iCloud is Apple's answer to Google Drive, Microsoft OneDrive and Dropbox but it works a little differently. Here's a stolen lesson from my recently updated Apple Productivity course that should shed some light on what Apple are trying to do.

Thanks Carl. An excellent run through. The other advantage that people don’t get about iCloud - is the availability of your stuff on windows machines. People I worked with ( who used iPads and window machines) - who preferred using Pages but would use Word ( because I can get it on my windows machine!) - never really understood (although I showed them and told them many times!) that you can continue work on Pages or Keynote through the web version on iCloud ( regardless of machine). Thanks for all your work. Appreciated.

But Terry, please help. I just discover that iCloud has 1 profound weakness. Example: At home, I created a Word document on my iPad which I then saved on iCloud Drive. Later, at the office I could access that Word document (via iCloud.com) on my Window desktop and resume working on it. However, afterward I cannot save it back onto iCloud.com (via my PC). It only allows me to save (or Save As) Word document on my PC. Hence, I cannot access back that "modified" Word file on my iPad at home, later that evening. Any solution? 😥

Your channel just popped up in my RU-vid Suggestions, which baffled me because I'm not an iOS user. I tried, twice, then gave up after much frustration, and shipped each device to my sister who is all in with iOS. It made her happy - me, broke! I have been looking at the latest Mini though, mainly because I need something portable, lightweight, and stylus compatible for notes. I'm subscribing now so I can check out your previous posts. I'm keeping my fingers crossed!

Helpful video. Thank you. Would love to see a video on using Files on iPad because I find that it can be very confusing to find things in Files at times for some reason. I have a 200gb iCloud account but still find myself saving things to my smaller Box account just because it seems to work so much easier within apps on the iPad and the desktop PC (which I hardly ever use these days). But maybe it’s just me and I’m missing the something rather obvious?

Wow. Thank you for this video. I’ve recently bought a new computer (Macbook). I’m going through my old files & I’ve noticed I haven’t had the knowledge about how everything with iCloud etc actually works, so this is really helpful! I just have to let the decluttering & organization of the files take some time now I guess since I have so much to go through.

Hello Carl-Thank you so much for the fantastic video. I recently was upgraded to iCloud+, 50 GB, instead of the standard 5GB that is free. TBH, while watching your video I cannot remember the last time I logged onto my iCloud account. Never something I think about 🤷🏽‍♂If you have additional videos about iCloud drive or the newer iCloud+, I would be interested. Great job! 👏🏼

iCloud is my biggest peef with the iPad, or rather the to having a file system that has a file system. I never had much of a problem with organizing files on drives. It is a one time purchase and if you fall on hard times you needn't worry about keeping up with the subscription fees that pile up. Half the app eco system runs on subscription plus iCloud file storage. So running short on money can cripple your ability to access your files and run your apps. Where as you are usually fine for up to five years with not upgrading your hard- and software and still successfully get your tasks done. I guess you have to have had your life turned up side down and really suffered money troubles of the severe kind to permanently stay away from subscription. I just don't know how long I can keep this up, since everything and everyone is moving towards subscription. As for the accessibility in a coffee shop, well I never had the need for it nor would want to. I do enjoy a break a quiet coffee to contemplate.

Thanks for the video. I love iCloud and use it all the time. My difficulty is I have 1000s of documents and need subdirectories within subdirectories so haven’t found a way of using automated saving. Even tags are too few....I’d need about 30.

If you choose for documents to be in icloud but choose not to optimize, my understanding is that documents will be saved both on the computer and on icloud; does that mean you will have 2 documents folders, one in icloud and 1 on the desktop?

When I switched from an iMac to using only a MacBook Pro with 256 GB of hard drive space, I had no choice but to start using cloud services. It was a little scary at first, but you soon get used to it. With iCloud it almost feels like you are still using your hard drive.

Thanks, Carl, esp. for the explanation of the difference between iCloud and Google Drive. May I suggest that a lot of your screen's real estate is taken with the desktop lake view, making it hard to see e.g. at 4:28 min, the details of the Apple ID window. This ID window uses only about one-tenth of your screen and at our end, on a small laptop screen, is very difficult to interpret. I noted that at one point, later in the video, you zoomed in which was helpful.

