So you’ve been asked to film a big event! Congrats! But wait, what should you do? Here are my top 10 tips on what I do when preparing for and filming corporate events.
10. Have a good quality lens that works well in low light.
9. Set your white balance for every location you film in.
8. Avoid filming towards screens.

My own tip to add to this: If you have the time, go and attend/watch the organizers' run-through for the event. This usually happens the day before. You'll get a lot of info: the program flow, who to talk to, the blocking, the audio and video equipment, the venue layout, the lighting, etc. This will save you lots of surprises.

Great Tip! Last year I got to film in Philly and Malaysia and both times was staying in the hotel where the event was taking place, so the evening before I was able to fully recce the location which was super useful to understand where everything was, esp for Asia as they had a plenary sessions in a main presentation hall as well as several panel sessions in side rooms and an exhibition going on simultaneously :-O That was a long three days!!!

Actually that's what I do two camera setup because if you need a piece of audio from the event with supporting video that needs to be in the final output, lets say a speaker talking with really good speech that needs to be included in the edit for about 10 to 15 seconds moment without cutting the recording of the speaker talking. It's gona be boring getting stuck with just one camera angle the whole 15 seconds duration of the speaker, either you gona stop the recording and move for another angle of the speaker and continue the recording. So in order to achieve that without stoping the recording is to have another camera continiuosly recording with second shooter or just setup alone a camera in a tripod while you move around freely to get as many angle as you want shooting closeup, medium and wide. You can shoot the speaker the audience and other details that you feel need to be included so that in the edting process the gap in your recording will be filled with second camera angle and broll clip.

Hi Kai, recently discovered your videos, really enjoying them, I appreciate your engaging but informative style! I'm just getting into corporate filming and I was wondering how you make your titles including an event logo during interviews (e.g. @5:40)? I've been looking up various title tutorials but haven't found them to be clear about including a logo/graphic. Do you have any helpful resources you could point me towards? I'm using DaVinci Resolve. Thanks!

Hi Aza, thanks for your comment and support! Good to hear that you are getting involved in corporate videography! So to be honest I don't use DaVinci Resolve, all my animated Lower thirds and title screens are made in After Effects. I simply ask the client for a .ai file / vector file of their assets and start creating from there. It's a matter of using their elements to create something simple with a bit of movement. Probably not what you want to hear... but it's my preferred method.

"Captureing people smiling and laughing" Yes the worst about cooperate meetings is that everybody hates them! So adding some Hollywood magic to the video, will make everybody feel better, except the jealous sposes, accidentially watching a snippet of your video when it is later used in an advert! Cross your fingers, I'm doing two church services this Christmas eve (who has a life?!) This time, I'll have to work with another cameraguy, buy I still got to edit our combined effort. Nice to have two manned cameras, but just a single mishap, as different framerate, off color balance or pallete, His and my wireless mics not playing along together, and it will be editing hell, when I get home!

Yeah, hopefully your second camera guy is going to make sure they pull their weight and not just do a second class job because you are doing the editing... I've hired some in the past that only had to hand footage over and it didn't reach their demo reel levels :-0 Also you're busy busy busy - two services in one evening!

Hello Kai. Nice video. We also use a 70-200 because it has a wide range, unlike short zoom lenses. However, the trouble with fast lenses is the shallow depth of field. It's good for filming someone behind the podium, but as soon as he walks around on stage, it's very difficult to maintain focus at f/2.8. How do you manage that? If you close the aperture to f/4, you lose the low light advantage of that lens.

Thanks for the question Clyde. Can I ask what camera you are using? I had this exact same scenario when I was filming the Reimagine Education conference in San Francisco last December, I was filming a very dynamic speaker, Jamie Casap, who was moving around the stage constantly. To solve this issue I was sitting up front with the 70-200mm attached to the 5DMarkIV which has DPAF, that allowed me to track his face for the most part, but he did have a lot of energy and there were times he moved out of shot. Fotuntately I had two additional safety shots that I could cut away to, and enough footage of the audience to make up reaction shots. So was able to cover most of my bases. Hope it helps! @@KaiCreative Thanks Kai! Our live webinars can last up to two hours (including Q&A part). We're using a GH5 for this particular type of project mainly because 1) it can record continuously without the 4gig limit, and 2) I feel it's less noisy in low light than our old 70D. The 70D is fantastic in following the speaker so we can rely completely on the auto-focus for live events. I'm actually thinking of resurrecting it for live stage events. However, the 70D has a 4gig limit and our clients are not very comfortable with that. Magic Lantern can automatically turn on recording again when the 4 gig limit is reached but you'll lose a couple seconds in between the "spanned" clips so it's not every useful. On the GH5, we use a Viltrox EF-M2 to communicate with the 70-200; the auto-focus is totally unusable on this setup. So here's my plan: Initially, I was planning to buy the 30-100 f/2.8 native panasonic lens (micro43) but since I know that I'll be stopping down to f/5 to manage depth of field, I am now looking at the 45-150mm f/4-5.6 (which is waaay cheaper). Then I'll just boost the ISO to 1600. What do you think?

Do you need to get a release form for the crowd/employees at a private event if you are hired by the company?

