This was super helpful! It would be extra-level if you make time-stamp bookmarks in the video description. I've tried to go back into the video to review as I try to implement these tips, and it would be the icing on the cake for that. I missed how the Project database was set up.
Its possible to create parent and child tasks (ordered tasks) in Notion (talked about at 1:00:50) You have to create a relation column in the task table to itself, so you can add the parent task to the follower (child task). After this you need another column with the rollup function, wich lets you read props of the parent. With this you can evaluate the "done" state of the parent and write "1" if its undone. Put a filter on the table to show only tasks with 0 in this column (1 are tasks with unfinished parents). And now you got yourself an ordered List of tasks where you only see the start task and the followers will pop in when you finish the first one :)
I’d like some clarification on this- 1. Create a relation from the task table to the same task table 2. Add the parent task to the task table (?) 3. Create roll up column And after that I am somewhat confused...

@@radreadsco Thanks for your reply. I've been playing around with my tasks set up. I have a project dB linked to the main tasks dB. When the review time comes up for a specific project and you open the project page, you see all the tasks associated with that project regardless of whether they are completed or not. This can be a bit overwhelming on projects with many tasks. Do you know if there is a way to filter out completed tasks from the project page? Also, I'm thinking about setting reviews at the individual task level and wondered what your thoughts were on that?
I've been working on learning Notion for 2 months and made more progress in this one video than the last 60 days combined. Understanding that GTD is anti-due dates, most of my work is highly driven by due dates so I will likely experiment with them.

Great video, I just discovered your videos about Notion, trying looking up for a tool that makes easy to work on GTD reviewing and referencing aspects. I was working with Todoist and Evernote and sometimes turns a little chaotic. Thanks for your work.
Useful video... one thing missing in the demo was “Next Action”, which is a Key part of GTD method. Not all tasks needs to have deadline, they are marked as Next Action, the very next action to move the project forward!
Yes, it's a good observation. Next action is tricky to implement in Notion. I know it's possible, but have to think about a) how to implement and b) is it worth it
The GTD method also consists of different components such as "Waiting For lists", "General Reference", and "Maybe Lists". Are they somehow already included in that template? And if not, how can we impliment it? Btw I've been searching for a system suited for GTD and I just came across this video. Really a lifesaver!

This was awesome. I’ve created a GTD style database, but it was just the basics (listing tasks and using multi-tags to categorize and sort) But I haven’t considered creating a project database to link to my GTD tasks

Hi Khe, I am new to your channel, I tried to implement your Notion + GTD but I felt like it missed out some of the small details of GTD, which is explained in an If-Then Workflow graph. First of all, it doesn't really say what tasks can be accomplished under 2 minutes. This is useful because you clearly need an Inbox for your Ideas - so to filter them out, you need to take them out of the 2-minute mark. Second, I think you missed the part where it says, to delegate or to defer an action. In your system, there is no clear way if you are waiting for someone to complete a task or if it was assigned to them. Third, if you defer something, Notion doesn't really have a way to embed a Google Calendar, which is also important for set meetings, events and appointments. A calendar also has a lot of actions tied to it so it cannot be ignored. Fourth, how about the Vertical Review Layout - would you include it in the future? Fifth, project views are a little bit lacking. For example, I would like to see the list of tasks under my project. One time, I have listed 15 tasks on a given project. I would like to see if I assigned it to my virtual assistant, video editor, or myself. Sixth, what is the true way to complete an Action, is it a Done check mark? I forgot if you covered it in your video. However, for the most part, your system has covered the Review part and using those linked databases - are excellent. This is just my two cents and I am not sure if you will find it useful or not. Thanks and appreciate your tutorial.
Bart - Excellent feedback which I'll def incorporate: 1. 2 minute rule -- yes, I glossed over that, but that's more of a behavior change than the rule 2. Yes, I'd include a Waiting On tag. Deferral is definitely a bit harder in Notion. 3. That's a tough one in Notion, given lack of integrations 4. Have you tried aligning it as a Kanban Board? 5. Yes, you'd have a lot of degrees of freedom to do this but agreed, it would require many more "cuts" of the data (or perspectives) 6. Yup a check mark

Hey I loved the stream and I immediately made the productivity system in Notion. It's awesome, but I've got a problem. I understand you are busy but I'd appreciate your time if you could help me. After checking off 'done' from tasks list, the 'done' tasks still remain in the project list.. and they do not go away. What should I do?
@@radreadsco I'm not talking about the tasks list. I'm talking about the projects list. When you go to the project list and after u check done in the tasks list, tasks are still there in the projects list.

