How have you used this concept in your flows? What type of email reminders/notifications are you sending with Power Automate? Let me know down below! 👇👇👇
Hi, I noticed that when I used the same condition which is the output is not equal to 0, it sends an email to all email address on the SP List since they all have a Birthdate. May I know what can I encode in Condition so that it will only become truth when the birthdate(MM-d) coincides on today's date?
This video is a true gem. I come back to it any yime I need to make a flow based on any date column. There are not many other videos covering this. And none do as good a job.
Thanks for watching and I'm glad you think so! It's much easier to troubleshoot as you are building instead of trying to do it once you've "finished" building the flow. This way you can adjust as you build.
🤗I'm in accord with all the accolades! I'm a big fan. Finally someone who gets to the point without wasting my time with preambles. I especially appreciate your agile development methodology of developing and testing incrementally. Much much appreciated.
Thank you!!! I did it!!!! Thanks for talking a little slower than the first videos, and for explaining why you put in some of the steps you do. Mine worked through all the tests. This is great. Will also use this for Employee Anniversary dates with the company. We have an HR system that posts these dates, but we get no notifications and rarely would be in the system where it is shown, so I like this idea for the team to do it this way. You are so smart!!!!
@@acreativeopinion hi there - I have a problem with my flow and not sure where - I went over the entire thing again. The flow went through and sent all managers the notifications that their staffs bdays are in 3 days. I did all the tests on ONE entry and they seemed to all work. As soon as I removed the FILTER QUERY of the one test item, well, that is when everyone got an email from me! LOL.... I was fast enough to at least recall most of the messages. Where should I look first? I looked in my Filter and have this text @and(not(equals(item()?['field_2'], null)), OR(contains(item()?['field_2'], outputs('Compose_-_Todays_Month_and_Day')), contains(item()?['field_2'], outputs('Compose_-_Dynamic_Date')))) I did have an error but fixed it and then tried it with a Bday within 3 days, it worked. I changed the Get Items to one that is further out and it worked as nothing was sent. I am afraid now to remove that Get Items if it goes to everyone again! So I tested with a few people that report to just me and edited my Filter query to ID eq 7 or ID eq 9 or ID eq 27. I got emails for all three when I should have only received for #27. HELP....please. :) Thanks for all this great content!!!!
Legendary, thankyou for this video. I needed it to automate monthly reminders for inspections and I wasn't able to do it on my own. This video got me 99% of the way there and I could figure out the 1% with a little bit of tweaking and thought. Thanks so much!
Hi - how did you get your information to filter by items due in the current month? I would like to send a department email with all of the birthdays for that month: Happy Birthday to all... HTML table with Name MMM-dd to send on the first of each month and only pull in the BDays for that month.
Hello! Thanks for the tutorial really well explained as always :) One question for you, why only trigger the flow on the weekdays ? If someone's birthday appears on Saturday or Sunday, the manager will be notificied 3 days before but not the employee on the birthday's date. Or I'm mistaken something ?
Hello - this is super helpful, thank you so much! For some reason my Recurrence doesn't seem to work (the flow works entirely, just that I have to manually trigger) - do you have any tips for this?
Fantastic tutorial. I'm hoping to apply it but having an issues following along at 5:32 where you run a test after the filter array. My "Compose - Item count" test Output "0" on the count and the Output of the filter array above showed only "Body [ ] " as the output? Odd? My tests alongside yours are fine until that point. I've checked everything but stuck here. Any ideas by any chance? Muchly appreciated.
Thanks for watching! The reason for the Item Count (Compose action) is to confirm the number of items returned from the Filter Array action. If it's returning zero and you are expecting it to return items, your Filter Array action is set up incorrectly.
This is a great video! It works for me, the only thing I'm struggling with is that I want to add another qualifier - based on date AND a choice selection. Every time I try to add the filter, it fails. Do you have any resources or guidance for that? It always gives me a null value of []. The filter array I'm using is checking against the dynamic "status" column, but I'm not sure what to enter for to properly grab the status choice.
I truly appreciate this insightful tutorial! I've been trying to implement it to automate report reminders based on specific due dates, like the 1st or 5th of each month. However, I encountered an unexpected notification. Currently, reminders should only be sent on the 2nd of the month, but I received on the 18th, 25th, 26th, and 28th as well. Could I have made a mistake in my setup? Any suggestions on how to troubleshoot this?
Thanks a lot for these videos!! My flow is working fine except when I remove the Filter Query on the Get items. I want the flow to scan the whole list for the real task. Then my item count fall to "0" like there is no "today date" item.. but my test item is still on the list, the same list. If I put back the filter to only my test item , then the flow work, the item count show an "1" and an email is sent. any ideas?
