I'm leading meetings for a small group of 4 people, and agenda, meeting homeworks are set and done, but I just couldn't figure out why the meetings always take much longer, we have amazing productive discussions, brainstorming etc. I think that the parking lot tip is just what we need. It's genius! Thank you so much!

Aahh, precious meetings. These tips all still seem to hold since 2015. I'm just missing the "ask your peers for evaluation" tip. I too ask peers to rate my meetings, and it teaches me a lot. Even if only whether I need to bring donuts or a healthy snack instead...

Very good points, I haven't tried the Donuts part, but it seems pretty cool, haha. Since I have been in lots of meetings, one other thing as a leader of a meeting from my point of view is to analyze the results of the meeting, because it might happen once in a while not to cover all the points or not to accomplish the objective so that it is really important to see where were the mistakes and don't repeat next time.

Well presented and valuable information. Walking meetings are great too as people can be very creative when moving. They tend to be short and one or two topics maximum.

nope allow me to correct you...the most important tip is having a list of topics to be discussed emailed to the attendees 3 days prior...that way the attendees will all have gotten time to think through and come with ideas that are well thought through

Great! I have followed this model to an extent. There are some great insights in here. Use them. If you keep this type of thinking in your back pocket as a back up to your relationship meetings it will always bold well with clients. All clients will benefit from this way of thinking. Adapt it to what works for you. That is the sign of a true businessmen/businesswomen, always adapting and improving. You can always learn something even if its small. keep up the great work "The Distilled Man" I Appreciate the insights.

Thank you. Very helpful tips especially prepping attendees to be prepared with feedback. Already use “prewire” technique but plan to use more to have better meetings.

Great tips! I agree with all of the them including having a published agenda and a clear objective. I have read somewhere that you should spend 2-3 hours of prep for every hour of planned meeting time.

Great video! Do you have suggestions on duration? I ask because my personal limit is half an hour; absolute max is 1 hour - but people keep inviting me for 2-3 hour meetings, and I think they need to break them down to smaller meetings with a smaller scope - and I'm look for evidence / arguments to support that.

Thanks very much for the tips. Apart from the topics covered can you have an video on specifically managing the meetings. most of the time senior folks or dominant members hijack the meeting and don't allow the agenda to flow appropriately. also, due to the their influence they don't allow the purpose of the meeting get satisfied by changing the direction of meetings.

hey, the good move would be to firstly take such discussions off the meeting not to wast the time as you need to stick with the timeframe and agenda. And to record all the conflict questions to get back to them after the meeting and to address all the concerns for finding the best suitable solution.

Lol....I work for an IT consulting firm with onsite offshore nearshore remote workers. And work is extremely fast paced because of deadlines that impact major financial decisions. These tips sound courteous but not practical when things are to move super fast.

How to manage standup meetings effectively?

Oriolez I don't have as much experience with standup meetings, so I'd be curious if any other commenters have any specific tips for you. One thing that comes to mind for standup meetings is to be very strict about your "rules" so you can maintain the speed and shortness of a standup style check-in. You dont want your standup meeting turning into a regular meeting. Many standup meetings are run as "issue based" as in, if you don't have a problem or an issue, there's no need to speak up. Or if you do want to hear from everyone, you can use very specific parameters so each team member keeps it short: like "as quickly as possible, run through (1) what you're working on this week/today, and (2) what you need help with, or what issues/challenges you want to raise to the team."

All and all decent tips, but I am kinda skeptical. Productive en Effective... sounds like "little room for discussion and new insights and ideas" to me? What gives the chairman the idea that he knows it all at forehand, and can "rule" a meeting, just to stay in time and have a main focus on just productiveness? Where is the risk of killing good ideas and people not ventilating what they really think, because thy are shut down with comments like "good idea, we will address that later"? (some people hear that once, and never speak up again). Maybe it's the meeting setting that differs? A meeting with specialists is something else, than a board meeting or a Scrum meeting. Or a Middle Management meeting with, "production managers"? I am surely someone who lives by making good agendas in advance, and sharing them a few days ahead. But still care for an environment for people to speak up. Maybe it's the setting or the type of production environment (creative, technical, ?) that defines the way to organise your meetings best? Again, some of the ideas here are absolutely great, and I will keep them on my list ;)

Erik Leonard, I hear you. This is an art, not a science. The meeting chair is not meant to be a dictator, but one who helps look out for the broader team's interests. Regarding your concern about postponing certain discussions until later, to your point, the key is to ensure that you actually do schedule time to revisit or at least capture and evaluate other ideas that have been brought up. I come from a creative ad agency background, so I understand your concern about wanting to make sure you encourage people to always contribute ideas. you can always set up separate creative brainstorm sessions where the only agenda is to generate as many crazy ideas without evaluating them. Hey Riza, the easiest way to tell if a meeting was effective was if you accomplished what you originally set out to accomplish with the meeting. When you first decide whether the meeting is necessary, you should figure out what you're trying to accomplish. What is the objective? Are you trying to gain consensus on something? Trying to get ideas? Trying to get feedback? etc. If you have a clear idea of why you're holding the meeting, you should have a clear idea of whether it was successful. Hope that helps!

Just moved to another company and my manager really love unnecessary meeting. Seriously, she could spent 2-4 hours (or even more if God permit) just to 'motivate' us. She talks in a very roundabout ways and full of contradiction, honestly the more I listen to her the more I get unmotivated.

Great video! We use something called the 'parking lot technique' during meetings, which we've found to be quite useful. The parking lot technique is great for keeping on track and on time during your meetings. Here's how it works: Start by explaining to your team members that you only have a set amount of time for the meeting so you will be sticking to the meeting agenda and each agenda item very literally. Avoid deviations from the meeting agenda items by asking participants to write their talking points at the bottom of the agenda (the “parking lot”) instead of interrupting others. It works great for us!

Good video but I do not agree with the donut thing though. It is an easy unhealthy way to win people over rather than promote good nutrition/ living. I wouldn't take the donut on a meeting and then what? You would need to come up with more creative, real ways to create a positive vibe lol
