I'm loving this. Question? I have 4 different types of products I sell, to 4 different kinds of people, with different prices and different sales cycles. As in, each sales cycle is different, not just a different product. Should I build a pipeline for EACH of those four and then put contacts into the one that matches what they are most likely to do? And what if one of them in a pipeline decides to buy from me again, different product but same pipeline process? Is that too hard for Pipedrive?
Up until recently, I was actually quite happy with Pipedrive. The product worked well for my needs. But, I have not faith in the company to continue to provide a product that is worth the monetary investment required to keep using the system. Last December, I invested in a one year subscription to the product. In the middle of that one year commitment, Pipedrive pulled a bait and switch telling me that several of the features that I had come to rely on as part of my business were no longer included and that I would need to pay up MORE THAN DOUBLE my initial investment to continue using these features. My access to these features was discontinued immediately, without notice, even though I had paid for a full year in advance. When I pointed this out to customer service, I received no reasonable explanation why nor any compromise or suggestions on how we would work out the situation. Basically, they just side stepped the question for days telling me to “be patient” they were “working on it” I am sorry, but when you are an entrepreneur working with clients, every day counts and not having access to key features of a software that has become a vital part of your workflow brings progress to a grinding halt. At this point, even if they could make this right, I do not wish to do business with a company that has so little concern for the well being of the businesses that they work with that they will not honor the commitments they entered into. Sure, they can change rates when they want, but they need to honor the purchases that are already in place and can reshuffle benefits when customers are making the choice to repurchase for another month or year, not IN THE MIDDLE or a purchase that has already been paid for. That is completely unethical, misleading, and immoral. They took my money and then refused to continue to provide the service I purchased. BUYER BEWARE - DO NOT DO BUSINESS WITH THIS COMPANY
Sorry to hear about your experience Shelley. Pipedrive has reshuffled some features to different plans in the last 12 months and this is the first time that's happened in the 8 years I've been using it so I assure you it's not a regular practice. I agree though it's shame support couldn't help more.

Thanks very much for this clear and concise video. I wonder if you (or any commenter) could help with some advise. I am researching small business CRM's, and am thinking of investing in a lettings/house rentals business. There are a couple of functions I have not seen in any Pipedrive Demo, and am wondering if you, or any other commenter could advise. 1. Can you establish and manage (link to deals) any level of Assets? i.e. We would like to list our Assets (i.e. available properties to rent) and have the ability to link to a deal, and manage the (asset) status as part of our administration and as a sales driver. 2. Is there any service ticketing or workflow function that could help us track some other customer service issues and business process not directly tied to an open deal (i.e. call outs) If these are not native, would Pipedrive (potentially?) support a third-party app that could help bring these together? Any helpful advise, links, etc. appreciated Thanks!
Hi Daniel, 1. I guess one way you could do this is with custom fields. You could use a dropdown menu to specify the assets someone has and other fields for the asset values. 2. You can create activities and track notes, emails etc on a contact even if you don't have a deal open for them. So if you need to follow up with a client, you can do everything on the contact level. Possibly... Pipedrive is more suitable for tracking sales opportunities through a sales funnel. Whereas Asana is great for project management and can be customised to be used as a CRM, Pipedrive comes with useful features specific to selling e.g. reporting, email templates, calling integration etc.
What if my leads are organizations? There is no specific deal immediately identified but I want to be able to track the progress of each organization, i.e. relationship development and product qualification.
You can use your own number but SMS messages do not get auto-tracked I'm afraid. These would need to be copied in. An alternative is to use a third-party service like Kixie or JustCall and text from there and their app will track the SMS in Pipedrive for you.
Hello Paul- assuming you have custom “activities”, what specifically have you set up for? Do you use reports on types of activities? How granular to get in logging “call, intro call, attempted call/voicemail”...?
Yes, I have activity types for different types of call e.g. intro call, follow up call, proposal presentation etc. precisely so I can report on what I've done at the end of the month.
Yes, you can do this using a series of custom fields. Create fields for Cost (monetary field) and Profit (monetary formula field). The profit can be set up with a formula to calculate profit (Deal Value - Cost) when you fill in then cost field.

Another question: Do you prefer the cleanliness of follow up in existing email chains? Or sending new, separate emails to follow up (which allows templates inside PD)? This is a decision path I struggle with. For a teams, do you find that capturing more/all email with sync/Pipedrive bcc is better, or only logging the essential info?
I actually do a bit of both. I often reply in the same thread as it just makes sense to do this. If I'm getting no response, I'll start a new thread with a new subject.
Paul, it appears that Pipedrive does not offer sms texting feature. Is there a system which will connect through Zapier to add this feature? I would like to create a workflow such that when a lead comes in with a scheduled phone meeting, say, 1 week from now, a series of 3 email and 3 text reminders should start, with the last text reminder to go 10 minutes before the appointment.

