In this video, we learn about PowerApps collection. These are a special type of variable that allows you to collect a table worth of information as a variable. You can use it for things like creating a shopping cart.

This was one of the first videos I watched as a total PowerApps n00b (I was building a uniform ordering app and used collections to compile the order). I have since (in less than a year) had two promotions and now build and train people in PowerApps, Flow, SharePoint sites and Power BI for a 5200 person State Government department in Australia - all thanks to finding your channel. You are in the 'for more training guides' section of every training session I deliver too. Thanks for being real, concise, practical, and not waffling on! Keep them coming! I still manage to learn new things :)

On the Save button i've reversed the Set(Edit, True) to Set(Edit, False). I'm sure you just forgot, but incase anyone else forgets to do that, it's a great idea. Your videos are great, I wouldn't be able to create PowerApps without them. I was a total noob last week and have created 3 apps since - thanks!

Hi Shane, I really enjoy your videos! I have an excel table which will likely be a few thousand records in a year. My question is, which I can't seem to find the answer to - are collections always necessary? The workarounds to bring multiple records up to the app seem quite cumbersome, especially if they wanting to update records. Where data exceeds 2000 rows, is using a delegable function like filter just a better option?

Hi Shane, thanks for making this so easy to understand! I'm trying to create an app that tracks some items for home improvements - dates for tiling, painting etc. So I have a screen with some cards in it, one for each stage. I'd like to then collect each of them on a separate line and then patch to be stored at the end, but can't figure out how to make that happen? So it would have columns for QuoteID, Stage, StartDate, EndDate, where stage refers to what's happening (painting, tiling etc). I'm also wondering how best to update records as well - if a date changes, and the quote is opened up again, how to collect that information and then when patching back how to overwrite the original record?

Thanks Shane for this videos they really help us A LOT!, one question, is it possible to add a field from another screen into a collection using Collect()?; it's a shopping cart that needs to specify delivery destination and that data is added on the first screen before collecting data on the details screen of each sku... thaks again in advance. cheers from Chile!

Yes. You reference controls (fields) the same regardless if they are the same screen or not.

Shane, I have a cool tool tip for you. Instead of hiding variables, set their X position to ScreenName.Width and the Y accordingly. That way users who are editing the app will see the variable.

Shane, Thanks for all your great videos. Can you guide on limitations around collections. Like how many collections can an app handle & how many items in single collection can there be. Considering the regular mobile phone capabilities.

There are not any hard limits, the answers are all just "it depends" on your device, your data, and how you are using the collection.

Shane, I’m just starting to learn power apps, thanks for your videos, they’re awesome. The issue I’m having whilst putting this demo together. When I put the second lot of labels in at the bottom and group them, then apply the patch, rather than editing an existing record, it adds a new record, rather than editing the existing one in the gallery?

Hi, I am new to powerapps, I find your videos interesting and straight forward to follow. I have a question regarding collections. I would like to be able to add images to a collection but there is not a set amount, I would like to user to be able to add as many images (from the camera) as they need to. Therefore the collection would need to be dymanic? Or would all the images be stored in the one field? Hope this makes sense and hope you can help. Many thanks

Hi Shane thank you for doing these videos. Have you covered Auto Generating an ID? I would like each new record to auto-populate an ID based on the last ID in Excel.

I haven't..... My first thought is to use the Last function to get the last record in the Excel and then just make your new ID something like Sum(LastRecordID, 1) probably easier way but that is first thought I have. Hope it helps.

Hey Shane! Your videso are very easy to follow! Thanks so much! I have a question: Is it possibile to a Sharepoint list that contains a column "stakeholders" which is a type Choice, multiple choices allowed, modifiable? In powerapps someone is able to type out a new stakeholder and is it possible to update and add this new item to a the sharepont list choices?

It is. SharePoint will let you patch in a choice that isn't in the current list. I have done it messing around without issue but not sure how it plays out. Collection function looks like shopping cart to me, but i'm not sure after this video. I will be great if you can elaborate on how to use this function, e.g. transfer the data in collection to CDS or Sharepoint List or workflow. Overall it's still super helpful, thanks for your wonderful video!

Thank you Shane! Can I ask in some of your other videos you used the 'Parent (Default)' as the second input for the patch, what is the purpose of using the Parent Default input?

