Motion is a relatively new daily planner and productivity app that uses AI to help you get more done. In this Motion app review I will show how it will pull in meetings from the email used to create the account and continuously sync as things are added and removed to the connected calendar. You can also add tasks to Motion, and this is where the AI starts helping you boost efficiency. As you add tasks the app will start moving this around based on due dates, how long the task will take, and if you allow the task to split into smaller time chunks. As tasks are completed, the AI will recalculate them and either move them back if you are behind schedule or move tasks up if you are ahead of schedule. This app can help with time management because the AI works by shifting your schedule around when things inevitably change.

There are sooo many ads for this app and it's so tempting! I have a pretty robust setup right now but all it takes is one sick day to throw everything off track

Hi, glad you found the video helpful. My setup was pieced together over the past 3 years. A few things you see in this video are: 1. Lights are Philips Hue Strip light. I used to use wiz app because they are cheaper but they require a stable 2.4 ghz connection. My modem auto switches signal to optimize bandwidth. Depending on your modem you can use either. I purchased them at Home Depot but a lot of places sell them. 2. Microphone for Camera - Rode Micro that came with the camera. It does give a different sound than the mic I have for the actual screen recording. If you are using it as a single source it is a decent little mic for getting started. You can buy this many places like Best Buy, Amazon, and the Rode web page. 3. Microphone for Screen Recording: My second mic is a Rode Procaster on a PSA1 arm. They came bundled together and I think I got it on Amazon during prime day a couple years ago. Thing to know is it is an XLR mic so you will need an interface. If you want a USB mic, my buddy has an NTUSB that plugs into a USB port to make things easier. 4. Background Decorations: In the background you see a board with some letters, that came from Target. The bookshelves are also flat pack shelves from Target. The flowers in the background are silk flowers from Michaels. 5. The camera is a Nikon Z30, which I purchased of the Nikon web page. Let me say again, I did not buy all this stuff at once, it is a matter of building up over time.

I’m curious because I use outlook with lots of meetings across my team. How is using motion different than just adding the task option right onto my outlook calendar?

Hi, that is a good question and the answer is a matter of perspective and what works for you. What I like about Motion is that the AI looks at my tasks and then moves them around based on did I over or underestimate the time it would take to do a thing. It also monitors for the time hacks I give and then tells me when I have put too much on my calendar for a given time. As a person with ADHD who chronically has problems estimating time this is useful. That being said, if you are happy with what you have and it works stick with it. Since I cannot use Motion in my day job I still use Outlook with the My Day view to try to keep track of my tasks. I could do better but it works in a way.

Hi, yes in the new year I am planning on showing more features and seeing if I can do a reclaim video as well. They are similar tools and I think it would be balanced to look at both.

Do you know if the app allows multiple calendar connections? Like i can see this being useful at home, but also for work but I dont have one calendar for the two. Also curious if it has a way to see the tasks that were completed and when? Or do they just disappear from view when done? If so, Do calendar events disappear when completed to, so its treating it all as "zero imbox" type mode?

Hi Karla, usually I answer faster but was injured this week and focused on recovering. None the less, I double checked the features today. Yes you can have more than one calendar, I have 3 actually. For the tasks, they will still show on your calendar when marked of so you can always go back and see what you completed and when.

Hi again, just realized I have the auto setting to show completed tasks. If you turned that off your tasks will fall off the calendar. To see them again, go to settings and turn show completed tasks on again.

Thank you for this :) I’ve just started using motion and the only thing really bothering me is the lack of color coding options. It looks like the tasks cannot be color coded and the only way to color code events is by creating sub calendars in my calendar. Am I missing something?

No you are not. That was one thing I said in the video that bugs me too. Their demo video shows color coding in the calendar but it does not work that way in reality. Motion help page says it is coming soon, but that was 5 months ago, so what is soon? While the overall app is good my ADHD brain wants color. I hope they fix that soon.

What makes this different from Google calendar…?

I don't use Google Calendar so that is hard to answer. But as far as I know Google does not have the AI in it to auto shuffle your task. This is just one tool of the many out there and as I try things I like to share. As I always say, use the tool that works best for your and your workflow.

Does motion work with Apple iCal? Does it have a place for “whenever” projects?

According to the Motion documentation it is compatible with Apple but to be transparent, I don't use Apple for a calendar so have not tested it. As far as "whenever" tasks, I put those on the built in Kanban board and put a farther out deadline so that the app will remind me eventually that the task is on my board.

Good question and I never thought of it before so I tested it. I have the desktop app for Motion, but it will not launch when I turn the internet off.

@@Gambitlendl I have not used these ones but my research says that Trello and Evernote have an offline capability. Maybe those are worth checking out.

Spreadsheets are great for running anything honestly. Most companies could compeltely run off a few spreadsheets instead of all these apps. A lot of people don't realize that. But if you want something you own just use Microsoft Access, make sure to store your data in a cloud that syncs for when you are online. So like Google Drive and Microsoft Access or One Drive. Don't worry about paying for apps if you know how to make your own spreadsheets. They literally do everything you need for 99% of people.
