I’m using a database called Notion and my calendar on my phone. From what I’ve seen some of the CRM tools can be quite costly. My setup works for me, I can keep track of my one off jobs (fascia cleans, pressure washing, gutter clearing) and window cleaning round. When an enquiry comes in I enter the details in my leads section, when they book to have work done, I change the status to a closed lead and add any additional details. Only thing I can’t do is send email campaigns.

I created a job/quote sheet so when enquiries came in I captured all the customers details, if the quote was accepted and the job completed I would ask the customer if they would like to be added to our mailing list. Never underestimate the power of a customer mailing list as it costs nothing (Mailchimp free version is all I use). I send out a mail in January ever year giving my regulars customers their chance to book a slot that suits them before any new enquiries come in. When we get to the latter part of the year and the leaves are falling off the trees I then send out a mail to book in Gutter cleaning jobs. I also send out a couple of other emails throughout the year. If you aren't doing this you are leaving a lot of revenue on the table.

I started with a pen and paper but very quickly started using a strike to schedule and track my round. It takes automatic payments for me and all my customers data is there. Wouldn’t be without it. That saying, I have a notebook in the van and if someone text me or calls or asks me to book something I’ll write it down in the book and then transfer it over to the online system when I get home. Stops me forgetting things and frees my mind during the day.

@@Uncleanablespodcastmy advice to Dan is. Get the CRM up and running from the beginning because moving 200 customer details across is not fun and mistakes can happen.

Dan uses his brain and a notebook at the minute, soon will use something like squeegee, ryan uses a subscription one