Good video, thanks for that, Carl. I switched to iCloud Drive about a year ago. My file architecture uses the traditional folder and sub folder structure, but the native iCloud way of making it app-specific is quite interesting. I do like seeing all file types within one folder because I may have forgotten one of them. I have folders representing clients for example, there could be images and scans in there as well as office suite files. I find your Apple-lead productivity videos really helpful.

Does iCloud backup on phone iOS also has encrypted backup option like on iTunes? Or encrypted backups are only performed by computer?

Thanks for sharing awesome information in this video. The problem is I want to pay for only 1 cloud service, I'm already tied to Apple echo system although I find it very difficult to share my iCloud files with other people, so for that I have to pay for 2 cloud services. Google Drive is very good at sharing files and overall I think it's better than iCloud Drive. I hope apple improves iCloud Drive in the future.

Great Video!! I am new to MacBook Air and this helped me. Only problem is what to click to save or not to save to icloud. Any way you could go through each app, like "Preview" to show us what it is in dumb dumb terms so we know what to checkmark or not?? I'm getting that Preview is an imaging app, but do I need to checkmark it for icloud? Etc, Etc....Again, thanks for the free video!!!

Unless you want all your saved images available on all your Apple devices, Preview doesn't really need to be on iCloud. That said, I've turn everything on (you never know when you might need something)

I just have the free 5gb of iCloud which I do not really use but having listened to you I am quite liking the sound of it, especially being able to access all of it on my other devices . 2 TB of space for 9.99 a month sounds good too. I am wondering though how lightroom and its library would fit into this..... any ideas ?

I'm not sure Lightroom would work well with iCloud. You'd be better using Dropbox or Adobe Creative Cloud for that.

With multiple devices and cloud storage services, it's probably better and more convenient to go for iCloud rather than a single device with high storage.

Hi Carl, Wonderfull video. I like to add something if I may. If you have desktop & documents activated on your Mac's e.g. an Imac, an Mac mini and a Macbook Air, and you store a file on the desktop of one of those machines, it will appear on the desktop of the other machines asswell. That can be very handy. As if you work on one computer. However, and that is really fun, I use sticky notes (kind of Post-it notes) a lot on my desktop of my Mac mini, but not on the other computers. It does not put that on the other desktops. Concerning people with nasty comments. Ignore them of just delete their comments if it bothers you. You are making a great contibution to people who want to learn some more. Thank you for that!

@@Carl_Pullein interesting, thanks . I started off with windows even build my own PCfor over 20 years. Now, for the last 4 years, I’ve been all in the Apple ecosystem.

Hi Carl. Great video. Thanks. Question please: does iCloud store items from your laptop that you have deleted by placing in the trash?

Ooh, good question. If you delete them from your Mac, then yes. Stores until you delete the trash. If you do it from iCloud.com, then I believe they disappear eventually.

The most significant use I have for iCloud, other than off-site backup is being able to run Pages and Numbers on my Windows machine. The downside is there is no support for my Android phone. For file sharing with my phone I use Microsoft OneDrive, but there is no syncing of data such as calendar and contacts, that I have between my Apple products.

I have an Office 365 subscription which includes OneDrive. I use Outlook for email, calendar, and contacts. These are all amply sync’d within the Microsoft cloud. As I commented above, if you live within the Apple/iCloud ecosystem you have great benefits and if you live within the Microsoft ecosystem you have pretty much the same benefits. Yes there are differences but overall I think the most important functions are in each - but to easily get the benefits you have to commit to the ecosystem. I use Microsoft for my laptop and business computing (because that’s my company’s standard) and I use an iPhone, iPad, Apple Watch, and Apple TV for personal use. I have integrated them to the extent that I need without much effort with ample backup and synchronization. Today there are many options to suit almost anyone’s tastes. If you choose not to live 100% within Apple’s, Microsoft’s, or Google’s ecosystems you’ll have to do some customization. That’s a 1st-world problem as far as I’m concerned. Having said that, some people enjoy religious wars so I await the inevitable attacks on my opinions.
