Is there an update for this video where it discusses how to use loop for teams recurring meetings?

Not yet. But there is a workaround. Create the recurring meeting in the channel. Save it. Open it again. Now you will see the Chat tab. Insert Loop components - Agenda is a Checklist, Notes are Bulleted List and Action Items are Task List.

To address the personal calendar issue, there is a feature on the roadmap for August 2023. This "feature allows channel meeting organizers the ability to share invites on personal calendars of all channel members."

Thanks @BrianHurn. Yes. When that feature arrives, it will solve the problem. But as of now, it is not visible at least in my tenant. The benefits of using Channels for recurring meetings outweigh the inconvenience of adding to calendar. However, changing people's mindset from Outlook recurring meeting to Teams Channel meeting will require proactive effort. Check out my other best practices videos as well. This feature is now available. While arranging the meeting, enable the toggle - Send Personal Invites. Now all members get invites in their personal calendars - similar to regular meeting invites.

@@efficiency365 It seems like it's a one-time invite and can only be applied to NEW channel meetings as of 2024.06. So, if you create a new Channel Meeting (or series) you can toggle ON send personal invite and it will send them as per the channel membership at that time. Any newly added members after that initial invite have to be manually added to required/optional to trigger an invitation email. Thank you! I love your videos!

Shoot! Also wanted to note that in my experience, if someone forwards that invite from their calendar to another, that person will be able to attend the meeting but will be unable to see the chat thread. A bit of an issue for instances like a guest speaker. Only Channel MEMBERS can see the chat thread.

I see this as feasible if those meeting invites get pushed to people's calendars. If you're in a large organization, it very possible to be in many teams, I can't imagine everyone taking the time to search through every calendar for changes

Thanks @waggygee. That is correct. However, use this method for at least a few recurring meetings where you can easily convince the people involved. They have to go to Add to calendar just once. Not every time. After using this approach for a few recurrences, everyone will appreciate the benefits. In any case, this month, MS is rolling out a change where the meetings created in Channels will appear automatically in everyone's calendars. I added the meeting by clicking into a free calendar space and then added a channel to the meeting. It appeared in everyones calendar. Thanks for the tip - am testing now!

Teams calendar does not support resource. Therefore, you first add the meeting in Teams. Then go to Outlook calendar. Edit the meeting, go to Scheduling Assistant and add resources - like a room or equipment.

We went back to 'normal' non channel meetings because channels don't support Loop components. I like the new collaborative meeting notes too much to give up now.

Thanks @curtkessler8759. I understand the issue. I have already solved it in the video. Create a separate loop page. Copy the link to that page. Go to the Channel - click + sign - choose Website - paste the link. Now you have a loop page inside the Channel. Just make sure you add the meeting action items in that page. That's it. Try it out and let me know. Of course, after some time, you will have loop components inside Channels. Once Channels support loop - Copy the task list from loop web page and post it in the Channel. I like how this option can make projects more organized, however definetly see how people will miss to be proactive and check for meeting invite on every channel...Moreover, I can already see how people misses the concept and starts creating channels for everylittle thing. Im sure this will be improved pretty soon.

Thanks @yeseniacastillo1188. Yes. I know this is not easy to adopt. But what we currently have - regular recurring meetings - is not efficient anyway. We do see meetings in calendar automatically. But where is everything else about the meeting? Action items, discussion, agenda, collaterals, updates, whiteboard, recording? All mixed up in email. Right? And those mails have no connection whatsoever to the meeting entry in calendar. Once you highlight the stark difference, I am certain that some people will change. If you did not know there was a better way, you tend to ignore or accept inefficiency. But when you know that there is an eminently better way, it is difficult to continue being inefficient consciously. Check out my other best practices videos as well. Thank you for all the great suggestions and advices. I would love to shift my daily operational calls into Teams. I mostly get lots of questions and business case descriptions with screenshots for my project in my inbox which I then try to copy to excel to follow up and sort. Maybe you can make a video on how to handle this efficiently in Teams

But.. if You add attendees at the moment You create the recurring meeting at the channel, everyone of them are going to receive the meeting on their calendars....

Sure. If you add people, they will get regular Meeting Request. The idea is NOT to add people - We have already added them to the Team (Channel). It is a long-term and recurring activity. Everyone added to the Team may not be actively involved in every recurrence of the meeting. That is why, the meeting appears in the Post (and Channel Calendar, if you add it). Add to My Calendar is the action where individual person decides that I need to be a part of that meeting.

As much as I wish to it sir, I do see the biggest limitation that people are reluctant to go to any channel to check out even messages or action items. I do find many would mind to go to a channel to add the meeting to their calendars

That is correct. However, continuing to do all communication in email is not helping us either. In many situations, Teams is better than using email. That means, more and more collaboration will be SHIFTING from Inbox to Teams (Chat, Channels, Meetings). That is why, it is important to inculcate the habit of checking up on Teams activity few times every day. Do we need to be reminded to go to Inbox or WhatsApp or Facebook or Instagram or TikTok? No. Once Teams reaches that level of familiarity (not just due to peer pressure, but due to genuine benefit), people will start using it correctly. You can start the process by demonstrating, convincing and spearheading the transformation.

Hi @lie2064 Yes of course you can record the meeting. The meeting features are exactly the same. Recordings across all recurrences will appear in one place - the Channel Post area. Excellent video good Doctor! Love the setting. Has anyone run into 'Schedule a meeting' looking disabled with hover text of 'Your admin hasn't enabled this feature'? Support docs have been of little help. I do have admin access and there's no obvious 'Enable scheduling..' switch anywhere.

After some research, I found the troubleshooter in the admin app which found that I needed to do this: 'enable EWS access' for this user. It had a convenient 'apply' feature, so I was not able to see how it really works from the Exchange back end. I'll have my exchange guy take a look and report back. @@efficiency365

EWS is enabled by default. Otherwise anything that works with XML HTTP will stop... How did it get disabled?

checked with exchange admin...he had a policy set applied, part of which disabled this company-wide. He's going to deploy a new policy that enables EWS for everyone.@@efficiency365

Excellent. As you already know, Loop is coming soon to Channels, OneNote and other apps. I will update existing content or create new content as features evolve. However, technology evolution should not constrain day-to-day work. So it is better to work with the current feature set, create repeatable best practices and convince everyone to adopt. Set an efficient baseline and then we can always implement incremental improvement.

I have seen that even when I use Teams meeting invite option for my MS Outlook calendarized recurring meeting, we still get the same channel automatically created along with the chats., files, calendar and other options available. This removes the dependency of waiting on the invitees to add this to their respective calendars. Am I missing anything here?

Dear @sunilnarayanan2544 You are talking about the Meeting Chat. When a meeting is finished, it appears as a chat - which you can (and should) use to manage post-meeting collaboration. This is a good feature. However, with recurring meeting, you will get one chat per every recurrence. This is not good. The solution is to create a Team in Teams - go to a channel in Teams and then add the recurring meeting to the Channel. They will never do this if it doesn’t automatically go into the calendar. There’s already teams fatigue and too many chats and channels to deal with.

Thanks @gary1488 for the candid opinion and experience. I agree - change is hard. But what actually works is to demonstrate and prove to people that they have been pitiably inefficient throughout their career - in the context of unstructured work which is typically done using Office. Of course, it is nobody's fault. But everyone is suffering. Once that suffering is established and you show a method of mitigating it - life shifts from a vicious to virtuous cycle.
