Holy smokes! I have watched a LOT of videos about using Apple Notes but this is the first I’ve seen that has used tags in such a game changing way! The idea of a note as a tag ‘directory’ so that they don’t disappear and are always available for auto-complete is pure genius! This is going to change my entire organizational workflow, thank you so much!!

New fan / sub here! I love this user friendly tutorial! I’ve been scouring the internet for the best (and cheapest) project management app that supports the GTD method for my fledgling freelance writing business. I was overwhelmed and ready to give up when I found your tutorial. The simplicity of using a free app I already have is a game changer. It saved me time and money, not to mention the hassle of setting up an ill-suited app only to abandon it in a couple of weeks. Apple Notes does everything I need it to, but I wouldn’t have known that without your tutorial. Thank you so much!

I am a GTD fan of old. You have done an excellent job of working around the Notes app's limitations for GTD, especially around the next actions. I'll watch again and build as I go this time - as you initially suggested. Thanks for posting. Subbed for more.

Thank you for this. I think I'm probably going to use TickTick for my own GTD system, but this simple minimalist build is a great teaching tool for showing my students how to build a GTD system in free software. It took me about 60 min to do the build and another 30 to sort my existing notes into the folders in the build. As you've said, not perfect, but I think my students will appreciate the task-management functionality you can get even from this limited implementation of GTD. 👍

Thank you, Lucas. Very helpful. I did 15 trial with Things3 on macOS. I use an android phone, and cannot access Things3 on my phone. Currently subscribed to a month of NirvanaHQ Pro. I particularly want to try out the recurring items, and decided I can do without, and go back to the free version of NirvanaHQ. I am relatively new to Apple Notes, so finding out how to create a link object is handy. Again, I cannot use it on my phone currently, but good to know. Greetings from Brisbane, Australia.

Lukas, excellent video. You presented some different techniques that I’m going to have to think about implementing. I have watched many RU-vid videos on Apple Notes, Apple Reminders, and on Apple calendar. Each provided helpful information. However, I consider each to be a sub optimization. What I’d like to see is one RU-vid video that explains to how to use those three apps collectively and, when new information materializes, which app to put it in. The video would also address folder structure and tag structure. Would you be willing to develop such a video?

Great video! I'm so excited to set up my system. I don't think I understand the contexts tags section. Can you explain more? Is it basically what you will be using or locations you will be performing task at

Contexts are highly personal. Essentially they are conditions that need to be met for you to be able to complete a task. (A set of) tools, locations & people are all valid examples of this

- Just use the top level notes folder as your inbox - Just one next action folder with a note for each action, use tags to assign contexts/agendas etc and smart folders to simplify review - Use links to associate projects and actions

I like these suggestions. I used your advice on just having one top level notes folder as my inbox. I just moved all of my older notes to an "archive" folder. Can you expound on the next two steps and the implementation of those? For instance what do you mean, "use links to associate projects and actions"? I'm curious if you mean create a note for each project and then link notes inside of that note to break down actions.

@@joshlemasters6615 I have a projects folder and a next actions folder, each project is a note in the project folder and each next action is a note in the next action folder, for those next actions associated with a project I insert links from the project to the action and vice versa.

Hi Hans, it's not a separate piece of software. It comes with Apple Notes.
