Acrobat 9: Inserting an Image File into an Existing PDF Document

This tutorial shows how to insert a .jpg, .gif, or .png file into an existing PDF document using Microsoft Word. This video shows an example with a signature file, but any image file can be inserted into a PDF using this technique.

Hi. This worked in Acrobat 9. The good news: The PNG maintained its transparency. The bad news: It lost a lot of its resolution. In any event, thanks for posting this useful video.

Thanks David! I'm working with Adobe Acrobat 9 Pro and Microsoft Word 2010. Using your method, pasting a PNG retained the "no background" feature. However, the quality wasn't great. Thanks again for your video! Videos like yours are a big part of what makes the internet really helpful!

You can also go to Tools, Advanced Editing, TouchUp Object Tool, right click on the area you want to "place" your signature jpeg and size to fit.

True, for Acrobat X and later and in documents which have neither protection nor form fields. This video is a bit older, though, and was filmed with Acrobat 9.

This works on Acrobat 9 Pro PLUS it retains the background transparency of PNG files . Thats the way to do it properly in Acrobat 9 instead of the word copy paste workaround.

Thanks for the hint, it also works when using snipping tool. I had to use it anyways, since my scanned signature was a pdf document. Just snip, ctrl c, ctrl v and it looks super professional. In case you dont want to spend money on the Acrobat 9 you can download Acrobat 7 Pro from the official Adobe website

Thanks for posting this, very easy. I don't know why Adobe would not build a "place image" function into Acrobat. I found that a large 300 dpi transparent PNG works pretty good. I got better quality sizing the large file inside Acrobat, rather than using a smaller 72 dpi image. Looked more like I actually signed the PDF.

You're welcome. As for your pondering on Adobe, I'm told by friends who program for other companies that the Acrobat team is where Adobe puts people who are still learning or otherwise aren't ready for programming the higher-level apps like Photoshop and Illustrator. I don't know if that's true, but I do feel that Acrobat is the most unreliable Adobe product. There are a lot of tricks that have to be done to make it do things that should be basic functions.

Another solution is to create a dynamic stamp with your signature image, that gets rid of the background issue and resolution loss. I appreciate the tip vids, thank you!

Open your PDF in Acrobat Pro, select "Tools -> Advanced Editing -> TouchUp Object Tool", right click to the place where you want to insert your image, select "Place Image..." and chose your Image file. This way you don't lose transparency.

while in word edit picture of signature...set transparent color and click in white area. When pasting in PDF paste then select "send to back"...it will pit signature behind the line.

@baashie In theory, yes; however, Acrobat doesn't read. pngs correctly (often) and they tend to be placed in reverse with the empty space being black.

A workaround for the reader (if it no longer works, I apologize.) Copy the image you want to paste to clipboard (right-click "copy image" on internet or use Microsoft "snipping tool" - "edit" - "copy") Open the "comment" toolbar in Adobe Reader and select the "add stamp" tool. Select the last item titled "Paste Clipboard Image as Stamp Tool

I used Snagit Editor to save the signatures as PNG files, then change the white to transparent background within Snagit Editor. You can use other drawing editors as well. Then I used the Stamp feature to save the signature PNG files in Adobe Acrobat 9. This way you can insert the signatures or initials as a rubber stamp in any PDF document. Interactive PDF files need to be printed as another PDF file to use the Stamp feature.

David, this was helpful however, I'm working on creating a cover for my book through Createspace and was wondering how to put an actual picture I will download into word into a PDF? PDF is required for Createspace. Is it as simple as the process you showed? I haven't tried yet because I didn't want to waste time making mistakes. Thanks.

I've never used Createspace. If you have to submit a PDF as the final for pre-flight or publication, and you're using Word as your desktop publishing program, then insert the photos directly into Word. I don't have a tutorial on that. I'm an advanced Word 2010 user, but only have 2003 at home, where my screen capture software is loaded. So if you're in 2010, go to the Insert tab and place the jpg. You may see some tutorials online that say to insert the jog into a table. That's some nonsense and will make the final product harder to manipulate and also make it look unprofessional. So insert the image and then set the text wrapping (an icon that looks like a dog surrounded by prison bars) to "in front of text." This uses the fewest system resources when you're placing the image. When you have it set where you want, set the text wrapping to "square." Then the text will wrap around the image. If you want the image to stay there, right click it and select "more layout options" (I think -- I'm describing this from memory.) The tab on the far left has an option for "move object with text." Make sure that's unchecked and the picture won't move unless the paragraph to which it's anchored changes pages. Make sure you use jpg files, though. Word does not convert gif or png files to PDF documents well -- especially Word 2010. Word 2010 also has a glistch where caption boxes sometimes don't include text when PDF'd. If that happens, then you'll need to download a PDF converter (I forget the name of the one I use) and print to PDF with that instead. I hope that helps.

