Microsoft Bookings Connector for Power Automate

In this video, we take a look at the relatively new (as of Summer 2022) Bookings Connector in Power Automate. If you use Bookings and what to perform some action when a new appointment is created, updated or cancelled, this would be the way to do that. Great and helpful video. However, as far as features, it seems to lack few when used in an enterprise. One useful feature missing is limiting access to the customer booking page via AD group or email distribution list due to sensitivity of the department business. Second is dept head would like to use workflow to manage approval of the customer booking for a service and avoid default confirmation email to the customer. Hopefully they can add more options to PA and Booking to easier manage the environment.

I completely agree that Bookings is lacking in a few key areas, limiting its usefulness in enterprise environments. For a long time, Bookings was largely ignored by Microsoft, but they seem to be trying to make up for that. Hopefully we'll see some of those new features.

Hi, thanks for this great video. I’m trying to find the trigger ID for the Manage booking function, have you come across this? Im wanting to automate a message in MS teams with all the relevant details

Hi Chad, thanks for this video it is really useful. I have been trying to build a flow with PowerAutomate that when a booking is made (through MS Bookings) that you then lookup the value in a SharePoint List and email the customer, based on the data out of the SharePoint List), the room location of the appointment. Do you have any advice on this, I can always share the flow steps that I have.

I have not done that specifically, but did do something similar with MS Form responses. The trick is finding or establishing a way to uniquely identify the SharePoint list item to retrieve. There are potentially a lot of moving parts involved. I would suggest posting a message with a detailed description of what you want to do over in the Power Automate Community (powerusers.microsoft.com/t5/Building-Flows/bd-p/BuildingFlows).

For some reason my flows are no longer triggered when an appointment is Updated... Creation and Deletion triggers still work.

I think there are some issues with the Bookings service based on reports I'm seeing elsewhere. This has happened before and it'll likely happen again, unfortunately. That's life in the cloud.

Custom fields aren't included in the trigger payload/output. You either need to use an MS Graph call to get them (I can't help with that....not really up to speed on graph yet) or wait for MS to add a get details action to the connector.

thank you for this fantastic video, it's so helpful. I have a doubt, please help me out. Usually, we can integrate a flow in the power virtual agents preview chatbot through "call action --> create flow --> save", but how do we connect this automated type flow created in power automate to power virtual agent preview chatbot using "call an action". Please help me.

I have not worked with Power Virtual Agents, so I'm not 100% sure, but I believe you can only call manual/instant flows, not automated flows. The only triggers available in the Bookings connector are automated ones. Then again, I'm not sure why you'd want to call this type of flow. What is it you actually want to do?

Hi! thank you very much for your video, unfortunatly the trugger is not working and it's giving a error message: "The response is not in a JSON format." Did you have any idea why? thanks a lot!

It's kind of hard to tell without seeing your flow. I would recommend posting a message in the Power Automate Community (powerusers.microsoft.com/t5/Building-Flows/bd-p/BuildingFlows) with a screenshot of how it's configured and the error you're seeing. I have an issue with sending the info to an excel where the appointment is 1:N it will only create a line for the first person that creates the meeting but not the other people that reserve a seat on the same slot.

To be honest, I've not done any work with 1:N bookings. But, I suspect that only the ~first~ booking is considered the "creation" and the next time a customer selects that same event, it would be an "update" to the original booking. I would need to do some testing to confirm this, which I may be able to do later this week. In the meantime, I'd suggest posting a message over in the Power Automate community (powerusers.microsoft.com/t5/Microsoft-Power-Automate/ct-p/MPACommunity)...it's very possible that someone there has already tested this and would know for sure.

Awesome video! Quick question - can MS Bookings be integrated into Dynamics 365 CE? Could a calendar booking from MS Bookings be noted in a Dynamics table? Thanks!

I've not worked with Dynamics (at all), so I'm not sure. However, if a "Dynamics table" is like a Dataverse table (and I suspect it is), I don't see why you wouldn't be able to. In other words, if you can create a table entry via Power Automate, it should be perfectly do-able. If you're using an existing table, you'd have to decide how to map the values.

Hi Chad! This question doesn’t relate to this video specifically but I don’t believe you have a video on it and I’m not sure where else the best place to ask! I’m trying to create an automation that when a new email is sent to a shared inbox it automatically creates a new task (I’ve been able to do that) but I also want to attach the email it’s self to the task so it can be easily opened to the original thread. Is this possible??

