This is the best down to earth SharePoint video I have seen! Especially the SharePoint list vs Microsoft list which just clicked for me. New subscriber and I plan to go watch all your videos! Curious about sub tasks in a list? Is this possible or just use group by filter. I’ll watch more videos to see but figured I’d ask.
@@danielalmas9647 hey I appreciate that, a lot. Thanks! So there's no official way from Microsoft to add sub tasks to your SharePoint list, but you can get a little creative with some options. There are too many to list, but If I'm feeling froggy, I might make a video about it. Thanks for subscribing!
Hi I've created a risk register in SharePoint. I'm having difficulty in showing the risk rating automatically when you select the likelihood/probability and Impact. I want the risk rating to be in words instead of numbers and colour to reflect the rating. Do you provide lessons to do that?
I Hate when I miss RU-vid comments. Apologies. Judy and I chatted via email, but for anyone else, if I miss your comment, LinkedIn DMs or email is a great way to get a hold of me. Thx!
Thanks Therman. Highly interesting! In my point of view, it would have been good you add a new item in the SP list just to show the XL table is updated accordingly.
@@christianlecot8195 ok gotcha. I've been reviewing a few of my videos with the aim to update them and make them better. I'll add your suggestion to this video. Thx!
I have watched so many videos on how to use SharePoint Lists and none of them have explained the critical difference between Microsoft Lists and SharePoint Lists, ie one is for personal or private use, the other is for public (company) use. Thank you for making this so easy to understand!
No problem. Glad to help. At the time of this video, the interfaces between the two looked a little different. Now they're the same, but the whole private/public premise still stands.
Should we always have a risk register in place as a Project Manager ? I am thinking of just adding this to my Project Management site to be on the safe side of things
@@bitokay147 I've heard some project managers say "definitely", but I just spoke to a PM last month that said "I never use one". My advice is your project will probably have risks...so you should manage them. Whether or not that requires a whole register might be a different story.
Hello, thank you for this video. I am looking for the export to Excel option and I only show export to CSV, to CSV w/Schema or to Power BI. Do you know why this may be? I'm on a Mac. That may be the issue, but that would be super disappointing as I would love the data sync.
@@shayannagreer4422 thanks for watching! Why not export it to CSV, then open it with Excel? Excel opens CSVs. When you're done, save it as an Excel file.
Did you create this using power apps and power automate? Another question... Are you able to link action logs with a risk logs on SP? Ideally I would like to link and action log to a risk log so that changes to the action log can update the risk log in real time. Is this possible?
What's up, Blair. 1 - Did NOT create it using Power Apps or Automate 2 - Yes, you can link the Action Log with the Risk Log 3 - You CAN have the risk log update based on the action log. You'd want to use power automate for this. Does that help?
Did you make this using power apps and power automate? Another question... Can you link and action items list to a risk log in SP so that it updates in real time to change the status of the action/risk and sends notifications to those responsible for the action/risk?
You want to use a combo of regular drop down columns and calculated columns. Regular - Probability Regular - Severity Calculated - Probability Number (If probability is x, make this column y) Calculated - Severity Number (If severity is x, make this column y) Calculated - Risk Score (Probability number * severity number)
You just saved me months of research. I needed something to log all of our HR complaints and this will definitely work. Our excel sheet is out of control
Yes!! Glad to help. However, if you'd like to have folks leave their complaints anonymously, you can use MS Forms. The only issue is the results populate a spreadsheet, not a SharePoint list.
I tried implementing Microsoft lists at a previous organization but Management was overehlemed at the interface and reverted back to Excel - change management is a real struggle if the right supports/resources are not in place. This was a great video btw 👏🏼
Hey Monica, thanks! One of my recommendations for situations like what happened at your previous job, is to just do it and let people ask about it. In other words, when it's time for you to collect information, send out a link to a list. Start with something small. People will take notice and then ask "hey, what's that tool you used"!? The trick is getting the decision makers to take notice.
@@thesharepointhelpdesk thanks so much for the recommendation!! I just started a new gig recently - maybe will test the waters with this Management group. I'm a senior EA to the CEO so hoping they will be receptive 🙏🏽 I just want to be thoughtful since I'm new and not throw too much at them just yet...you are wise in saying start small ☺️

Literally feel like just playing this in my team meeting next week. Been banging my head into a brick wall explaining why people need to get away from entering data into an Excel tracker lol
My sharepoint list skills are pretty basic - if I were creating columns like probablility and severity - where can you format those drop down text options?
You want to use a combo of regular drop down columns and calculated columns. Regular - Probability Regular - Severity Calculated - Probability Number (If probability is x, make this column y) Calculated - Severity Number (If severity is x, make this column y) Calculated - Risk Score (Probability number * severity number)
I appreciate you replying @@thesharepointhelpdesk ! It was your drop down column I was particularly interested in, as when you selected the text, the options were nice and clear as they were colour coded (I like this way of selecting the text rather than number and let sharepoint assign number & calculations!)
aah - I was creating from list settings, but see I can create straight from the grid view screen which gives those options! (I figured this out by watching your next video on creating the action log)
Dang! Sorry Nick. Didn't see this question. SharePoint alerts do a good job of tracking the changes. In addition, list items have version history. If you wanna get really fancy, you can use power automate.
