Google Keep can be a fantastic to-do list and task manager. Although it was primarily designed for note taking, more and more people are using Keep to get stuff done and to manage their lists.

Google Keep for sure for me and here's why I choose it over Todoist and other task managers....it allows me to see many of my lists and notes quickly on one screen or easy scrolling without having to switch back and forth between different projects or folders. I use the reminders and pinning features to help with sorting and prioritizing. I generally use Google Inbox for the one-offs (call Joe) or recurring (Take out the trash) tasks and Google Keep for lists, tasks, projects, and short notes. I could never really get that from Todoist. Thanks for the review of Keep.

Pinning is a great way to prioritize those most important tasks. Now I'm kicking myself for not including it in the video! Thanks for the great feedback, Greg.

I totally agree, the pinning feature is something I just recently discovered and I love it. I like Keep for lists because it's simpler than apps like todoist. Todoist is great, but me personally I know I get so caught up in all the bells and whistles of it that I am LESS productive than just whipping up a quick and easy to do list in keep.

Appreciate this video VERY much! Have been using the Priority Management Time Management System for probably 30 years. Moved heavily into using those methods into my works Outlook system but wanted to move into something that would work for personal business and personal activities - Google Keep will be the fix! And your video jumped started my abilities to do so. Thanks for you video!!!

This is an unusually clear and thorough tutorial. I don't use Google Keep as thoroughly as the author, but I wish the app could automatically sort its ToDo list entries. That would make it a lot more useful for the way I use a ToDo list.

Google keep keeps my life going smoother for sure😆 Before GK I didn’t know where to keep EVERYTHING my life needs, now EVERYTHING is in my GK) I have grocery list, things my husband has to do, my son’s stuff, to calls/to text, what do I have to pack for vacation,habits tracker, every 2 weeks bills list and checking off, what to bring to/from garage(I always forget those lol), documents I need for the particular project, etc.! It’s just one stop shop) I used to have multiple apps and it just didn’t work! So I really do love Google Keep!👍🏼

Hi Scott, I used first (and still use) Google Keep mainly as my to-do app. Later I started GK as my project managing tool (I no longer use Trello because I want to use as less as possible apps). Your tips are very helpful, thanks. I use the checklist function and labels. The To-Do's are marked with the pin, so they are always on top. I change the reminders in function of the following step in my to-do list. Great advantage (as you said): the reminders are synced in my Google Calendar. You can put a label by hitting first the hashtag #; then you can choose a label.

Is there anyway of adding a reminder per tick box item. Ie if there are say 5 items in a tick box list on the same card, they each can have a different reminder. Thanks.

I like the point of keeping the personal and work lists separate. As someone that owns her own business, I struggle keeping everything separate. It works so much better not blending them. And putting it all on my calendar keeps it all in front of me.

I am trialling Keep at the moment and am finding that it works up to a point, but because I work with numerous clients and have a very long task list, it doesn't quite do the full job for me. I love the simplicity of it, but I am still using it in conjunction with OneNote, which carries the bulk of my work, transferring daily to do's over to Keep. if anyone can recommend one solution for a busy financial planner, who works both at a desk and on the road, and with 100 plus task on the go each week I would value your opinion. very nice, succinct video Scott - useful as always - thank you.

Just a quick update - Trello is amazing! I think I may have found the answer to my ongoing and long-time struggle with being efficient and productive. What a wonderful system and so easy to use. The ability to email a board with a task is incredibly useful. Thank you for the recommendation Scott - a real game changer for me! I just need to get my head around power ups now.

I archive cards that dont need to be looked at for a while and set a reminder. when the reminder comes up it automatically pulls it out of archive.

Interestingly, when putting a reminder on an item from within keep, one has to allocate a specific time. If you then edit that note from within calendar you get the option to mark it as "all day" which moves the reminder to the top of that day. It would be good to be able to do that from within keep.

It's a good solution but if you have more than one Keep reminder in a day, Calendar will group them together without showing the actual title.. so best to create them directly 'All Day' in Calendar.

I'm surprised I like and use this app so much. It's available on all platforms, and web, and I like being able to see all my list contents at once. Solid app that I'd have paid for!

Chore lists for teenagers and adult children that live in the household created in checklist format. Each person gets their own list share them them an mom. When chores are completed, they are marked off. Copy and paste from another a note list into this list works well for repeated tasks. Even when a child is restricted from the Internet, the list can be printed.

how about a trello vs google keep video?ive been trying to use trello for all the many business tasks, but find i dont use it often. this looks like a simpler interface.

