Shane, I can tell you that as a "visual learner" and "citizen developer" your videos continue to be an incredible reference for me. The Microsoft Documentation doesn't make sense until after I view your videos. One thing that I'm working on at the moment is trying to update a gallery within a gallery (from outside of the gallery) by using the "On Select" function. Do you have any teaching related to that? Thanks for what you're doing with these videos...keep 'em coming!

Thanks Shane for the useful bonus tips and the series itself. One other thing in Form that I was looking for is that navigating records buttons. I was an Access man, so I thought its good to show all records within the form by using First, previous, next and last buttons. Please let me know how to get that. Cheers

You would have to have logic that found the next record. Not nearly as easy as you think.

Hi Shane - as others have stated - I LOVE your videos. Thank you so much for taking the time that you do to make them. I am relatively new to PowerApps (hence the reason I am commenting on a 4 year old video) and have a troubleshooting question. I have a button that not only submits my form but also resets it. When I try the "LastSubmit" function with that button, it doesn't seem to work. I created a separate button with just SubmitForm and I AM getting the LastSubmit to populate. Is it possible to have a button that submits and resets my form and still be able to capture the LastSubmit data? Thank you so much.

I think your videos are brilliant Shane, and have almost built a complete Employee Development App, with your help along the way. Thanks. One question is the unsaved property not available in a gallery? Or should I use a form for updating a gallery item and not let users directly edit the Gallery details?

UnSaved only works with forms. If you are editing in a gallery directly you will have to keep up with the changes yourself.

Although it's been almost 2 year since the upload of this video it's still very relevant and has been of much help for me. I'd like to point out 2 conclusions I reached regarding forms: 1. I really think that in the aftermath PA Forms are more work than manually editing and displaying the data, although when dealing with a large amount of data entries (=DB fields) - PA Forms is an option to consider. 2. Regarding the LastSubmit function - there is something to pay attention to. When a lookup field is included in the NewForm (say a CDS lookup) - the "cache" which LastSubmit refers to - DOES NOT HAVE the record pointed by the lookup ! Therefor cascading forms via LastSubmit - will have no value in the lookup field. (this took me 3 frustrating days to understand)

You have heard this before I'm sure but you are a life saver, love the delay on the save changes and will get into the pop video next. I just wanted to ask, on my form, i have a field which is pulling numbers but its setup to show a column thats only holds names. I have it working on one screen but I would like to add to this new screen, so that when a manual entry is created, it can also be allocated to a user.

Hey Shane, I worked out that it maybe because I used the form from Modern instead of Classic. I recreated the page with a classic form and the cs agents appear, but still only numbers in the same field on the same app for the from out of the Modern option. arrgh

Not that I know of. I think you would have to get real creative with mobile URLs and opening the file outside of PowerApps.

Great Video exactly what I was looking for! How can you display the Last Submit from multiple forms in the 1 display form? Is that possible? so I have multiple forms which split the SharePoint List onto separate pages I use the Patch function on submission so it all submits together. How would I display the last submitted item from the SharePoint list in this case - would Last Submit be able to do that?

Hi, I love your videos. I have a question I can't seem to solve. If I wanted my power app to read an existing record, and view in edit, and then once any change in a field has been made, to then create an entire new row (as opposed to replacing the entry in the column), how can I achieve that? Hi Shane, congrats for your vídeos!!! Lastsubmit is applicable for all users or just for the user that has submitted the form? I need yo be sure if lastsubmit will work if multiple users are using the app at the same time. Thanks in advance

Yes, it will work. It is last submit for the current session of the app.

Great video again Shane! Can I use any of these functions to show each instance of a value which has been saved? I'm trying to keep a log of the number of hours recorded each time a record is saved.

If you want to save a table of data then look into Collections.

