, yes it certainly can, usually there is a 20mb limit for an email attachments. Plus if your send/receive settings are too short that can also cause problems when Outlook is in the middle of sending a large email. Cheers! Richie

thanks! it seem IMAP is not good as usually if we need to sync to different devices as we always travel and emails is more than 20GB for altogether that we could always access from different devices. but since it is always stuck and performance is terrible, i don't see the point to use IMAP if email account too big size.

Camellia Chan ahh I see, 20GB is a very very large email folder! Make sure you archive as much as possible in Gmail to reduce the size of your inbox, that's about all you can do to make it faster I'm afraid, but IMAP is still preferred over POP3 with a large inbox. cheers! Richie

hi, i'm having trouble with going through the server, it said "Enter your user name and password for the following server.", and i have put the right thing, but no use. it refused to submit the info, and everytime i hit "OK", the "Enter your user name......." window pops up. I have recently lost the abilitly to access my gmail thru Outlook. I tried resetting, including the Captcha, and get the following errors: Log onto incoming mail server (IMAP): A secure connection to the server cannot be established. Send test e-mail message: The server responded: 421 Cannot connect to SMT

While testing the manual configurations, it keeps asking for gmail user name and password. I followed all steps and have entered the credentials correctly. Tried changing my gmail password too. Still the same issue. Any idea how to resolve it?

Possible causes include server problems, network problems, or a long period of inactivity. Send test e-mail message: Cannot find the e-mail server. Verify the server information in your account properties.

Paula Andrade Howdy there, could be a few things causing that, like antivirus, make sure the "My outgoing server (SMTP) requires authentication" is checked, and I presume you have followed the Update I posted? great video - where however is the FOLDER structure of gmail? say i have 20 folders in gmail; one's called 'Bob,' ... I want Bob not just one gmail folder to be visible.

I got it done ... We need to visit this link www.google.com/settings/security/lesssecureapps and select Turn on so that gmail allows outlook to setup accounts (as google considers it to be Less Secured App)

I have verified the passwords and I still get a failure to connect and I get this phrase (The server for account "30ainteriors@gmail.com" returned the error "[AUTHENTICATIONFAILED] Invalid credentials (Failure)." Your username/password or security settings may be incorrect. Would you like to try re-entering your password?)

Thanks for that, but it didn't work, it gave me the error of ..........78754 (Failure). I double-checked everything, but still having an issue with syncing gmail with outlook. I have Outlook 13, and am in the wizard....which doesn't seem to be much of a wizard.....

nevermind, I got it working. Saw your post below to RicmediaPCHelp. What I didn't know and what wasn't informed was that an e-mail is also sent to you to change your "Secure App." go to your account and type in under search "Secure App" (with quotes helped). The e-mail will appear saying google blocked this and at the bottom will be a Hyperlink to allow Secure App. Then go back to your outlook and click next. This worked for me, hope it works for you.

Everything seem fine now after 3 days of trying to fix this propblem and switching from pop to imap., but I cannot find where my incoming mail is going now, it must be going to another folder and I cannot seem to find out where. any tips?

Chris Gorno Hi Chris, thanks for the feedback and glad it helped. re. folders; there should be a folder named as your email address, ie: *> chris@example.com* and there is a little arrow to the right of it, click that on to expand the folder. Do the same (little arrow) to any other folders and you should see the *Inbox* folder there. Cheers! Richie
