I’ve been using multiple calendars for some time, including a shared calendar with my wife. I like to keep days in the past clear, so I can see at a glance that I haven’t forgotten anything. But, on the other hand, sometimes it’s useful to keep past events in case you need to refer back to them. So I’ve created a calendar I named “Finished”, then when I’ve completed the event or task, I change the calendar it’s assigned to to “Finished”. I don’t display that calendar unless I need to go back in time to review something.

I've been using multiple calendars for years - medical, appointments, notes, food (I'm on a diet). I just had a knee replaced so I keep track of medications, exercises, etc. You added some nice ideas to expand my use.

Good one! I use multiple calendars just because of their different colors. Like this, in every view I immediately see how my month/week/day looks like (e.g. a lot of work or a lot of fun, family events or time with friends etc.).

Excellent as always but one point worth noting. It’s a bad idea to have a Birthday calendar in Apple calendar. Why because, birthdays are handled via Apple contacts, when you add a birthday in Apple contacts, it automatically adds that birthday to the Apple calendar. So what happens if you are using both, a birthday calendar and adding birthday to contacts. You have syncing issues, will the really controller of the birthdays please stand up. A couple of things worth noting, in contacts you need to add a separate contact per birthday. Ex. you have a husband and wife couple as one contact you can’t have 2 birthdays listed in Apple contacts. So you have to split them up. I spent 2 hours troubleshooting a customers issues with her calendar, just passing along what I learned.

This was very helpful, thanks! I've been kinda going on and off with different calendar types. My latest attempt included using two different "platforms" (Outlook and Google calendars) but I soon found out that wouldn't work because I would have to keep going, you guessed it, back and forth to check if I'm available on x time and so forth. I'm a Windows/Android user but many of the things you explained here can be indeed found in Google calendar for example. Thanks again, mate!

Thank you! Really helpful for me.I’m thinking about moving from Linux/Android to Apple, mainly due to app support.. One of the things I liked about Google’s Calendar was being able to colour code different events but I can see I can still do this but in a different way.

Great video Gary,,very informative. Tbh after god knows how many years with Apple, if I have an event/ meeting whatever, I cannot decide whether to use the Calendar app or the Reminders App. Can you provide your feedback please?

Seems like alot of extra work for nothing. I use one calendar for all my appointments. With your system, if I make an appointment on one calendar and already have an appointment at the same time on another calendar, that means I always have to check other calendars to make sure I am not already committed for that time.

Gary, this is probably my favorite video of the year from you. Redesigning my calendar was long overdue. Subscribing to calendars was something I had no idea was possible until now. I have a question regarding my "family calendar". There are names I want to remove from the calendar but I cannot figure out how. Can you provide some guidance? Thank you again for the education! 👨🏻‍🏫

Control+click on a calendar in the left sidebar. Select Sharing settings. Then select the name and Delete.

@@macmost I tried this but didn't work. I can highlight a name but the delete command does not work. I see check marks next to each name. it was easy to find this action but still won't work. any suggestions? thank you so much!

My problem is that I get multiple entries for the same event. I sense that as I enter an event, say on my Iphone, the iphone calendar synchronises with my wifes iphone or my macbook and this event gets bounced back to my iphone and thus a double entry occurs. I would dearly lovea systematic process to go about solving this.

That's not normal. Sounds like either you or your wife has something set up to copy these events to another system, like maybe something that copies them to a Google calendar or some such. You'll need to investigate it carefully to figure it out.

I want to create an additional "fixtures calendar" from data on an excel spreadsheet. I cant find a way of doing this. If I export a CSV file from excel I can't import the file into the apple calendar ?? Any suggestions. Many thanks for great RU-vids !!

How long are passed events or items saved? It used to be no longer than 1000 days but for me that is too short. If you don’t want to print calendars how can you save those data for at least 7 years (governmental tax period)?

I don't think there is any limit. I just checked and my first event in Calendar is from 2007.

Hello.. a bit unrelated, but if I may.. why can't I see external subscription calendars (my office Gmail calendar in this case) when I view my Apple calendar in a browser on my Windows machine. Do note that this calendar is very visible on my Apple calendar on my iPad, Mac and iPhone, although I think I had to add each one separately. P.S. I did try to add it inside iCloud-on-a-browser but no luck. Is there a way to fix this. Thanks!

When using an app like Calendar, you are viewing your iCloud calendars plus any other accounts you have set up in those apps. To view those on the web you need to look at the websites for those accounts (Gmail, for instance). iCloud's web site is not going to show you your Gmail calendars as it isn't the right site nor does it have access to them. Gmail is the site that shows you your Gmail calendars and has access to them.

Another great video. Regarding sharing calendars: It seems to be a oneway sharing i.e the creator permits another to only view the shared calendar. Is there a way of allowing another to contribute to the shared calendar i.e. family events that different members contribute to a single calendar...instead of "inviting" those family members? Thanks.

Some of the more advanced features may be different, but for Calendars they are very similar.

Personally do you use it ? I feel you prefer simplicity usually. Adding many calendars and colours makes it take more time and need more decision. These productivity tips are useful though.

Yes. Not many though. I use a personal calendar (trips, friends, etc), a work calendar, and a shared calendar with my family.

I wish they had the option of color coding individual event too (like in google) so if you have 10 things to do today you can change the color to the ones you alraedy done. I did try to creat to calendars one for "to do" one for "done" to color code BUT the tasks that repete they all end up chamgeing to "done" color too ;( Mac should really update their calendar.

I wouldn't try to use separate calendars for that. If you have "to do" items, I would put them in Reminders, not Calendar. As for making an event stand out, try using an emoji character in the title. That's what I do. For instance, speaking engagements get a 📣 and dinner plans get a 🍽.