This video is incredibly helpful, thanks for doing it Shane! I do have one question though. On Success of my form submission, I navigate my users away from the entry form screen to a success screen, but I want to give them the option to duplicate their last submission on the success screen which would bring them back to the input screen and pre-fill all the fields they just completed. I've tried every combination of NewForm(formNewDemand); ResetForm(formNewDemand); formNewDemand.LastSubmit; Navigate(CreateNewDemandScreen) I can think of and can't seem to get it! Any help?

Really useful info, thanks Shane. This video provoked a thought though, is it possible to have a "Save and New" type feature on a form? For example, if I want to add multiple records to a sharepoint list and 9 out of 10 of the fields will remain the same, it would be very handy to have a "Save and New" type button that will submit the data but leave the entered information in the 9 fields and just blank the tenth ready for the next record to be added.

Possible but tricky with a form. If you used controls and Patch it might be easier.

Hi Shane, thanks for enlightening us once again :) I followed your videos on Forms but I didn't find the answer to an issue I have. I have a list in SharePoint with a date column called StatusUpdated. I want that, when the items Status is changed in PowerApps, the date is recorded in the StatusUpdated field automatically. Any ideas?

Nice video, thanks Shane! What's a good way to stay on the record I've just submitted via the form? My gallery is being updated with that submitted record, but since it has the SortByColumns function and the form has Gallery.Selected reference, the gallery selection then defaults to the first item in the gallery (and so does the form). Which isn't convenient since I really want to view the form I have just submitted. Any pointers as to how I might accomplish that?

very great video! i would like to know is there any way to navigate between multiple screens of two different SP lists(reason for two lists is each have more columns close to 200+), once first list new form is submitted, data stores in sp and it moves to next new form from another list, I would like to have back button on the second form to edit the first screen values in the same session. kindly advice.

Hi Shane, I have a gallery in which data is filtered based on Status dropdown (New, Pending, Resolved) . In gallery, I have a comments column where user can enter comments in the textbox for a particular record. So, without clicking on Save button if the user navigate between one Status to another status, How can we keep the changes saved in the gallery?

You can run SubmitForm(FormName) from any screen.

Shane - love your vids! I am doing a submit form, and the onsuccess property has a patch to the same record. (change status of the request, only want to change that field if the submit is successful.) Onsuccess also navigates to a conf screen where in an email is sent to the requester indicating the request has a new status (approved, denied, etc.). I am using lastsubmit to pull out details from the record to put in the email body. However, I notice the status field with the lastsubmit does not show the new status from the patch (sharepoint does...), I'm thinking because the patch was after the SubmitForm? How can I pull the updated status into the email ?

Hi Shane, the Updates would come in handy for us when we have customer details that might have changed, it's a huge amount of details and those approving it will probably only want to see what was updated instead of the whole lot. Hoping to work it into our app. Quick question: when I use the DisplayMode - If(Form2.Unsaved, DisplayMode.Disabled, DisplayMode.Edit my New Form won't respond in the same manner as the Edit Form. How would I make that Save button work on both pages? Thanks heaps for your hard work and making it available, you're a legend!!

I will do that at some point. The trick is to use a Lookup to see if there is a conflict.l before saving.

hi Shane! wondering if you have any idea why my PowerApps SubmitForm function is not working (without errors) Some users tries the submitForm function in my app but the data wasn't recorded in the SP list, however, some users dont have any problem By the way, the Permission list is set to "Everyone except external users"

If it never shows UnSaved as false that is because you have code in one of your controls or a variable in there that is modifying a field, which technically makes it unsaved.

Hi Shane, thanks so much for all your videos, they are soo helpful. I have a question on LastSubmit. I'm trying to create an add/edit screen, where after they add a new record, they stay on the same screen, and would be able to review/edit it. Problem: My initial formmode is new. When a user submits the new record, the form changes to formmode edit and no data is displayed. I understand this is because no record is 'selected'. I was trying to use the LastSubmit property of the form to re-populate the edit form. I can't get this to work. any thoughts. fyi -I'm using SQL Server data base.