Attached as an .eml (email) file? Maybe...but since that would only open in Outlook, the resulting user experience could be a bit disjointed. Saving the email as a PDF would likely be a better option. You could add the content of the message to an HTML document and then use the convert to PDF action (from the OneDrive connector) to convert it to PDF.

Hello, really useful video, have you found an issue where "additional info" i.e. custom fields don't pull through on power automate? its just blank.

Yeah, it doesn't appear that custom fields are passed through the trigger's payload. If you're familiar with Microsoft Graph API, you could try retrieving the values using that; I'm not that skilled with such things, so really hoping they add a "get appointment details"action to the connector.

@@samuelmccarthy1426 I'm waiting for this feature as well. Current'y, I am pulling all the answers using "When new event is created" within the Booking calendar and pulling the data from there.

How would I get the data in body to a excel SharePoint fields, as well as update the correct fields? I seem to be getting the 429 error however this is the only flow I have? Any ideas?

I'm not sure I understand what you mean by "Excel SharePoint fields". I would suggest you post a message in the Power Automate community (powerusers.microsoft.com/t5/Building-Flows/bd-p/BuildingFlows) with some screenshots of your flow and a description of what you want to achieve and the problem/error you're getting.

I can't get any of the triggers to work - seems I'm not the only one with issues about staff not allocated for mailbox calendars etc. Will need to abandon until fix or reboot

I had issues getting the connection to stay signed in at first. I'd authenticate, build a flow save it and then find the connection "invalid". After re-authenticating, it seemed to stick.

My clients keep receiving auto cancellations for my group booking services. trigger seems to be when a client declines the meeting and then it cancels it for all or when a new client books on, all previous booked clients get a cancellation. Can any of the power automate flows prevent this? I can’t find any resolutions online and seems like it has been going on for 3 years with no response from Microsoft.

I don't use group bookings, so am not totally familiar. You're saying when one attendee/client/customer declines or cancels a group booking, it cancels for ALL of them? In that case, no Power Automate flow is going to make a difference since that change is all happening in the Bookings service. I mean, having a flow to track/record each time a booking appointment is made or updated would give you a means of recreating them manually. I would suggest opening a support ticket with Microsoft on that. It's easy for them to ignore posts in their various communities or feedback forums, but tickets usually result in some action.

I am receiving the following Error Message as an Admin on the Booking Calendar - {"ErrorMessage":"Staff not part of the booking mailbox."}. Any ideas and/or remediation suggestions?

Where/when are you getting that error? When building the flow? When it runs?

@@cvkealey The error is received after saving the built-out flow. In the dashboard of the flow, there is a red banner " There's a problem that needs to be fixed to trigger this flow. To see more details, open Flow checker." Upon checking the flow checker the error message is displayed. Run/Test attempts will not work

@@laurenflores9903 my first thought was that you were not actually an administrator, but testing with my own accounts, creating a flow as a non-admin results in a different error (bad gateway, basically due to lack of permissions). I would check your connections in power automate to ensure the bookings connection is properly signed in. For some reason, in one of my accounts, I've had to recreate that connection several times. Still seems a little buggy, but par for the course considering the Bookings connector is still in Preview.

Is it possible to automate deleting of customer data?

Most likely...it depends how/when you want to delete it. For example, if you wanted to delete these records after the appointment has occurred, you could run a scheduled flow (e.g.: once a day) to "get" any records where the end time has passed and delete them. There are other options, but ultimately, you need to decide the circumstance in which you want to delete an entry and find a way to trigger a flow to do that.

OK, I would start with a scheduled flow, running once a day. That flow would have a "Get items" (SharePoint) action that retrieves data from the list of Bookings appointments and filters it to those where the booked date is more than one month in the past. You can do this with the "subtractfromtime" expression. In the "Filter query" field of the Get items action, enter " lt" (that's the internal name of the "date" column in your list, followed by small L and small T for "less than"). Then, open the expression editor. This is the expression will return a timestamp that's 30 days before the current date and time: subtractFromTime(utcNow(),30,'Day'). Click Update to save the expression and make sure that the finished expression is inside single quotes ( ' ).

I can't help you directly. However, be sure that the account used for the Bookings connection is an "Administrator" for the Bookings calendar. That's the most common issue. If the connection account is an admin and the problem persists, contact Microsoft for support. See learn.microsoft.com/en-us/connectors/microsoftbookings/#known-issues-and-limitations for more details.
