Use Flow Builder to Create Roll-Up Summary Fields

Did you know you can use Flow Builder + Process Builder to create Roll-Up Summary fields for objects that are related via lookup?
This short video will show you step-by-step how to populate a "Record Count" field on an Object and create a tally of all the records related to a specific object. All without any custom code!

Considerations: This solution does not run on record delete. This Flow is triggered by a record update or creation, so it would not recount on record delete.

Thanks LeeAnne . From a performance perspective, what do you think is better at large scale - Updating Account Project Count when Project is created (Account.Project_Count__c + 1 formula) via Process Builder OR Looping through existing Projects in Flow?

we don't need loop any more, can can use 'count' on the project list and assign to the account varible.

For everyone looking for a delete solution, the winter 21 release notes look like they have you covered! You will need 2 flows and zero process builders, one flow for create and one for delete. (Advanced users might use a subflow with an input variable to control whether to add or subtract, reducing the need to repeat everything.)

@@vandrade92 you will have to use process builder to invoke an auto launched flow with priorvalue() of the lookup field, and if you're doing a sum, min, or max, you'll need the value of the field from the record that launched the process builder. If you have no Apex in your organization, you may find something like declarative lookup roll-up summary (DLRS) on appexchange is easy to use. (It tends to interact badly with other Apex triggers.)

Hello. I managed to follow this video to create my own flow that would get a count of activity records based on certain criteria. Now i am needing to create a new flow or, preferably, modify the current flow i have to also calculate the duration of each of the events and sum that up in minutes. is this possible? thank you

Great video, but just wondering why the loop is required in order to get the count of projects? At 4 min 40 secs, you are already setting the variable to the total count of project records in one step. Or am I missing something here? I do understand that one would need the loop if you were SUMMING as that would require iteration while using the 'Add' operator. Your debug info on the right hand side also show that the variable is set to 3 and does not change for each of the iterations.

I was able to confirm what you said here. I created a flow with a just a Get Records and Assignment step. It works perfectly. No need for a loop.

Hi there, I've followed this guide to create a roll-up summary field on the Account object to count the number of Projects linked to an Account record via an Account lookup relationship field. I have further added the filters Project Record Type = Delivery and Active = True, since I only want to count the number of Active Delivery Projects linked to an Account. The issue I am facing is that the flow does not deduct 1 from its count when I uncheck the Active checkbox (i.e., when Active = False). Can any one please suggest a work around that can be applied to count the number of Projects, while considering the record type and Boolean value for the Active field?

In winter 21 you can make a flow that runs before a record is deleted. If you need it more immediately you have to use Apex or try to do a full recount via scheduled flow. (You can also as of spring 20 launch a flow from a record update without the process builder they used here.)

The process builder will trigger to often on Projects updates and will not trigger on Projects deletion.

what if instead of counting project count, you have to add up the amount field (if there was any), and show the total in the account page layout???????????

Great video, thanks! How would I use this to find the sum of a field that lives on the related object? We have a custom object “RFP” we use to relate Opportunities to RFPs. I would like to store the sum of the Amount field from all related C/W Opps on the RFP record. How could I modify this flow to sum the Amount field from the related Opps?

Create a number variable to hold your total count, then within the loop, on the assignment step, you "add to" that variable. When all loops are complete your variable will hold the total and you can then use it as you need, for example updating a "total" field on the parent record.

@@AlexisKasperavicius Just to clarify (as was trying to achieve the summing roll up then did your count roll up and I am going back to change it): i dont need to create any new variable (i've already done that), right? I just re-open the assignment, leave the variable as it was, change the operator to add, change the value to current item from loop and add include the field that i want to sum. is that it?

The flow failed to access the value for sumGrants.Donor_Funding__c because it hasn't been set or assigned.

I'm a bit lost about the Account__c field. May I know if it's a text field and how much is the length of it. By the way, thank you for this awesome video. Trying to learn flow :)

The account__c is a lookup so it's value is the ID of the Account of the project. It will always be 18 characters long

We have had many flow based solutions in the past for this use case. The only thing which has always been a problem is that this approach doesn't account for deletion of child records. And the only "full proof" solution for that is to override the delete button with a Visualforce page and the page launches the flow and deletes the record.

@@PankajVithal15 The point is not to use code. Everyone is aware of the fact that we can write an Apex trigger to get the job done. The aim of the following is to create a solution where we can create something without having to use code.

@@JakeHarrispdx When I was working on this, I did find a work around to get account for deletion. What you can do is remove the 'Delete' action from the layout, and create an custom quick action to call a flow which will delete the record. But there is catch to this. It doesn't account for the case when a user deletes the record(child) from the related list. P.S. I even managed to fix the related list deletion issue, but even that is not full proof, why? Because it wasn't accounting for mass deletion.

Narender Singh I’m confused or maybe you are! If you were looking for a no code solution why did you suggest using a Visualforce page. My comment was a reply to your suggestion as I believe if you’re going down the coding path anyway, you’d better use Apex rather than Visualforce. I would like to think that “Everybody knows this” but doesn’t seem like 😁✌️

Yeah, I have the same issue as everybody else. Very cool to be able to do this, but not being able to trigger off of a delete action kind of kills the practical usefulness of this workaround. Sooooo close! The request to be able to trigger off of a deletion action was merged with five other similar requests at least three years ago (based on the oldest comment). With 14,750 votes, this is obviously high demand functionality!

Why not just put the account object in the entry? Then you would already have the global variable for Record and not have to create a variable.