Hi Shane - I got it working, I ended up creating an edit form, instead of using one form for both edit/new. I have multiple dropdowns for the key data, the drop downs didn't work for the edit screen, since I realized I don't want them changing that data anyway. Too complicated for a beginner Power App user like me - your videos have been a life saver! :-) Thanks so much!

Hi Shane, great video! The LastSubmit function solved an issue I was toying over for days. Question for you on the Save/Unsaved function you present. As you mentioned the logic was perhaps incorrect in this video, but you did illustrate how the unsaved function works, specifically, the label popping up after there were unsaved changes. However, when I created my Save button and I wrote in the OnSelect properties to SubmitForm, my form reset to the first record from my datasource, and not the record I was currently working on. Any thoughts on this? Looking forward to the next video! TG

Hi Tom. This is "normal". Basically what happens after you submit the form it resets back to default. What you might mess with is can you set things on the Forms OnSuccess property to put it back to the form you want.

Hi Shane, thanks a lot. Very insightful, as always. I have an edit form with a couple of hidden datacards which record the last modified by and date when the user submits the form. It works fine. The new requirement is to record the last modified by/date for a specific field within the form. So if the form has two fields, A and B. The standard "modified by" works when any of the two fields are updated. But how to have a separate "modified by" for just field A?

@@ShanesCows I need more help on this please :( can't figure out how to write this IF condition this is the datacard that I need to track if it is updated - Executive Summary_DataCard3 (DataCardValue2) and this is the datacard where I need to record the updating person's id - Ex Summary Last Modified By_DataCard1 (DataCardValue1) And this is my Submit button - Reset(Audio1);Set(varMakesound,false);Set(varMakesound,true);SubmitForm(Form1);Refresh(CHC_PowerApps_SP);Navigate('Success Form') learnt this sound bit from another video of yours :)

Yes. You can manually set the display mode of each card to be the logic you want.

OnSuccess NewForm(YourForm) that should do the trick.

Shane - thank you for your great videos - but as I was following I did something wrong, I'm hoping that you can help me. My first APP went awesome - the second one though I did as a "New" record only and when I saved it - it opens from the SharePoint List - New Record (which is awesome) but it is not in the Power Apps library as a phone app - what did I do wrong?!? Hoping you can help.

Yeah if you customize form that is different then building a stand-alone app. They behave differently as you are seeing. Hi Shane, here we are following your steps in the PowerApps world, best info out there! I started wondering if PowerApps could trigger actions on pressed keys, when I filter a dropdown control based on a text input control resulting in only one item it kind of confuses the users because they still have to go and select that one item so the control changes its value, it makes sense when there is more than one and I am not quite sure how to go about this, if result is one item can PowerApps somehow select it automatically? Thanks again :)

I wanted to share a use scenario for form.Updates. I needed a way to let users download photos from my view form directly from my app, but I couldn't find how to do that without using attachment field. So, because I was saving my data with Patch function, I just added the attachment field and adjusted Patch: Patch(SPlist, Defaults(SPlist), { ...... }, form.Updates )); It doesn't duplicate my data and works just fine. Hi Shane, great job! I was able to do everything based on your videos so far :-) Now, I got this thing -- I have two sharepoint list where the second one is inherited (list of Incidents and list of individual Calls for the Incidents) If I create new Call record how do I pass the Incident ID? I tried Patch and Last Update but it does not do do job. [Patch('Calls',Form_CallDetails1.LastSubmit,{'Incident': IncidentId})] (IncidentId is a variable)

@@ShanesCows Didn't work so I played with that and if I replace the variable with incident number I receive this error: "The type of this argument 'Incident' does not match the expected type 'Record'. Found 'Number'." Same issue if I replace with text field. Maybe I need to explore Relate function? Perhaps it's time to watch your video on Relationships :-)

I don’t think you can.... maybe try setting the gallery DisplayMode to View if the form is UnSaved? Never tried.