I'd also like to see a comparison as I use both apps. Currently actually using Trello for my todos as with cronofy it will send things with deadlines right to my google calendar fo rme.

Haven't used Google Keep before but I've been looking for a to-do list app that isn't awfully complex. Todoist & the likes are too overwhelming & make me feel like I'll never ever finish my to-dos! After watching your vid I think Keep has everything I've been looking for. I think I'll set it up with both methods combined: - Use checklist notes for pools of tasks (studying, housework, recreation) & a "quickies" checklist for tiny action tasks - Then make an individual note for each task that has a due date or I need to be working on in the near future. Reminders, the ability to edit in Google calendar & the mark as done feature seem to make for a neat simple but robust system. I'm super excited! Thanks a lot for making this vid, might be a huge problem solver for me :DD

I am using keep as an overal inbox because I don't have to save anything I open I type and then it is saved it is the only application that does that, so if i am interupted while typing something in google keep on my phone, it is always saved. Using keep as a todo list in itself, seems handy but I can not view Keep in a way that gives me a solid view. When I look it through labels I can not change the order of the notes. So I think as a todo list it is too chaotic and to rigid.. But as an inbox it is completely superior to everything else.

One important distinction between using Google Keep as a to-do list or task-list manager, where you are checking items off, versus using google tasks in the google calendar, is that you can search old checked off items in keep using the search function but you cannot search old tasks in calendar not can you search reminders.

I am thinking of using a checklist for on boarding someone and adding a reminder so I’m promoted what next step is. Going to copy the checklist and rename for each person. It would be cool if date reminder could be each item on checklist.

I don’t know if you can do it in Gmail, but the Spark email app lets you share a link to the email in whatever text app you use.

Google keep with Google Docs, is best combination for to do list and project management. They both interact with each other very well.

Hi ! Prioritizing the task by dragging the task up and down as shown in your video - that feature is not showing in my downloaded app. and the feature page shown in your video is a little different from my interface. As someone who needs one app only to keep track of to do lists, I would like to watch a vídeo that addresses this matter.What would be the best option: Google Calendar, to-do list in itself(I mean Todoist, Toodledo,Wunderlist etc), Trello, or Google Keep? Would it be possíble or advisable to use only one for this purpose?

I use both Trello and Keep on a daily basis but for different things. I use Keep primarily for personal notes and ideas while I use Trello for more project management and collaboration.

I like Google Keep but AFAIK it's missing prioritization. I make lots of notes but some are a lot more important than others. I guess I could add priority labels but that doesn't strike me as efficient as being able to quickly change the priority of a task.

IF you add a note like: Call Mom. Is there a way to connect that short note to a longer description? Talk to mom about X, Y, Z, asdffadfad. A longer explanantion?

I'd recommend putting the task (Call Mom) as the title of the note and then you can add a detailed description or a checklist in the body of the note. I hope that helps!

Microsoft To-Do is a streamlined task manager that does integrate with Outlook. Of course, OneNote is Microsoft's full-featured note app which has even stronger ties with Outlook and other MS applications. Thanks for the great question, Steve.

Nice video! I’m looking to ask Siri through my apple watch to add an item onto google tasks, or into my google calendar for that matter. Anyone have ideas on how?

Install google assistant on your phone. Say Hey siri. Ok Google. Then it will open google assistant. You can then say take a note "blah blah" and it will add it to keep. You do have to configure google assistant to store notes in google keep - its just a preference in the settings > services > notes and lists > google keep . Good luck

Something I didn't understand is why you keep separate and individual tasks instead of grouping or adding them in your general and previous ones, either work or personal tasks

I recommend that people separate out their work-related tasks from everything else. Too often I see people get off track because they are dealing with a very large list of items that are completely unrelated.

Simpletivity So, would be advisable to group tasks by contexts (home, work, computer, and so on) as suggested in GTD, leaving the separate and individual notes only for reminders, note-taking

There's a free Google Keep Chrome extension/app. And there are inexpensive 3rd-party apps like MyKeep Notes in the Mac App Store.

Weak, lacks sub tasks, lack plain text mixed with check boxes, very slow sync, doesn't handle large amount of notes very well, often doesn't correctly from android (esp images). No public road map to show us what is coming... bad with so much potential.

Use Google Keep's Collaborator for a grocery shopping list. When you check milk off the grocery list it will also be checked off on your spouse's copy of the grocery list. Now they know that you bought the milk and they don't have to.

Boggles my mind that with all of Googles resources and collaborative abilities they have not made a useable project management application. Sorry Keep isn't a good to do list manager.
