Welcome. Today we are going set up and configure your Brother machine to scan to an email server
This video will cover multiple models and operating systems, even though your machine may not match the model on the screen the overall process will be the same.
We will begin by locating the IP address for your Brother machine by printing a Network Configuration report.
From the Basic Functions screen, press the “Settings” icon on the touchscreen.
Press “All Settings”
Arrow down and press “Print Reports”
Arrow down again and press “Network Configuration”
Press “Yes”
Once the Network Configuration Report prints you will need to locate your IP address on the report. You will need this information later in the process.
Next you will need to find your email server settings. For the purposes of this video we will gather settings from a Microsoft account. The location and arrangement of these settings will vary depending on your email service provider.
Next, open a web browser on your computer and in the address bar enter your IP Address from the Network Configuration report. Then press Enter on the keyboard. Depending on your Network, your IP address may look different than the one shown here.
If your Brother machine is password protected, you will need to enter the password in the login box.
Click on the Fax tab and then Click on “Email Send” located under the I-Fax heading. If the I-Fax heading is missing, verify that your Brother machine supports the Scan to Email option.
Click on the link marked “POP3/IMAP4/SMTP.”
Next you will need to enter the email settings that you gathered from your provider. Enter your server address, Port number, and server authentication method.
Next you will need to provide SMTP authentication. This will be the Username and Password of your email account.
Then select your SSL/TLS setting. This will vary depending on your email provider and may not be supported by all Brother machines.
Finally enter your destination email address.
You have now configured all the setting required in order to scan to email, scroll to the bottom of the page and click “Submit.”
To test your email configuration uncheck the box marked “Test Email Receive Configuration,” then check the “Send Test Email” box.
Finally enter your email address and click “Submit.”
Once you receive the test email your setup is complete. If you fail to receive the email, review your setting and resubmit.
