What is Fifteen Hats?
Hi I'm Ashley, and I was a successful corporate tax CPA. After years of long hours, moving across the country, and a son, I wanted more. So I got into direct sales on the side to connect with old friends and fell in love with being my own boss.

Then I decided to do it full time, and also have our son at home, and also grow my personal brand. Needless to say now I wear a lot of hats throughout the day as a mom, business owner, team leader, wife, chef, maid, and on and on....and so Fifteen Hats was born.

Hmm I see what you mean. It doesn't seem to want to save the updates any longer. I'll have to play around with this later and I'll get back to you. Thank you for letting me know! Saving it as a new template is definitely the fastest way to adjust it at the moment.

How can I bulk update fulfillments?

When you say fulfillments what do you mean? So if you have your inventory loaded into Square already, once you send an invoice and it is paid it should automatically adjust your inventory totals. If you have a lot of changes or issues with inventory you can export your item list, update totals, and reimport. If you only have a few items to update the inventory item count on you can go to the item and individually update the totals as well. Depends on exactly what you are trying to do! LMK

I don't get a template option when I get to the 3 dots. Maybe it's an older version? I only get something that says plain text, which I can I can edit, but nothing that says more options, so that I can save the changes.

Hmm I'm on a desktop using gmail.com with Chrome and it still looks the same for me. Which browser are you using? I see what you are saying about plain text mode, but I also have the option for labels and templates. I did find this maybe see if you need to enable the templates! **Enable templates** Open Gmail > See all settings > At the top, click Advanced > In the Templates section, select Enable. Let me know if that works!!

How do I add a category for barcodes so I can track inventory and also add a location (Aisle A level 2 bin 13) per say. Do I do it within Exel then transfere it to square? or there is a way to do it within square?... thanks so much Sergio Diaz

Hi! I don't actually use the barcodes myself. I'd assume you could import into your Square file. You can definitely add a category to the barcode. I know you can add a location as in store, but not sure about aisle. You might be able to add it in the description of the item?

Hi! I have the free version of square! So I do not pay for a subscription. You just have to make sure you have the inventory selections turned on. The interface of Square has been really updated since I did this video. I really need to sit down and do an updated one that shows the new look. If you have any questions let me know!

Hi! Not sure if you figured this out already or not, but let me help you with that! I don't always get notifications for comments and didn't see yours. If you have setup on Square to accept payments then afterpay should already been enabled. When you go to send invoices if you scroll down to payment options you can click the checkbox to allow clients to pay with credit/debit cars, ACH transfers, Cash App, Afterpay, and giftcards. Just mark the checkbox before sending to clients. If you want Afterpay turned on for all invoices, so you do not have to check it each time you create an invoice, do the following: 1. Go to Invoices 2. Click Settings - Invoices 3. Click your default Square Invoice Settings. Should be right under the New Template Button. Click Edit in lower right on computer. 4. Then you can make any changes you would like to your standard invoice. This is how it will show up each time you create an invoice. Scroll to the payment section and check to turn on Afterpay and save template. Let me know if you have any other questions! Happy to help! :)

Hi I’m so sorry I just saw your message. You do not have to keep inventory/ library of products. You can enter them individually each time if you don’t have a standard. So you can customize each invoice to your needs.

I found this tool while setting up invoices for my clients using InvoiceBerry, and I must say that Square made it easy to receive payments. Together with InvoiceBerry, it was easy to setup recurring profiles for my clients and receive payments each month seamlessly.

You can, but you will not have the same longevity with it. It might break down the color. Girls do do it though!

After you send out your invoices if you have it properly marked it will decrease your inventory. Then when you go to your item library you can export and reimport for it to adjust or depending on your order sizes I usually adjust item by item. You can go to the item and then click the available to sell number and it pops up manage inventory. Then you can select stock received and the amount received. Let me know if that doesn't make sense.

Hello, Ashley. Nice overview of tracking inventory in square. When you bring in inventory there is a cost associated with purchasing the inventory and it's likely purchased with a company credit card. How does square link the cost of purchasing inventory to your accounting software, ie; Quickbooks, so you can reconcile the purchase transaction of the inventory with the charge on your credit card statement? Does it send a bill to the accounting software or would you have to create such a bill in the accounting software separately?

I keep my cost of goods in my accounting software. I think the paid versions of square might be able to track this for you, but the free version unfortunately does not. I believe the paid version is Square Retail Plus! Otherwise, like I said I just keep track in QBO.

Hi! It looks like Square is available in the USA, the UK, Ireland, Canada, Australia, Japan, France, and Spain for accepting payments. It looks like the app is available in most countries listed in the Apple App Store and Google Play. Hi! I'm not sure if they have updated this yet, but in the past I was trying to use their Beta version for connecting the two with QBO and it was a huge disaster so I ended up just tracking inventory in Square and making adjustments as needed in QBO. I did search and their are outside providers you can use to integrate your Square Transactions with Xero! Looks like Synder has that capability! Not sure if Square has corrected their issues with linking directly with providers as it has been a long while since I looked, but third party is likely the way to go if not. Hope this helps!