@@macmost I like having everything in one place ie calendar to glance all. I don’t really need a separate to do list too. I can add emoji to indicate the task is complete I guess and many other long winded ways with extra steps I can think of. A Simple color coding with a right click is all we need really ;) calendars need to be more flex. Apple’s calendar hasn’t changed forever. Too dumbed down. I tried other calendar apps didn’t like any. To me the Samsung calendar is still the best tbh. Super user friendly clean and flex. Thank you

How do you manage a calendar with fixed days that will remain always the same like holidays, birthdays, and so on for all coming years? So, how do you update the same calendar of 2021 to repeat same settings for 2022? The birthdays will remain same date but calendar on 2022 does not not “retrieve” the marked dates on 2021, or does it? July 4th will mean the same always. Or you just have to type again all birthdays on 2022 calendar? Thank U.

For holidays, you can just use one of Apple's holiday calendars. After all, a lot of holidays don't happen on the same dates each year. As for birthdays, if you put birthdays in your Contacts app you can use the Birthdays calendar and it just shows them. For other things, you can set the "event" to repeat, and set the time to every year.

@@macmost I‘m still looking for a way how to export the OLM including the calendar (the calendar is the issue now) to iCalendar but in bundle, all together, keeping the settings like the repetition. I use MacUncle but only import the email messages and contacts, but not the calendar which is locally.

Hi Gary . Another great video , however can I request that you do a video on the shared folders in finder please . I am not aware of them and its scary as I'm not sure if people can "see" my Mac . I feel many people will be concerned with this Thanks in anticipation. David

Which folders do you mean, exactly? Sharing folders via iCloud? Creating shared folders as in "File Sharing," or the Shared folder that appears in the Users folder alongside other Home folders?

@@macmost When I open finder on left side of screen I have headings decending Favourites /iCloud/Devices then Shared. When I open the shared button there is an icon of a pc monitor and a name I am not familiar with ( pnhub1 ) .When I click it , says connecting then connection failed . May be totally innocent .

@@davon8561 That's some device connected to your Wi-Fi network. Google pnhub1 and you'll see it is "PlusNet" so sort of router?

So, the calendar On My Mac, will be just available in the Mac? Apple Calendar looks to be more private, for me; for frequent meetings with one person who uses android, I can go for the google calendar, or iCloud calendar. An android can access to iCloud calendar if I share? I am learning to use the calendar tool and I wanna know the foundations. I see that is not only a question of having ten calendars in Apple Calendar (ex-iCalendar, right?), but also you may need a different calendar platform like Google. Maybe my biggest mistake was to use the MS Outlook calendar which is full of birthdays and I want to export it to Google or Apple or anything, but I want to get rid of outlook, too much headache.

If you use Mac and Android, then you would use Google calendars, not iCloud. Google Calendar would work on both. Try it and see.

Oh, I thought you actually meant multiple calendars, not multiple iterations. Some of us actually do work with multiple calendars all of which have multiple iterations (Private; work; travel; group). I find so many of these How To vids are so basic and misleading in title.

@@macmost If people are new enough to Mac to not know the things you cover in this vid, they will typically be coming from either Outlook or Google where 'multiple calendars' literally means other people's calendars such as an assistant supporting a number of executives. And having different colors for various privacy, agendas, etc is just selecting that color at the time you create the entry. I'm just learning Mac so I did go in and see they actually do call it a 'new calendar' and now knowing that, your vid is helpful. But, like with most things Mac, that is backwards compared to the transparency in other software for the 80% of the world that uses PC. No wonder there's such a big "I'm a Mac; I'm a PC" theme - it's not which is better but are you willing to re-learn everything you know about software in order to change to a different platform. jmo.

Book with you? If they invite you to a meeting, then you can accept and put it on the calendar you want.

@@macmost But they can't see availability easily in an unconsolidated calendar. Whereas there are tools to enable that with a consolidated one (like Calendly).

Apple should pay you to help us use our Macs properly, knowing more makes us use more, and want to stick with Apple. I really enjoy and smile at the amount of features that Apple builds into its ecosystem that almost noone but you seems to have any clue about. In a way it is so sad. Do you know why I am able to set multiple alert notifications on my iPhone (IOS 16.3), but can only set ONE alert on my iMac (Monterey version 12.6.3)? It makes no sense to me since the calendar alerts are shared. I was able to set multiple alerts on my iMac prior to version 12.6.3, but Apple techs tell me that it has nothing to do with the Apple operating system, only with the App. The app is an Apple Calendar, so it's their app. I really like the ability to set multiple alerts from my iMac because I'm sitting at it all day. Please advise if there is anything that can be done about it! And yes, I have tried every possible way to get the plus sign (+) to show up after setting the initial alert. Thanks kindly!

Not sure. I can definitely set multiple alerts in the Calendar app on macOS. Is the event in iCloud or maybe another system (Google, Yahoo, etc?)

@@macmost I'm sorry...I don't understand. The event is an appointment that has nothing to do with another system. Whether it is in iCloud...I would say yes, because when I set it on one Calendar, it gets immediately transferred to the other (i.e., set on iMac...transferred to iPhone, and vice versa). Do you have a Mac computer with Calendar that you can set multiple alerts on. I can't on my Mac running Monterey 12.6.3. Please explain your logic for your question. Thanks

I have multiple calendars setup from various sources, with different email address Eg. Work/Home Etc., but when I receive a formal meeting request, I can choose which calendar to add it to, but when I accept or decline the event, it doesn't respond from the calendar I added it to. It seems to be quite random which email address the Accept or Decline is sent from?