No, you have to verify your existing number and I'm afraid it doesn't support SMS. But Justcall is a good 3rd party option to look at if you'd prefer to buy a new number and it also supports SMS.
Hi Paul, my company uses Pipedrive, but we are looking to integrate it as a project manager tool. We install cabinets and would like to have the install process, updates, pictures, job process reports, etc. on Pipedrive. Would Pipedrive be able to be customized to support this idea, or would it be best to integrate with a different app that can be connected to Pipedrive? Thanks!
Hi Paul, great video! I've just taken on a marketing role and your videos have really helped. I was wondering if there was a way to break up products within the one deal? For example, if I have a deal for company X, but am selling them 3 products over time not in 1 go, is there a way to do this that isnt creating 3 seperate deals for each product? ie, product 1 today, product 2 in 12 months time. As I understand if I have the 3 products under the one deal and the first deal closes, all close and my reporting will show I have sold 3 products which is incorrect. I hope that makes sense!
So yes you could have them all under the one deal. Then, in the 'Revenue' section you can set up a payment schedule to show when they're actually going to be paid for. i.e. the 'Deal Won' report is when you won the value of the deal, then you can create a 'Payments Due' report to show cash flow.

Hey Paul, nice video ! I have a few questions. How could I connect Phantombuster to Pipedrive, so all the contacts I gathered on Phantombuster could have been passed to one single column on my pipeline ? There are two options: firstly, I could use one Phantom created for that, but the disadvantage relies on the fact that this Phantom passes all the contacts to Pipedrive contacts, without sorting out them. I created one column on my pipeline for receiving all contacts called "LinkedIn Contacts", I wouldn't like Phantombuster to send them to "Contacts" section. Secondly, the integration of Zappier with Phantombuster and Pipedrive. Is there any Pipedrive automation process that would do that for me ? Thanks in advance and keep me posted! :D
Sorry William, I'm not familiar with Phantombustoner but if it were me, I'd look into Zapier first as this often gives you more control over creating your contacts and deals in Pipedrive.
One issue I have with the "no activity yellow icon" is quite often I'll send an email that needs to give the client some time to respond, but my pipedrive gets filled with yellow icons which due to the volume of deals has me trawling through them without any way to separate between deals I've genuinely forgotten to set an activity for, and deals I'd like to wait on for a few days before setting a follow up reminder. Is there any way around this? I was perhaps thinking of just being able to set an option to "remove" the yellow icon for a few days.
The way I manage it is even if I'm waiting for the client to respond, I set an activity to follow up if I don't hear anything e.g. I'll set this 1 week away. That way, no leads fall through the cracks.

I Question, for a real estate sales agent how would you setup a couple that buys and sells a home (I don't really want to do an organization) but to do on a contacts basis, does P allow multiple contact ownership of a deal (for reporting) and also to track referrals that each couple send me. I'd link the primary contact (the main person you're dealing with) as the Person connected to the deal. You can set up a custom field for '2nd Contact' on the deal to link the partner/spouse. For tracking referrals, this could be a custom field which links to a contact in Pipedrive.
@@minor-co Umm Ok, but adding a 2nd contact wouldn't create any issues with reporting. Maybe I do need to setup each couple as an Organization - as I would like to know the lifetime deal value and lifetime referral. On the subject of Pipedrive automation, when the action is created for a salesman to follow up, it'd be useful to have the company name automatically added in the Organization field at the bottom of that activity but it's not happening this is what we need to happen is it possible and how do we do it can you help me on that???
It sounds like you may have missed a step. In your automation, in the step where you set up the activity, you need to enable the 'Linked Organisation' field and then you can make this happen.
Using the Workflow Automation, what you can do is auto-create activities to remind you to follow up. This could be triggered when you move a deal to the next stage.

One of our kpis in our business is weekly and monthly leads count (sources etc). s far as ive seen pipdervice doesnt support leads reporting. Any suggestion or work around this issues. Hey paul, I get in contact with a lot of clients, currently my outreach generates about 30 leads a week (ranging cold to hot). Most leads reach back out after 3-4th contact. Is pipelines automated system good for sending scripted emails for my cold leads while letting me be more personalized for my warm-hot leads? Do you think purchasing pipelines lowest software be a good fit or an overkill for something this simple
Hi Noah, right now, Pipedrive can't handle automated cold outreach emails. You would need to integrate with a 3rd party email tool. However, they are in the process of bringing this feature natively to Pipedrive. For your warm, qualified leads... absolutely. Pipedrive is a great tool for keeping in touch with more personal follow ups.
Pipedrive recently came out with its new Campaigns feature which is in beta. You can use this to send newsletter style emails (but it doesn't support email sequences yet)