Love your videos!! So, how can I print out a technical document of all the programming done within the App? Example: in any other languaje (old school) i just print out a list of the written program for safe keeping, trouble shooting, documentation. I tried to do this using an excell spread sheet, but its too time consuming. Now, I'm not talking about documenting your program. I already saw your video on that (great stuff). Any ideas?

I need to hand over to a client of mine the tecdoc of the program and I'm out of ideas as how to acomplish this. I really want it to be detailed to the point I could reference the code used in each variable/property. Any ideas is apreciated. Keep those videos coming. Great job!!

Is there a way I could use the "LastSubmit" function to show the last time a specific user submitted their answers? Say the form needed quarterly updates and a user wants to see what they submitted previously to only make changes to the form questions?

Hello Shane, great Video! If I want to use the Unsaved property for editing a form and also for a new form, but on the new form only have the message appear if there have been changes to the new form. Right now, it works perfectly in form edit mode but if I open a new form, the message appears immediately without entering any data. Also I can't seem to figure out how to get the cancel/close icon to only be disabled when the form is in edit mode and not in new form mode. I want the cancel/close icon disabled if the form is in edit mode, but enabled in new form mode while also displaying the Unsaved Changes Message. I can't seem to figure out the correct query to use to accomplish these goals. Any suggestions or videos on these specific ideas? Any help would be appreciated. Thank you again for the great videos, they are very helpful and I learned a ton from them! Regards, Michael

Hi. I try to export the modified date to a SQL server, but it keeps giving me a NULL value on the server. The column format on the SQL is nvarchar so it should read it just fine. What settings should I use in the PowerApps form to get it to display the time/date on the SQL server?

Shane, I puted a icon and OnSelect --> EditForm(myform). myform has ITEM as mygalery.selected BUT, the property myform.unsaved is comming TRUE, even if i dont change nothing.... and myform.updates also is comming with the inputtext, even if i dont change nothing... Any idea?

Usually when I see that it is because you have a variable or a condition that is being evaluated for one of your data cards. Even though the data isn't actually changing because the formula is there, Power Apps thinks it changed from the the true static default.

Great series. I am struggling with the functionality of my Form. I created an edit form, added all the fields etc. My problem is that I need to use my form in 2 ways, One, to Simply submit the form (no problem) , but, sometimes I get inventory of computers that are exactly the same, except a different serial number. So I have a "Submit And Add" button for this. It should submit the form, then create a new form with the fields being populated with the last submitted records' data (except the serial number). Is there any way to accomplish this? Ive tried reading each field into a variable, and a couple other things. It submits fine, but the newform does not populate with the data from the last submit. I enjoy your posts, I learn alot: Im very new to powerapps. Thank You Terry

Hi Shane, Great videos. I am wondering if I can use Lastsubmit to prevent duplicate records from the user. I have used DisplayMode = If(EditForm1.Valid, DisplayMode.Edit, DisplayMode.Disable) on my submit button and it works fine. I created a unique key as Title = User().Email&Datacardvalue.Selected.Value. to capture user's selection. I want the form to exit with a message if the user make the same selection. May be set the editform1.Lastsubmit.Title !=Datacardvalue.text, where the Datacardvalue is current User().Email&Datacardvalue.Selected.Value. Any suggestion? The source is SP list.

Before you submit do a lookup for the value. If the lookup is blank then you know it is safe to submit

hI @Shane Young, do you have info on how can I submit data in second form to the data i submitted in first form? I have 2 screen with 2 forms. Screen1-Form1 and Screen2 Form2 so i want data on both form to be on same row in sharepoint list but when i do submit form in 1 and 2 it creates 2 records 1 for form1 data and another for form2 data.would appreciate your help

@@ShanesCows I'm having the same issue as mentioned above. What do you mean the second form needs to be in edit mode? Also, is it possible to do this with an app? I'm trying to create an app that can be updated every day of the week, so that when they do the work they need to on Monday, they submit it on the Monday screen, and Tuesday on Tuesday screen, etc. I want all of this to be saved in the same SharePoint list row. One row for each week. Any thoughts what i'm doing wrong?