Thanks for the great video, Khe! Can I ask you a question? In the project table, the items in "Tasks (linked)" keeps accumulating when we assign a task to a project. If a project is called "work" or "single action" like in your tutorial, chances are that the "Tasks (linked)" column might explode because "work" is not really a project that might end. How to tackle this issue?

Is your GTD_Task List actually massive with all the tasks ever put into it and just selectively filtered to only show what isn't done or within a certain time frame? What actually happens in the digital ether to "Done" tasks?
Hi Khe, loved your video with Ali. I have a question, when I mark a task as 'done', it's great that it disappears from the dashboard and tasks pages. However, the taks still remains visible in the projects page within the project it's associated with, even if checked as 'done'. I'm not seeing an easy way of getting rid of these or auto-archiving done tasks to a separate area which would be really useful for record keeping. It's soooo close to being a perfect system but this is bugging me so much! Any help would be greatly appreciated.
Yeah, it's not ideal -- One soluition: always access tasks thru the tasks table (and filter by project). Not ideal Another thing people do is "archive" the done list every month/quarter (i.e. move to different table)
@@radreadsco thanks Khe, however, I still see a problem when projects flag up for review. When this happens you're going to see the project come up and (because they are a relation) every task associated with that project. Meaning every week, for example, I'm having to sift through a projects tasks without a way of knowing what's checked as done or not.

It's a good question, since notion doesn't support recurring tasks: What I do is I have a Google Sheet of all months (1/1/20, 2/1/20... 12/1/20) and I just paste those in to create one year's worth of tasks. Not ideal, but works
Hey Khe, thanks for showing the setup! Was just diving into the GTD book & your video is great to set the system up in Notion. One thing i was missing is the Waiting List. I have solved this with Subpage within the GTD Dashboard page, where i insert "waiting on" tasks. These tasks i have linked into the Projects table as well as a "waiting checkbox". In the GTD Dashboard i have included a view that shows tasks from the Projects Table & inlcudes the "waiting on" property & the project name. @Khe Hy Do you have set up an easier way for the waiting list or do you use the waiting list feature of GTD at all?
Hi, good video thanks. If for example I have 5 projects each has 5 actions I drag up and down to determine their sequence can i create a task view that automatically pulls through those top actions as a "next actions" list. I'd like this to be automatic, I'd prefer to not actually go through the list and identify next actions, they are determined by them being the top or first action under each project. Rgds Rob
thank you. Next actions is a bit tough in Notion, but I believe you can hack it with either a) tags that show the order or b) tables that link to themselves. I believe August Bradley has some good examples on this
Thank you for an amazing video Khe. Just wondering how you suggest setting up tasks that are regularly/recurring - so for example, 'every Wednesday, contact clients for weekly update' - other than writing this as a task week, what do you recommend?
Next Action???? I have used or have tried to use GTD for a long time. My primary frustration has been that all the full featured "GTD" applications. I see next action as one of the most important elements of a true GTD system. The only GTD program that accomplishes this is Nirvana HQ. When you set up a project in Nirvana it asks if you would like to have tasks be parallel or sequentional. If you choose sequential the first task in that project list will appear on a next actions list. The next actions list then enables you to quickly access everything you need to see to move each project forward. Unfortunately Nirvana never moved beyond being a web app and so is not good for capturing data across a number of devices ie very poor iOS integration. Is it possible to set up Notion to do that? I jump back and forth between Things and TickTick and would love to use Notion for tasks and PKM. Thank you

Hi Khe, Great tutorial! I have set up my notion dashboard with linked databases for tasks with a date or with priority and for projects which are overdue. I am worried that many of the tasks that are not dated and not priority will not be visible. How can I prevent my tasks getting lost within the framework? Thanks!

This formula doesn't work if it's due on the same day since now() includes time, so it will always be larger on the same day. prop("Next Review") < now() formatDate() for some reason doesn't return a date, so can't even use that on a now(). If something is "due" for review, I don't want it to be "overdue" if it's on the same day. Overdue means I'm behind. Thoughts?

Hi there... Just an issue with projects and the related tasks. How do you hide the already completed tasks? Being those from a linked table, i can't find a way to filter them out unless their done check box is also linked in the project.
Long time Omnifocus user here. I showed this for people who want unified Notion. A dedicated GTD app will always be better. The trade-off is having multiple apps
I looked at Things 3 and it has a very easy to use capture feature...what would you recommend using for capturing information before you add it to tasks? Is it worth using Things 3 to start then transitioning to Notion later? thank you
