SharePoint has some important and unusual limitations you must be aware of prior to migrating files and folders, and other content to the cloud. None of these limitations are a showstopper - yet, too often, users find out about those limits the hard way - by encountering poor performance and strange error messages. So in this tutorial, I explain the main limits you need to be aware of. These limits will help you design proper Information Architecture and educate your users so they can utilize SharePoint correctly and avoid the limitations in the first place.

The following limits are discussed in this video:
Large Document Library Limit - this one catches many users by surprise. Especially when companies migrate from file shares, network drives, and other cloud DMS. The biggest mistake made by the IT departments is that all the content from a file share is migrated to a single SharePoint site and a single Document Library. While the document library can contain up to 30 million documents (according to Microsoft's official documentation), you should not store more than 100,000K files and folders in a single document library. To mitigate the issue, make sure to create many sites and libraries.
400 Character URL Limit - this is also another common issue when migrating from file shares - users create deep folder hierarchies with long folder names. The total path of a resulting URL in SharePoint cannot exceed 400 characters. Otherwise, users will be presented with an error message. To mitigate the issue, users need to remove some levels of folders, flatten the hierarchy and make folder names shorter.
OneDrive Sync Limit - this is the limit encountered by users when they sync a library locally on their PC using OneDrive Sync. The official limit from Microsoft is 300,000 files and folders across all locations. This included all document libraries as well as the user's OneDrive for Business.
Recycle Bin Limit - the last limit is the limit on the Recycle Bin. Once files and folders are deleted, they end up in the Recycle Bin and stay there for 93 days from the date of deletion. Unless the organization acquired a 3rd party Backup solution, 93 days is all you have to restore content from the Recycle Bin. To mitigate the issue, make sure to set up alerts and deletion policies.