Tattoo Kt great question! Generally I will ask the client/organiser of the event to put up a sign that filming is in progress, generally at the registration table or help desk, this lets the attendees know that filming is in progress. For specific interviews I would also ask the client to get a release form signed for that interviewee. In the past I’ve also had a client follow me around while doing Vox pops to get people to sign release forms. Generally if someone doesn’t want to be filmed they will ask not to be - and we make a note of them. Additionally, I’ve filmed promotional videos in schools in the past and the student who were not allowed to be filmed wore yellow badges or were taken out of the class during filming sessions.

I am on GH5--have a 35-100mm 2.8 but it's not like a FUll framed lens. So why not just have a couple prime lenses handy and MOVE? Like a 35 and 85mm equiv in addition with faster apertures (1.2 for M four-thirds)?

Jeremy Foster it is definitely something you could do- especially if you don’t have a full frame with the higher iso - the only thing to think about there is how discrete you will be moving around - if you’re at a wedding where space is tight you might find yourself being the object of attention instead of a fly on the wall - and at a conference when a presentation is happening you want to move as little as possible to avoid disruption - depends on how ninja you are with your movement (:

Thanks for the reply. How do I get my first gig in corporate work? I have Panasonic GH5 cameras (3) and tripods/monopods/drone. Only thing I don't have is a smallfocus HD monitor. And I was thinking of posting on craigslist for a cheap deal but not even sure what is a good gig to advertise for? I have tons of weddings as my biz took off after only 14 months and I want to start a corporate brand.

Hey Jeremy, Thanks for the question. So I'm exactly like you in the respect that I started filming wedding videos, I did my first couple of weddings for free so that I could build up a portfolio, after that I charged more and more money, so I could invest in better kit. I guess this is where you are at now and are looking to break into corporate videography. So I personally applied the same model that I used for my wedding work to my corporate work. I already had the kit, as you do. So I put myself onto freelancer websites (like PPH here in the UK) I started bidding on poor paying jobs and won them, filming alongside people in the corporate world helps you to build a network, I also started building a portfolio again but much more corporate focused, including interviews, event filming, and corporate promo content. The recommendations started to flow in after about a year to a point where I have had to put the wedding work on hold for a bit to try and cope. I'm still keen to do more weddings at they are much more creative, but I'm looking to outsource more now due to demand. You have the skill set and the work ethic already by the sounds of it, so applying that over to the corporate world will not be a problem!

Hi Kai, 5 years old and still brilliant. I am a videographer and have been asked to film some talks, no issue there. The difficulty is how to sync the powerpoint presentation with the talk? Any tips?

I’m not 100% sure what you mean? In post production? Just ask for a copy of the presentation to include and change the slides as they are speaking or film it on a separate camera and sync with audio? Or do a combination of both for the best possible results 🙏

@@KaiCreative so up until now I’ve been recording the speaker wide, with the slides in view,. In post I’ve then watched the talk back and simultaneously recorded the PowerPoint changing the slides in time with the talk. It’s just a bit of a long, pain in the backside method. Also I’m finding a lot of conference centres in the UK will not allow me to plug my audio recorder into their soundboard to capture the lectern mic. I’ve used a RODE Wireless GO II on the stand before and my shotgun mic on the nearest camera. Wondered if you had any tips for capturing presenter audio where it’s not possible to lav mic them. Cheers

I would like to know what are the plans we can offer for a corporate event? specificly how long do clients ussualy ask their video to be? 4 minutes, 7 minutes etc... thanks!

Hey Carlo! This is a great question. It differs from client to client to be honest. Some will want just a 5 minute highlight video. Some will want whole presentations edited for internal use. Some will want a selection of 1-2 minute videos for social media, others will want interviews from the event cut standalone and some of your clients will want a selection of all of those. My best advice for you would be to write up a selection of different content and do the up sell on those to your client :) Hope it helps! Anything else just let me know! Kai.

I’m using the Ronin-S the current “affordable” solution to my heavy 5D mark IV and 24-105mm L lens set up - I took it out the other day with the smaller M50/viltrox/24-105 set up and it worked amazingly well! I started off with the flycam5000 and always loved using it for creative projects (:

Tip #11. Switch from DSLR to a pro camcorder. It will solve a lot of problems that Kai talks about. You will do your job quicker and with more focus on content, not technicalities. Leave DSLRs for that creative / documentary / music video idea that you do in your spare time.

Having a pro camcorder is a great option to film the presentations, saves you from constantly swapping out batteries and continually dealing with the 30min cut off time. A lot more clients want more movement though things like slider shots, jib/crane and gimbal shots to give the event trailer more energy. These are easier to achieve on smaller cameras. Additionally when you have larger events with a lot of people as well as things happening in different rooms trying to manoeuvre around the crowd with a huge camera and tripod set up can be detrimental. A good compromise is to have a pro camcorder for the longer/stationary parts and smaller full frame DSLR mounted for those movement/ trailer shots.

Any tips if you can suggest me for filming a live fashion audition?

Manthan Vora hey man, thanks for your question! If it was me filming a live fashion shoot I would use a zoom lens so that I could film close ups of the models as well as wide shots for variations in the shot. If you have enough space take two cameras - one as a safety wide shot constantly recording and the other with a zoom attached so you can get your close ups. Additionally make sure you have a lens with a fast aperture for nice dof, and if you have to shoot in low light. And consider filming at a higher frame rate so that you can slow your footage down in post (if you’re editing) this will smooth out any handshake, also make sure your lens has IS. Make sure you film in Threes with your zoom lens, so get close ups of the face, body/clothes/accessories and a wide (if you’re using a second camera that will already have your wide shot).