Patch(List, Defaults(List), {column: value}) is used to create a new item via patch. Patch(List, LookUp(List, column = value), {column: value}) is used to edit the existing record returned by the lookup. I hope that helps.

Hello Shane, first of all many thanks for your effective presentations. They have often given me the necessary food for thought with my Powerapps problems. At the moment I have a problem that I can't get solved. I thought this video would help me, but somehow I'm stuck. I have a sharepoint list that contains all the computers in my company. I filter this list by my department and display it in a collection. I would like to include individual records from this collection in a form. Unfortunately, I cannot do this. Please excuse my inconvenience but my English is not that special. I hope you have some time.

Hey Shane, Thanks for the video and all the other ones you put out, they really help me out. I have a question about how collections are stored in memory and I was hoping maybe you could shed some light on this. For instance, if I were to create an web store in powers apps, and I wanted to create a collection of selected products to populate a gallery, how long does a collection stay in memory and who will have access to it. I would want to make this site publicly facing, with the customers not having any unique identifier or set permissions for them. Thanks, Chris Benoit

Collections are just there for the user who is running the app. If you want to have more permanent data then store you items in a data source, like SharePoint or SQL.

Dear Shane, I'm trying to find in your videos or google how to set a lookup with the Patch function. There is absolutely nothing on this topic on th eweb. Could you make a video or explain how to do that ? It is to set, i.e., the Account field of a Contact in Dynamics 365 CRM. An error returns "the type must be a Record" but the schema waited is a mystery. Thanks again.

I haven't done much there. I guess you could do a lookup and if the lookup doesn't find anything then write the record. Not sure. Something I need to learn more about for sure.

Hello Shane. I have started to use powerapps and I have started to see all your videos since those are the best one I have seen so far! Congrats for the good work and keep it up!!! One question: I have done a draft app when the first step is to download the data from a onedrive folder, and don't have any problems with it since the default connection handles it pretty good, however when I run the app in Microsoft Teams the data is not uploaded. I have tried to execute the collection both "On Start" and on the "Visible" of the first screen but none of them have worked... Do you have any suggestion? I don't want to use a button to trigger the data to be downloaded. Thank you again!

One of MANY great videos! This helped me greatly! I'm trying to go one step further in the Collection area. I have a form for requesting Exchange resources. These resources have multiple security groups. Most of them will have the same users in each security group. Others will have some but not all. What I want to do, is have the user have an option to click a button to copy the users from say fullAccessCollection to sendasCollection. Then they will have the option to edit the sendascollection to add or remove more users. I'm trying to make the User Experience as simple as possible to speed up the process of filling out the forms. I can have up to 7 security groups with some having duplicate data. I've scoured the web but haven't found much of anything addressing this possibility. Any suggestions you give would be appreciated!!!

Hi Shane - thanks so much for these tutorials! Question for you - I'm not sure it has to do with collections but from all of the videos of yours I've watched it seems the most accurate. I am creating a click out app for users but am stuck on how to hide duplicates. Example: within my script in SharePoint, there are 3 possible outcomes per the same choice in the previous column (all built as single lines of text as I've read that choice type will not work with power apps correctly). When I have this viewable in my gallery in the app though, it's showing the same choice as 3 separate buttons. My goal is to have them as combined as 1 single button that then clicks out to 3 different choices/details. Would this be done via collections or do you have another video to direct me to? Any help is appreciated!!

Shane, Thanks again for the great videos! I have one question, how do you take several forms on different screens and put them into a collection, then submit them to a sharepoint list. I use Collect( CollectReport, {All my stuff}) on each of the screens then a Collect( 'Sharepoint List', MyCollection). It will not write to the sharepoint list and will create a row of data for each form in my collection?!?! Not sure what Im doing wrong, any Ideas??

I bet your columns don't match between 'SharePoint List' and MyCollection. If you hover over the formula with the mouse it will usually tell you what columns don't match.

Not really. But the larger the collection the more stuff you have in memory the more likely you are to cause performance issues.

Love your videos. PowerApps coding seems pretty intuitive, but really where is there good documentation for those of us that are comfortable with VB, VBA, and C# for example? I have a VBA app that writes to SharePoint lists with multiple tables with one to many and many to many relationships. I have yet to see how to integrate referential integrity if I am pulling information and writing to and from multiple tables. What use is there of showing a drop down on a form from a separate table, (I.e. color and departments) or writing to a collection if, as I have found now, it subsists only online and in the case of collections only for a session. Shouldn't there be a primary key and ID that is written back to tables. I suspect there is.

