Thanks for the details. This helped me finally understand how to only trigger when a specific file was modified and not the whole folder. It shouldn't have been so hard...but I love that you demonstrated a bunch of other options that I can set as triggers. Perfect!
thank you so much this works perfectly for document sets created! I would also like to ask how I can modify this such that I can use When a File is Created or Modified (properties only), but still restrict it to a specific document set? The trigger condition is no longer available for this trigger.
Your most welcome! For a file is selected scenario, you would have to check the document path to know if it's in a doc set (Im assuming that is your requirement).
Hi, Reza! Great video! "When a file is created/modified in a subfolder" helps me a lot. I need to have an automate flow to notify the report requester when a report result has been uploaded to the folder for this report. I already have a flow to auto-create a folder using the requested report name, but don't know how to set up a flow to notify requester when the report result has been uploaded into the folder that is auto-created by the report name, which has dynamic folder and requester. Could you please give me some advice? Thank you so much!
I do not have a video reference on that scenario and would have to try it out to provide guidance. I recommend checking on the forums at powerusers.microsoft.com/ in case someone has done something similar.
Excellent walkthrough - thank you Resa. Couple of questions: How can I see how many API Requests each flow has or my overall totals? Also, can you take this one step further and show how you would trigger based on a specific selection of a drop-down box?
Each flow has analytics which will show you number of API calls for that flow per day. Overall API requests view is currently not available. Check my playlist on flow trigger conditions - ru-vid.com/group/PLTyFh-qDKAiGFDykUngHNNstTABnc-tLv
Great video. Is there a way to trigger the flow to create a new folder inside of a folder/doc set you just created? I need to create sub folders automatically when a document set is created. The subfolders need to be created in the newly created document set. Not sure if this can be done.
Hi Noah, this can be done. A doc set is nothing but a folder with metadata. You can create a trigger condition that starts flow when doc set is created (check Content Type) and then create a folder within the doc set from flow.
For PDF - you would probably need some 3rd part pdf service or use AI features to extract field values. For Excel - as long as your xls file has a table, you can read that data in flow using the Excel Online (Business) connector.
@@RezaDorrani Thanks i follow your advice using Excel, but let me tell what i'm looking for. When an xls is created in a library, i want to read a field (email) and extract it. So evey time I insert a new file i would extract the email for each. But with the connector i can use it for one time, assign a variable for the table name is not possible. How can i add a variable to read the name of the table in each file. Thanks again
@@carlosm5591 I will have to try out your use case to provide any guidance. I will recommend you post your query on the forums at powerusers.microsoft.com/
Trigger condition works great, but I wanted to send a notification to the user and update the state of my item to "Missing file", so I implemented a simple control condition using the "has attachment" dynamic content (if true), then, in the negative branch it updates the item's state, sends an email notification and then terminates the flow. In a way this is more "responsive" since it will react to the attachment being missing, but it will trigger the flow at the cost of resources.
Hello Reza, Thanks for your video, I have a question hope you will answer. when a pdf file is uploaded to the library not List and get that file content and trigger an email with that pdf?
Hi reza . Thank you for another idea's on how the trigger conditions works however i would like to know if there is a trigger condition modified by user. If for example the flow will only trigger if the user modified the column like assigned to column. Thank you so much.
Thank you so much@@RezaDorrani .. another question Sir By any chance if I created a dropdown name column instead of email to be my trigger condition on my "status value" is it possible to work ?

@@RezaDorrani thanks for reply. Is there some video which you would recommend for cloud flows im general Where I can know more about http and api connectors.
Great video. Suggestion: imagine you have a pdf file containing 20 pages. These 20 pages can be broken down to 4 unique categories. Can you please help me understand how you would you creat a flow to separate those documents and then place them in their respective categories?
Looks like you want to split pdf file based on pages into multiple documents and categorize. I don't think there is any Out of the Box action in flow which does that. There are some 3rd party connectors that can provide that. There is a split pdf action with Adobe PDF Tools conenctor for example. I have never tried this scenario, so I may not be the best person to answer this. Thanks for a very good video. However when I add HasAttachment from When item is created to the expression it returns false wheather or not the item contains an attachment. If I add HasAttachment from Get item, then I get true or false output, but I cannot use the Get Item in the Trigger condition.
It should work as demonstrated in the video. Check your expression syntax again. Make sure you have the @ symbol in trigger condition. I will have to look at your flow in action to provide any guidance. I would recommend you post your issue/query with screenshots on the forums at powerusers.microsoft.com
@@RezaDorrani thank you for your reply. I have tried various things, but it still does not work. Can it be that the trigger runs before the attachments are added? According to different articles on the web, that could be the issue.
Did anything change regarding Trigger Conditions? I have have following trigger condition @equals(triggerBody()?['HasAttachments'],true) but the flow is never triggered. If I use a Compose with equals(triggerBody()?['HasAttachments'],true) it evaluates to true when the item has an attachment. Any ideas\assistance will be appreciated.
