This is phenomenal! I’m structuring my how-to video for my business based on your video. That being said, the title is misleading because this was an overview of what’s available for use and not best practices like “do this, don’t do that”

No - Update requests are GREAT for external contacts (vendors, clients, etc). You will need the email address in a contact field in order for it to email via automation vs an ad hoc update request.

We have struggled with that question as well....it's created a bit of a mess as we go through the learning pains of each option within a state organization. After 2 years of using Smartsheet, starting with PM and PMO, we still have not determined the "ideal" solution. I look forward to hearing their advice!

Versioning - the way I am trying to get around the lack of versioning is by 'save as new' at end of day wednesdays and end of day fridays in a 'backup' folder in the workspace. At least this way I have a fully functional worksheet that is at most 3 days old. The Smartsheet backup solution produces an excel document which then needs to be imported and pending the complexity of your worksheet would need some formatting triage before you have a fully functional older copy of your worksheet. Does my adhoc solution make sense to anyone else? Did I miss a fundamental reason why this would not work?
Hi Peggy, it works and it saves the cell history which is a critical component from our perspective. #Smartsheet has been able to provide backups within 24 hours, so we typically advise clients to get a backup from Smartsheet since it is at most one day old vs 3 days. We look forward to Smartsheet rolling out a better versioning solution. It is on the product roadmap! Hopefully it is coming soon!

Smarsheet says external commenters need a password. many of our transactions need attorneys or fiduciaries to add a doc or task, but they are prohibited from logging into an outside software. is that true? Also,,they have a spot for attachments, but it is at the end ofca row and if ea cell needs to match with a doc, the end of row seems sloppy if you have multiple attachments. any workaround?
@Echo Consulting thank you! that was quick! a reply will not show on the task sheet, where I need it. If I set up a project sheet and need items from you, a customer, a lender, a 3rd party anything, I want to have them update any timeliness or make comments in the notes section of a sheet or the by when time and date feature. To do that, they need to comment on the sheet or the reply you mentioned, should appear on the sheet. that does not address the due date that may need to be altered. and, on a downloaded dic, I mat need them to comment on that doc or sign it and re-upload it. A reply feature needs to update the task sheet, can it?

it still sounds like for anyone to make a comment, even at the end, that they need to have a login, which many are prohibited from doing by their company policies. The link is view only. Is there a way to use a link and allow for document downloads or uploads, comments and edits to the time and date due cells?

Great question! Smartsheet duration column does offer minutes, hours, as well as days etc. - however you need helper columns to calculate the difference between two times in Smartsheet. We just did a cool solution for a client doing a cutover plan that needed minute by minute tracking for tasks - it was a workaround / not native Smartsheet predecessors. - Feel free to reach out to Smartsheet@EchoConsultingPM.com if you have a specific question. This was insightful, however, whomever this presenter is needs to slow down her delivery. There were quite a few moments within this tutorial that she ran through the material and I find that to be highly unprofessional. She most certainly can use some coaching within her diction and vocabulary as well. If you're going to be a presenter at least be thorough, or sit that one out.