When you are adding them individually you would create a new item and then add option. From here you can add Size/Color options. This will give you the chance to add the sku for each item, price, weight, and manage the stock for each item on the main screen. If you want to add the options ahead of time - Size, Colors, Etc. You can also go to the items tag, click options, and then add options from there so when you add individual new items it is all there. For mass importing - You would include these options under Option Name and Option Value. Does this help?! If not, let me know and I can try to assist further.

Hi! I spoke with ship.com and it seems there is a way to connect more than one business to your ship.com account. You would just need to followup with their customer support team for assistance on how to do that! However, most times it is best to keep your businesses separate for tax purposes. So you may want to keep that in mind before co-mingling. Otherwise, they can assist you with it. :)

Hi Shelley! I wanted to return to let you know further information from ship.com they provided. They said you can import orders from Square and Shopify easily when you set it up through the system (if you have sales coming from two places). Plus, you can always email them directly at help@ship.com and they can provide additional assistance on getting your business setup effectively. :)

On the SeneSite page trying to set up the shipping portion. Put in price of $9.50 but not sure who to list as carrier. I recently resigned and thought I would try the senesite.

Hi! Welcome back! Are you going to be shipping your items or are you going to utilize CDO/K&T so SeneGence ships it? If you are going to utilize where SeneGence is shipping then it won't matter what you select. Pick something and have it redirect to your CDO/K&T site. :) That way you can use a custom link, but SeneGence is responsible for all shipping. If you plan to ship, you likely would ship USPS I'd think. :)

So sounds like she does CDO/K&T. I'd put in USPS. It won't matter when you redirect the senesite to CDO/K&T because SeneGence sets that rate. ;)

For your giveaways you should scan the item into a transaction and discount it to $0. Save the receipt to show your lost income. You can use that amount for tax purposes.

Yes, looks like invoices must still be between $0.01 and $50,0000. That's why I had to change it the way I did in the video :)

Hi! So Square does not charge for the basic inventory tracking that I have shown in this video. There are more advanced options if you get their paid plans, but this is free. I'm not totally sure how Apple iWorks factors in as I'm not familiar with it. You need an .xslx or CSV file. If you can't do those with iWorks then you can put it into googlesheets. Hi! First, send them the invoice. From computer, click the three dots and select add payment, record payment, and then select cash. From phone, click on the invoice, click add payment, click next, then click cash. Hope that helps! :)

I'm not sure you can remove them. I think you would just have to let your client know how you accept payment and that you will send an invoice for receipt purposes only. Or put in the notes section that you accept payment by cash or check only.

To my knowledge this is where Square really misses the mark and they have not improved to fix this feature. At the end of year I export my inventory to excel at 12.31 once I have done final inventory so I have final inventory numbers. If you are past your fiscal or calendar year end date it is more cumbersome. You can export your numbers now and then go back and look at the historical view for each item you sell, but there is not a quick easy method to export inventory as of X date. That would be too simple 🙄 So you have to do a bit of calculations if you are on the free plan. Invoicing is 'free' you just pay the processing fees. Those depend on how you are processing your credit cards so I'll leave this here, but it'll be for each transaction ran: squareup.com/us/en/payments/our-fees Payroll looks like it is $35 a month and $5 for each employers/contractors or if no employees then $5 for each contractor. squareup.com/us/en/payroll/pricing

I think it totally depends on what you need Square to do! I use the free plan because it tracks my inventory, invoices, keeps a client list, etc. Is there anything specific you a are looking to have square do other than invoicing?

For example, the plus plan gives you client amounts where they can login to order, so a website and link your domain , it always ppl to pay with PayPal. For me, I don’t need any of these features so the free plan works great. 😊

I have the contactless card reader and use it for in-person events. I'd assume the bigger transponder would work in the same way. :) I agree, my orders are still easy enough to handle invoicing directly as I'm not receiving 1000s a day. I'd think you could upgrade your account fairly easily if you wanted them to have their own logins on the website. The difference in the plans is your clients would have a custom account for them to login to etc. Here are the details to each: squareup.com/us/en/online-store/plans

Can adding inventory stock to an item be done with a bar code scan? All my items have bar codes. This would be the easiest and fastest way to add stock. One scan adds one, two scans of the same barcode adds 2, and so on. Or can an inventory scan be used instead?

Hi - I don't use a barcode scanner with Square, but it can be done. Here is an article on the types of scanners that are compatible with your point of sale squareup.com/help/us/en/article/5143-bar-code-scanners-with-square-point-of-sale#:~:text=USB%20Barcode%20Scanners%20are%20supported,the%20scanner%20to%20your%20device. I'm not certain if there are any caveats related to how you can use the barcode scanner depending on the plan you are on, but I didn't find anything quickly.

I do not, but thank you for the feedback! I'll have to film one. In the meantime, if you go to your items > image gallery > Click Upload and select all the files you want to upload. You will be able to grab all the images at one time. When you are in the item you can add any of the images from your library by searching and selecting. I'll add this to my list to film in the coming weeks.

I finally figured out how to fix the issue with the stock not being correct for my online site items because of this video and you showing/explaining the exporter XLSX sheet! Hi! I don't use the tablet, but yes it should. Your inventory should be linked together under your account. I can't find anything that says otherwise.

How would I pull a full month processing statement?

Do you mean the credit card processing fees? If so, you can see those under reports > sales summary. Then when you scroll down there is a Fees. As long as you have this page set to the month as dates it will show you the total fees paid. If that isn't what you mean let me know!
