Shows how to setup the customer defaults, when first using CocoonOPS.
- Settings - My Profile shows that you can add an email signature which will be seen on emails and notifications sent from the system. You can also set up 2FA authentication which we highly recommend. We use as standard Googles 2FA apps.
- Settings - Users - This is where you can new users. Once the user is setup an email will be sent to the user with a link to reset their password. The user password can never been seen in the system and only the user can reset the password. The email address will be your user id. When logging on to CocoonOPS the user field (your email address) is case sensitive.
- Settings - Defaults - this is where you set up the consignment/shipment references, freight item references or movement references. There is short codes which can be copied and pasted form the right hand-side which pulls info such as mode of transport, import/export or date.
- Settings - Documents - this is where you can add branding to the system documents such as quotes and booking confimations. You can also add your address and what you want to be shown in the footer. Plus what you want to show terms wise on AOA and House Bill of Laidings
- Settings - Finance- this is where you set your default currency, tax rate and your financial years. You can also setup quote and invoice references with quote validity and follow notification. You can also set a global payment terms of invoices and also create reference types for credit notes.
- Settings - Exchange Rates. Our system daily imports the 10 ten global currencies, you can set either use the rates based on the interbank exchange rates. You can also adjust currency by percentages globally. If you have to use a different rate on a shipment charge you can override the rates on the shipment.
- Settings - Notifications - we have setup some standard notifications such as booking confirmation, Advice or Notice of Arrival with a date trigger, as well as quotes. You can put in a customer boiler text into the email body for the customer to see.
- Settings - Tasks - This is where you can set tasks for operators to follow when managing a shipment. You can base tasks on rules or milestones based around dates. The rules will who on the users daily task list and some tasks can perform actions. Tasks can be view by managers and other staff, as well as notes and the tasks can be assigned to other operators if required.
- Settings - Operating Hours - this is your operating hours, tasks and other functions will work off these times to perform tasks.
- Settings - Holidays - these are so you can add in bank holidays and other key dates to trigger events or work flows.
- Settings - Consignment Documents this is where you can add what documents you want operators to use. We have some predefined documents such as collections and delivery notes, quotes, invoices, HWB and OBL as well as you will be able to add your own customer documents and templates.
- Settings - Organisation Documents these are import documents you want to be stored against an Organisation within the system such as Insurance documents, Operator Licenses, Hazardous Good Licence etc..
- Settings - Departments - this is a simple list of the department you have within the business. User can be assigned to those departments and also reports can be based of this.
- Settings - Offices - if you have more than one office you can add them into the section.
-Setting - Rates codes - these are the charge you would use for a shipment we have a field for Nominal codes or account codes and then label i.e sea freight.
- Settings - Road Vehicles - this is the types of road vehicles you use or subcontract which can be used for shipments planning.
- Add-ons - our market place where you can integrate with other systems such as CDS - iCustoms AI or Xero or Sage.