Thanks, Timothy - Maybe I did a bad job setting context. Here I was trying to teach collections. I think to your questions there a lot of answers. For customers, I have been creating the referential integrity within PowerApps. Example, the customer has a SharePoint list integration form that he uses to track job applicants. For the location field, we provide a drop-down. That drop-down is populated from their master location list in a different Site Collection. When you add a new item you choose your location Cincinnati in the drop-down and then we write that text value to the SharePoint applicants list. We don't store any type of reference back to the master list. Now if that was what you wanted to do you could. You could display the text Cincinnati but capture the list item ID and write that behind the scenes. Then you would do all of the plumbing but you would have the reference I think you are looking for. There is also the ability within SharePoint to use LookUP columns which do a lot of this for you for free as long as the other list is in the same site collection. Personally, I stay away from LookUp columns. They are just slightly different in every way possible. And they and PowerApps have some challenges working together. I know lots of people do use them, I just don't like them so I don't. Long story short. You are right thinking that PowerApps and SharePoint can give you the experience you are looking for. Shane, can you run more than one function on a button click?On Select of the button to Save, I'd like also to Save (Patch) the collection and switch the display move of the Grouped item back to View from Edit.Great show, just getting into PowerApps and the short snap approach works well for my aging brain cells.Keep up the good work.

Love all these Lessons - you're Awesome!! Shane when editing details from the collection... the coding we used was Gallery1.Selected.@#$#@ (name of the list-item in the collection). I'm trying to find the coding for a Dropdown Box can you help? this is what i'm using to add the dropdown item to the collection: {Managed: Managed_YN.Selected.Value} (the dropdown options are Yes, No) How do I pull this to the Edit Screen?? great video. Have you discovered a way to use forms with collections? The collection shows up as an option for the datasource but it doesn't recognize it when trying to add fields. It looks like powerapps doesn't support this functionality yet. What I've actually tried doing is setting the data source to my sql table, adding fields, and then switching back to the collection, which is basically a copy of the sql table. I'm using the collection to store the records on start so I don't have to make frequent calls to the database. It's a shame forms can't officially be used with collections w/o a work around.

Shane, Happy New Year from Scotland! Thank you for an excellent series of videos. I am hitting an issue with patching changes in an existing list in SharePoint back from a collection. The scenario is that we have a series of outlets (which don't change) and their data is held in a SP list. I use an app to allow managers to update on "their" outlets on a monthly basis. The update data is held in a collection in the app, due to their being mostly mobile workers. But I can't see how to write ONLY the changes from the collection back to the SP list. Any ideas?

To write only the changes you would need to track those changes and then update those records. I will sometimes add a field to my collection IsEdited and set it to false. Then if they edit that record set it to true. Then only update those changes.

Hi Shane, thank you for your videos, they've been reaaaally helpful for me to get into powerapps :) Now that I am a bit more experienced with it, I would like to use powerapps to create bulk records into my datasource (excel file on onedrive) instead of copy pasting directly in there for data validation purposes. I've done some researches and I think it's possible by using Patch, Collect and ForAll functions applied to a text input but I am still struggling with it. Would you have any advice about this?

Basically I would like powerapps' users to be able to copy a list of names from an excel file to a text input in powerapps. Then they would chose the City from a dropdown list which is common to all the names listed. After submission, I would like these information to be consolidated on a onedrive excel file, where first column is Name and second one is City. Each name they pasted in powerapps would be added to the end of the Excel list, by adding a new row, and the city they chose from the dropdown list would be applied to all these names recently added. I kind of have a result by using the Split(XXX,Char(10)) function to my text input and then Collect, but I still struggle to apply the same city chosen from the dropdown list to all these names, in the excel file.. Not sure if it is easier to understand now ?! :) Thanks anyway for trying to help me on this!

If someone is trying to work on the same idea, I found an easy way to do that. I used a Microsoft Flow triggered by a powerapps button. The flow is linked to my excel file on Onedrive, and the action triggered is "add a new row in the datatable". From there, it is easy to declare in Microsoft Flow which data we want to add to the different columns of the datatable. Hope this helps.