I'm trying to do this with Adobe 7 and Word 2007. When I paste the image, it crashes Adobe with a Runtime Error. Is there a work around for that? Thanks in advance.

I tried this and was not able to paste the word signature into the .PDF file. I also tried TouchUp Object Tool which screwed up all the formatting of document. My workaround for this problem (which is not very elegant) was to save the .PDF file as a Word document and then insert .jpg signature file and then to convert document back to a .PDF file.

Update/Hint: Regarding a PNG, the thicker the signature, the better it will copy to the PDF doc. I had better luck with a signature I created with a black Sharpie marker. Thanks again.

How do you make it transparent so that it looks like the person actually signed it? You used to be able to do that.

Rob Dawdy I do not recall. I haven't used Acrobat 9 in a number of years. You can't do it with a png or gif, because Acrobat sees transparent as black with those format. There's some other format (windows image file, or something like that, I think) that Acrobat can recognize transparency with.

This only works with Acrobat 9 Professional and earlier. If you have X or DC or will not work.

I'm a little confused. At 1:09, the first step of the workaround is to "open the JPG in Word." But it says nothing about how to actually do that, and I can't figure out a way to do it. If I try to open the JPG through Word, the file name is dimmed out because it's not a Word document, so I can't select it. If I right-click on the JPG itself and select "open with," Word tells me it can't open it because it's not a Word file. Can anyone help me with this apparently elementary step (which I presume is really basic because it isn't explained in the video, so it must be common knowledge). Thanks!

Word changes how to open files in it from version to version. The easiest way is to insert a photo (in 2013, through the insert panel in your ribbon) and then make sure that your image text wrapping is set to in front of text (that used to be a requirement for this to work.) Click on the image, CTRL+C, and then paste it into the PDF. That should do it. You won't be able to open a jpeg with Word since it doesn't have the ability to open jpegs, just drop them in as inserts into a text file.

I too reached the place of needing the signature without background...I opened the signature file in GIMP and then deleted the background, selected by color the signature, and pasted that into word. THen I copied and pasted into the PDF with no background. :D

Thank you for the feedback. I was using Adobe Professional 9, I think. Maybe 8. Anyway, with Reader, you can only read PDF files, not make any changes. An inelegant workaround would be to save the PDF as a high-res jpg (I forget if Reader can do this or not), open it in Word, overlay the signature, and re-PDF. The results will be less than stunning, however.

For backgroundless signature in PDF, skip using acrobat all together and just open it for editing in Word.

That works when the Word file is available. Many companies, schools, and so forth will only share PDF files (especially for contracts) because they're not editable. In fact, it's exceedingly rare for me to even see a Word file from a client. I did on a letter of interest, once, and sent it back asking for a PDF version.

Make sure that in the printer dialog box in Acrobat that you have checked the box for print comments.

David, I have Acrobat Pro 9, so importing a .png file (directly from Photoshop) works. No background. Have you tried importing it from Photoshop as a saved .png file?

First select the Edit Object tool: Tools > Content > Edit Object Then right-click and select "Place image" to select the image. You can then move and resize to suit your needs. - forums.adobe.com/thread/864291

Theres a much easier way to do this. In Acrobat reader version 10, there is a Sign button at the top right hand side of the window. You can import an image file as your signature and place it anywhere on the document.

Open the image in your Chrome browser, right click the image and select "Copy Image".

jp2code I'm not sure how that interfaces with Acrobat.

Chrome's "Copy Image" moves that image to the Clipboard (at least if you are on a Windows PC). From there, you just Paste the Clipboard contents into Acrobat like you showed.

Got it. That works in Acrobat 10, but at least with Chrome and Acrobat 9 when this video was made, that did not work.

save the signature as a png 24 with the background selected to transparent and you wont have a background.

+wetlqd I believe that only works in Acrobat versions X and later.