I have not experienced the mentioned issue and hence not sure what the cause for it could be. I will recommend posting your issue on forums in case someone has experienced something similar powerusers.microsoft.com
Hi Reza Thank you for the great video. Could you please provide guidance on the following. 1. I am looking to find the right trigger where a word document [Test Certificate] is created in a SharePoint Test site consistent with scenario 3 above. What are the content types available- In this scenario, the user fills in a word form and the corresponding column headings and data in a SharePoint Document Library should be updated automatically. 2. I see several thousand instances of billable actions per day, when in practice we are just two people testing it out. We are exhausting out API 3. How do I get the Word certificate to Auto Number starting from WPC-25000, WPC 25001 ... [This is perhaps an expressions and syntax question which concatenates a text string with a set of auto increments starting 25,000] I am a beginner trying to get hold of a starting point on Syntax. Your expressions course is very helpful. Thanks again Cheers Uchit
1 - You can also trigger flow if doc type is word. You would have to define that in trigger condition. To push data from word document to document properties, I beleive it is possible by adding document properties - www.c-sharpcorner.com/article/how-to-fill-sharepoint-metadata-in-word-document-template-using-quick-parts-and/#:~:text=Open%20this%20document%20from%20SharePoint,want%20in%20your%20document%20template. 2 - Imp to use expressions and trigger conditions to reduce actions and API calls ru-vid.com/group/PLTyFh-qDKAiGFDykUngHNNstTABnc-tLv aka.ms/learnexpressions 3- Expressions is the answer ru-vid.com/group/PLN-cZRQeAiDVQ-6ZWGr43yyTcpu6mUgrR concat function
Hi Reza, this is great. The trigger I want to apply a condition to is "When an item or a file is modified" and always after this an "Apply to Each" is inserted automatically after I insert the compose function. This means that to reference my column, it is inside an apply to each, like so: not(empty(items('Apply_to_each')?['FormFilledBy'])). Then it is not working. How can I get the trigger working when apply to each keeps can't be referenced in the trigger?
Hi Reza Thanks for the update 1.Any modifications similar to what you recommend seem to work only when my Manager tries them on his system [him being the local administrator] and not myself [being a normal user] It is our intention to release this form for testing by adding a few more user [not administrative] accounts. These users will be creating test certificates. How can we check that they can do the exact same thing that my Manager can in terms of the new form, or do they need to be administrators as well. 2. The end state I am looking at is for some technicians to be able to create unique test certificates that auto-increment the numbering. It is likely that 5 technicians are working from 5 different log ins to generate 5 different test certificates. 3. Also can we get the system to auto-create PDFs [exported] of these generated certificates for use/storage in other systems. Thanks and Regards Uchit
1 - Depends on the flow trigger. In this demo the flow is an automated flow so will run under the flow Owners account even though users are creating the items. You will have to change your trigger to for a selected item and users will have to manually trigger it. 2 - Same as above 3 - Yes. There are many connectors available to achieve that. Hi!, I've been looking all over the internet for an easy way to send emails with customised attachments - no luck. I need to send a certificate of participation as an attachment to 100 students (a certificate per student). How can I add a specific attachment to each email? I have the pdf files in a library in share point + the mailing list in an excel sheet.
You will probably not get your exact scenario on the internet since every use case is different. One approach would be as follows: Run a flow based on a schedule. The flow will first read the data from your excel sheet (based on where this sheet is stored) Then loop through all items of the sheet. For each item, go to the library and get the pdf file associated with the excel line item (there should be some correlation with the excel data and the pdf file - may be a unqiue id or something) Then use the send email action in the loop, attach the pdf file and email it out to the user.

Hello @Reza Dorrani, How to check same Condition in "For a selected file" action in power Automate Flow. If manual trigger user should select specific file/folder how to check this condition in "For a Selected File" Action?
condition for "I have to send email to user or group if the only status column (having multiple choices) modified to particular choice " any suggestion, please
I don't think its possible because of the structure of a multi choice column. It returns a collection. you can try contains function but I remember this not working for one of my projects long ago.
Hi when I am creating a flow with "for a selected file" action on power automate, for form library it is not showing me flow name when I select a file and click on flow to trigger it manually Is this available for form library as for document library it is working fine but not for form library
I have never tried it with forms library. Forms library is classic in nature. Used for infopath forms. Probably that could be the reason flow (for a selected item) does not show up. You may want to look at some column formatting if possible to call the flow from you library view.
Is there any way I can set the trigger condition and text value format? For example A0432. It shall only triggered when the is A#### (A and 4digit format).
I want to trigger a flow when an excel file is added to SharePoint folder, I also want to use the data in that excel using List rows present in a table. The table name and headers will always be the same, I am not able to do this as it says 'Table not found', please help
You can add trigger condition to check if file extension is excel. As for your issue, I will have to look at your flow in action to provide guidance. I would recommend posting your issue/query with screenshots on the forums at powerusers.microsoft.com