You would have the OnSuccess property of your Form do a Patch to create the new record based on the edited record is my first thought.

Great video Shane, again :) But what if you're not using Forms? I created a resource leveling app which is essentially a calculator that folks use, and when their numbers are where they want them, they 'Submit' and all answers across screens are patched to a Sharepoint list. Forms doesn't really work with the interface I needed so I'm using text inputs. My objective is to allow users to submit, but also to update if necessary. Do you have a video or recommendation of the best way to pull the data from the first submission back into the app from Sharepoint so the user can see what they originally submitted, make updates, and patch the updates back to the Sharepoint list? The goal is to have the data submitted and updated on the same line in the Sharepoint list rather than establishing a new line each time a user submits data. Thanks for any help/direction pointing you can give me!

I have a scenario for Updates. I have a user asking me for a email to be sent showing all fields that were changed. In the SharePoint list there is the Alert me function but it is only to that certain user. They want to dymanically send something like this to a the process owner of that particular item. I created a dummy PowerApp comparing a PreSave and PostSave collection to compare one at a time these fields. But this updates looks to be a better way ...maybe...hope so :)

Shane Young Sadly no. Comparing a variable holding the record as it was and the form data changes one field at a time. I'm sure there is a better way. I wish the alerts on a list could be more dynamic.

Hi Shane ! Great video, this video helped me a lot. I have question ? Can we show a pop up saying "Are you sure you want to submit again ?" for the form which we have already submitted ? FYI : The data has already submitted to List1, again if you edit and re submit the data it should throw a pop up, can we do it ?

Each form will have its on OnSubmit. Or do you mean you are using Patch? In that case I do Set(varRecord, Patch(...logic)). This will load the record you just patched into the variable varRecord.

Nope. LastSubmit and such are the users last submit not the list submit by anyone else.

Hi Shane! This was video 31 for me (I'm moving right along). This is some seriously good SHTUFF, my man! I'm sure that I will be hiring you when it's time for me to work on my "real" PowerApps. Normally, I can get everything to work as it does in your videos (well, nearly everything). This one is annoying me, though. On the label where you use LastSubmit (e.g., "The last name of the person submitted is: " & form.LastSubmit.LastName), I can see the correct value only for an instant and then it disappears. What am I doing wrong?

I added contextual variables to the Submit button: UpdateContext({varSubmittedLastName: frmNewReg_3.LastSubmit.'Last Name'}); UpdateContext({varUpdatesLastName: frmNewReg_3.Updates.'Last Name'}); SubmitForm(frmNewReg_3) That is backwards. Try: SubmitForm(frmNewReg_3) Then set OnSuccess for the form to be UpdateContext({varSubmittedLastName: frmNewReg_3.LastSubmit.'Last Name'}); UpdateContext({varUpdatesLastName: frmNewReg_3.Updates.'Last Name'});

For anyone having this "problem" (probably just me), you have to have the form in "EditForm", if it's in "NewForm", it will not work. Meaning, if you have a button that takes you to a new EditForm screen, you have to reprogram that original button to be set to EditForm(EditForm1);Navigate..... And not NewForm(EditForm1)... Thank you Shane for your work. 95% of what I've learned if because of you.

The .Updates is great to Patch attachments in SharePoint lists. I don't use forms in Powerapps because I find them really hard to work with (everthing resets everytime I make a change, etc). I use a single form with just attachments in it and add at the end of the Patch() function, just after the {} portion of the patch function. QQ: Can I put in a Form from a SharePoint List into my app that doesn't require the other gallery? Basically I am creating a float tracking form where people fill out the form with their float count to populate within that SharePoint list but I'm having trouble using the Form Function. Would using a Patch work better and just make individual labels? Any guidance would be really appreciated! You rock!!
