Introduction:
SharePoint is a popular collaboration tool used by organizations to store and share files and folders. While SharePoint offers various security options, it's important to ensure that sensitive data is only accessible to those who need it. In this RU-vid video tutorial, we will demonstrate how to change folder permissions on a SharePoint folder to only show to managers.
Step 1: Open SharePoint and Navigate to the Folder
The first step is to open SharePoint and navigate to the folder whose permissions you want to change. To do this, log in to your SharePoint account and select the site where the folder is located. Then, navigate to the folder by clicking on it.
Step 2: Click on the "Shared With" Option
Once you have opened the folder, click on the "Shared With" option located in the top-right corner of the page. This will display a drop-down menu with various options.
Step 3: Select "Advanced"
From the drop-down menu, select the "Advanced" option. This will take you to the folder's permissions page.
Step 4: Click on "Stop Inheriting Permissions"
By default, folders in SharePoint inherit permissions from their parent folders. To change the permissions for this folder, you need to stop inheriting permissions from the parent folder. To do this, click on the "Stop Inheriting Permissions" option located at the top of the page.
Step 5: Remove Existing Permissions
Once you have stopped inheriting permissions, SharePoint will display a warning message informing you that you are about to break the inheritance and that any existing permissions will be removed. Click on the "OK" button to proceed.
Step 6: Click on "Grant Permissions"
After removing the existing permissions, SharePoint will display the "Grant Permissions" button. Click on this button to proceed.
Step 7: Add Manager Group
In the "Grant Permissions" dialog box, you need to add the manager group to whom you want to grant access to the folder. To do this, click on the "Show Options" link located at the bottom of the dialog box. Then, click on the "Address Book" option.
Step 8: Search for Manager Group
In the address book, search for the manager group to whom you want to grant access to the folder. Once you have located the group, click on it to select it. Then, click on the "Add" button to add the group to the "Users/Groups" section.
Step 9: Select Permissions
After adding the manager group to the "Users/Groups" section, you need to select the permissions you want to grant them. In this case, we want to grant them "Read" permission, which means they can view the folder but cannot edit or delete it. To do this, select the "Read" permission level from the "Grant Permissions" dialog box.
Step 10: Click on "OK"
Once you have selected the permissions, click on the "OK" button to grant the manager group access to the folder.
Step 11: Verify Permissions
After granting the manager group access to the folder, you need to verify that the permissions have been applied correctly. To do this, go back to the folder and click on the "Shared With" option. Then, select the "Advanced" option.
Step 12: Check Permissions
In the folder's permissions page, you should see that the manager group has been added with the "Read" permission level. This means that only managers will be able to view the folder.
Conclusion:
In this RU-vid video tutorial, we demonstrated how to change folder permissions on a SharePoint folder to only show to managers. By following these simple steps, you can ensure that sensitive data is only accessible to those who need it. It's important to regularly review and update