You can display a collection using a gallery or data table. What is your end goal? If you want to keep it you will need to save it somewhere.

Quick question. I've got a gallery showing data that I want to filter by a the value in a column of a collection. Like only show items #2, #4,#5,#12. I'm banging my head trying to figure out how to make that work. I can filter the gallery by a single value just fine, but making it only show specific items... Collections are variables. So you can populate them from your SharePoint list. Then you can edit them in your app and then push them back to SharePoint. Maybe leave a new comment on more speficially what you want to do ?

Hi Shane your videos are very much informative. I need a help. I am totally new to Powerapps. I want to add the picture to the sharepoint list with other list column data in the same form and user will have a remove button too to change the picture again. So basically in new form user would be able to add the photo(from gallery) and then could change it in edit form and would be able to see in the view form.

You can only collect 2000 items from a data source but I am pretty sure you can add as many items as you want to a collection. Never explored the upper bounds here. What do you have in mind?

Hi Shane, I have a SharePoint list that has just over 6000 items in it which I need to manipulate. My thought process is to add all the items to the collection and then use that to work with, patching the changes back to the SP List on a button select. That way, I should be able to get round the delegation issues that I keep getting. Hope that makes sense!

Hi Shane, thanks for another great video on powerapps. As you can see in the video when you created the collection, Collect(ContactInfo,{Name: I_Name.Text,Phone:I_Phone.Text,Comments:I_Notes.Text}), so the first column that powerapps would create in the collection would presumably be the Name column (based on the order of the command in Collect()) but in the collection itself, it sorts all the column in alphabetical order. Is there anyway we can alter the order of column made in the collection? Thanks in advance

Hello, i created a collection by collecting datas from different galleries(different data sources). Is there a way for me to patch and get the collection up on sharepoint, like create a new list based of the new collection. Basically the context is, the students get to choose the courses that they wish to take from different subjects and that directs them to a summary page with all their choices. and when they click confirm, (this is what i want to achieve) their choices gets recorded and saved into a list on sharepoint which i can view. Would appreciate if you can give me some advice on this!!

Hey Shane, in some of your previous videos you mentioned "=" is actually ":" in PowerApps. But in this video, ~18:55 ,you use the formula If(Edit = true, DisplayMode.Edit, DisplayMode,View)....wondering why sometimes PowerApps likes the "=" and others it only accepts the ":"

Can you make this same setup work with checkboxes? For example...have a gallery of items and go through and check some of them and the status is changed on just the selected items? I loathe checkboxes but have a project where it is what I am needing.

Yes. It is a lot harder than it should be though. What I usually do is put the data for the gallery in a collection. Then have the check box OnChange update the collection. Then process the collection.

Not sure how to do this though. I tried RemoveIf and couldn't get it working. Basically what I want to do is to remove columns from my first collection if my fist collection's date column matches with my second collections's date column. Help will be really appreciated. 1 hour after I posted this comment I found a solution for this. Just commenting here if anyone else is looking for this. ForAll(colSubmitted, RemoveIf( colSaturdays, Date = submittedDate )) here it will remove all columns from colSaturdays collection where Date column in colSaturdays match with submittedDate column in colSubmitted.

Hi Shane... great vids BTW... I learn so much. Thank you. I have an app with a screen that has a table of quantity and price breaks for a part. The quantity and price breaks come from SQL server. The table consists of twenty labels, each with a lookup function for the 'Text' property similar to: LookUp('[dbo].[Part_Sales]',PRTNUM_29=lblSimMAXPN.Text,BREAK1_29). The lookups are using the On-Premise Data Gateway and a lot of times the labels are blank when they should have a value in them. I'm thinking it might have something to do with all of the lookup functions. What I would like to do is to load a collection with the data from one row in the SQL table, and then use that collection to populate the label values. Thoughts? Good idea? Is there a better idea? Thanks.

Yes you need to have collections. You should never do a lookup to your datasource inside a gallery. Way too many calls.

@@ShanesCows Thanks Shane... the lookups aren't in a gallery... they are text fields on a screen that do the lookup to SQL and are patched to SharePoint. But I agree... I need a collection here so that the collection pulls one record from SQL and i can then use the collection to populate the text fields. Can you provide the syntax to populate a collection with one row from a SQL table? I've had the worst time trying to find it. Thanks again!
