SharePoint permission management is a topic that confuses quite a lot of people and is an aspect of site ownership that can get you into trouble if you don’t understand what you are doing or the associated implications across the site.

This is all great information, but what you did at about 13:10 is something I've seen lead to a LOT of problems. Editing the default permission levels is near the top of my list of "Things you should NEVER do in SharePoint". Custom permission levels are super useful, but I usually create a copy of one of the default levels, then tweak it as needed. The main problem with editing the default level itself is that the effect is "universal" within that site. More often than not, I find people who want these users to have a specific level of access to the data in this list/library, but still have that level of permission to other site content.

Yea absolutely! Editing permissions in any way on a site should be done in a methodical manner based on thought-out requirements. This video is primarily about awareness of what can be done and what options are available for anyone who has some specific access requirements. As I mentioned in the best practice section - point 4... Best to keep it simple and avoid customising permissions if it can be helped... with great power comes great responsibility! Great comment! 🎯

NEVER EVER edit the default permissions. Always make a copy, rename and edit that copy.

Great video! Thanks! Maybe you can pour some light on this one: What about sites linked to a hub site? Do they inherit the permissions from the hub site? Thanks in advance!

Hey there battle_born! They can, yes, but there are limitations. From a Hub site (the actual Hub) you have the option to specify up to 10 'Hub Visitors', which can be individual people or groups. To get this going, go to the settings menu (⚙️), then choose 'Site permissions'. You should see a tab at the top called 'Hub', which contains a toggle 'Sync Hub Permission to associated sites'. Toggle this on and you will see where you can add the Visitors. Note: You have to go to every site associated with the Hub and again, while on it, go to the settings menu of that site (⚙️), then choose 'Site permissions'. Click the 'Hub' tab , and toggle on 'Sync Hub Permission to associated sites'. Once you do this the visitors you set at the Hub will gain access to these sites. Under the covers, a new group has been added to all these sites called 'Hub Visitors' that contains the specified visitors. Hope that helps!

Great video and very helpful. Is it possible to restore the original permissions for the entire site at once, instead of doing it individually for each List/Library?

Hi Jose, apologies for the delayed response! I don't believe there is any way to do this through the UI. Perhaps with Powershell this could be achieved

I’m genuinely surprised that there is no reporting that allows easy auditing of user permissions. Especially when a site has grown over time.