Great Video! At the 1:45 mark, you hard code the Filter Query for the ID of the Test item, but you never go back to make this more dynamic. Do you have a recommendation on how to make this more dynamic to scan all of the items in the SharePoint list?
Thanks for watching! Sorry I must have missed adding that part into the video. To scan all items in your SP List-remove the filter query. The point of specifying the test items was to return a single item while building and testing the flow. You can also use the Top Count field to limit the number of items returned instead to a smaller number. Customize the flow to suit your needs.
Thanks for watching! You'll need to use the Get Files (properties only) action instead of the Get Items action. Fun fact. The Get Files (properties only) returns folders as well. You need to use a Filter Query to return Files only. Refer to this YT Short: ru-vid.comIHQIq6E7TbI Hope this helps!
Great video! I need my power automate to count the number of rows that have a specific date inputted and then email the count of those daily… however when I try and use ‘length()’ function to count my power automate automatically says “length(outputs(‘filter_array’)[‘body/value’]) then when I run this I get the error saying ‘[‘body/value’] doesn’t exist?! Please can someone help me?
Hi Team, Nice Vedio, I have an requirement like , I have sent Initial mail and after needs to send update on top of it initial mail, how can we achieve this? My source data is Share point excel sheet where I have values like Initial ,Update, Skip, Resolution where ever I changed the status I need to send an email on top of it Initial mail only.
I am having the same issue I believe the person above had. I can pull the whole top level profile in with the compose, but once I try to access only them email address within the profile, the inputs go to blank. @@christineho7656
@@christineho7656 I am also having this problem... the column that has the Manager Microsoft profile in is called 'Lead' and when I checked my outputs, 'Lead' appears where 'Profile' does in the video. I assumed that I would then enter item()?['Lead/Email'] but this returns in the email as blank. I have not been able to find a solution anywhere.
Thanks for watching! If you are using the New Designer, I would recommend switching to the Classic Designer. The New Designer is still very buggy. You can try: item()?['YourInternalColumnNameHere']['Email'], however this should also work: item()?['YourInternalColumnNameHere/Email']. You need to ensure that your Compose action is inside the Apply to Each action looping through your items.
Hmm so “Lead” is the internal column name but I will definitely try the first example you gave! I definitely agree that the new designer is a bit buggy and I find it a bit too clunky compared to the classic designer!
Hello! It's me again! I am having a weird issue that started today where I am getting the emails sent for today and 3-day reminders, however, they are being send 3 times for each SharePoint list item. Do you know where I should look to see what is causing this or even why this is happening? Thank you!
Sounds like the logic of your flow needs to be adjusted. You have your Send an Email column nested in an Apply to Each action. This means it'll send an email each time the Apply to Each action loops through. If you want to send a single email with multiple SharePoint items-refer to this YT Tutorial on how to do that: ru-vid.com/video/%D0%B2%D0%B8%D0%B4%D0%B5%D0%BE-mmvJWKK690Y.html Hope this helps! Thanks for watching!
How would I have the day added so it is added to the UK format? I can have the output of today’s month and time display correctly for the date I want. But adding a day will then make the dynamic date revert back and add the amount to what would be the month.
Sorry I'm not sure I follow your comment. The Convert Time Zone action used at 2:44 of this tutorial takes the current date/time and returns it in the local time zone. However, for this flow-I'm not using the time, only the date. At 12:52 of this tutorial I'm using the addDays() function to get the date 3 days from today's date. The dynamic content used in this expression is the date that has already been converted to the local time zone. Hope this helps!
I'm setting a payment due date reminder using this video. However, I must have missed something because I seem to get an email for every record regardless of if the date matches today. How can I solve this behavior?
@@namysparkle TY! I missed that step somehow. I got it working. I just wish that Flow ran a little less like a public bus in Florida. Sometimes they seem to run and sometimes they take a while or fail for no good reason it seems. But mostly running well. Especially this flow. Thanks again
I am receiving an error only when I have line items that have an empty date. Not every line item will contain a date... is there a way to filter out and not apply the flow to items that do not contain a date?
Filter out the items without a date. It's always best practice to filter your SP items using the Filter Query in the Get Items action before looping through them. Hope this helps!
@@acreativeopinion I agree, did you every circle back to show how to set up the filter query after you set it to the test ID? How do you get it to search all on the list?
"too complicated" how? While this might sound like something that should be really easy, it's not. I've built many flows like this and most of them are more complicated than what's shown here.
