DON’T manually look up items in a SharePoint List. Get your Power Virtual Agents chatbot to do it for you instead.
If you aren’t familiar with creating topics in Power Virtual Agents-watch THIS VIDEO FIRST: • 🤖 CREATE A CHATBOT for...
There are so many use cases for adding functionality to your chatbot to retrieve data from a SharePoint list:
⭐ Project status
⭐ Order status
⭐ Sick day count
⭐ Vacation days left
⭐ Amount left in a campaign budget
⭐ Employee information
⭐ Inventory
⭐ …. and more!
Remember that you can add your chatbot to Microsoft Teams and have a one-on-one chat with it or add it to any team!

ADDITIONAL INSIGHTS:
The ** around the text you’d like bolded must be added in Power Automate. Power Virtual Agents will ignore your text markdown.
Values being return from your Power Automate flow back into Power Virtual agents cannot be within an Apply to Each action-which is why I used a compose action to pull the value out of the Apply to each action.

I have a list on sharepoint with a summary of what various things mean. Ex: setup - definition of what setup is. I would like that when people search for a concept in power virtual agents, the explanation present in sharepoint would be sent by the bot, without the need to create trigger by trigger. It is possible?

hello! the flow is working but a person has to write exactly what is on the sharepoint list for a response to come. Isn't there a way to establish a "like" to search for items in the list without the requester having to write exactly the same?

a bit late to this video but im getting an error. Once i say employee id as the trigger it then says "to continue, please login" with a login button. I click it and it gives the following error: AADSTS700016: Application with identifier 'd1195a78-d09c-44ac-bb82-ef30db02270f' was not found in the directory 'MSFT'. This can happen if the application has not been installed by the administrator of the tenant or consented to by any user in the tenant. You may have sent your authentication request to the wrong tenant. Anyone have any ideas as to why its doing this?

I am interested in seeing if I can say "What John's current employee status?" from a SharePoint List instead of typing employee id or Microsoft ID/Email. :)

You can achieve this by using the Search for Users (V2) action. However, it will only search for information that is available in your org's directory. If you have multiple user with the name "John" it will return all users who have "John" in the following fields: - User Principal Name (UPN) - Display Name - Given Name (first name) - Surname (last name) - Email Address

I have list which has two column - 1. Team Name and 2. POC name. How i can get the POC for a particular team in PVA? For eg: If i type - 'Team A', i should get POC name for Team A in the list, how i can filter the list based on user input in chatbot??
@acreativeopinion
@acreativeopinion Год назад
You could use the Question box in PVA and select User's entire response. You can then use the response to filter out the items from the Get Items action. However, it's important to note that in the Get Items filter query, there isn't a 'contains' operator. Which means that if the user doesn't enter the Team name exactly as it appears in your list, it will not return any results. You can add a Filter Array action to filter out the items from your Get Items action as it does offer the the 'contains' operator.

Is it possible to use this to track inventory? I am having a hard time plugging our sharepoint list with this. The list contains a material number and amount available.

Can PVA also return documents ? or links to a document ?
@acreativeopinion
@acreativeopinion Год назад
Hi there! Yes you should be able to have PVA return a link to a document. However the solution will all depend on how you are expecting the user to interact with PVA. Will you be providing a list of documents to select from or are you looking for a way to allow users to use PVA to type in keywords and return a document based on that. Returning a link to a document based on keywords would be more challenging as it would depend on where the document(s) are stored and whether or not you want the PVA to search multiple SharePoint sites or a single SharePoint site. This is because a Document Library must be specified in the Get Files (Properties Only) action. The easiest solution (I think) would be to provide a list of documents to choose from and then returning a link that way. Hope this helps!

Can you be a bit more specific about the errors you are receiving?

@@acreativeopinion i think i did not setup the workflow properly the error is : Sorry, the bot can't talk for a while. It's something the bot's owner needs to address. Error code: 3000 : here the example im trying to setup: Example: Column A is username: Column B is user password i want the Bot to check the Column A against the Bot Display name and return the Column B to the Bot to display in a message. it will be great if you can provide me with the syntax or a short video :)

That's the error you receive in Power Virtual Agents. You need to review your Power Automate flow and see what the issue with your flow is. It's hard to troubleshoot without knowing what the Power Automate error is.

How can it be secured to only fetch information that is only relevant to the user? "Example: What is the available Annual Leave balance for X employee-ID" Basically, it shouldn't return any data if the email was different from the current employee that asked the question.

You need to insert a text input to the Power Virtual Agents trigger. This will be used to get the User ID from PA. Name your text field something like "User ID" and insert placeholder text into the text field. Then add a Get User Profile (V2) action. Insert the output from the text input action from the trigger. From the Get User Profile (V2) action you will be able to retrieve the User's email address. You should have a Person column in your SharePoint list where you assign a SharePoint item to a User. In your Get Items action, you can filter based on the User's email address and return only the item or items that the User has been assigned to. Back in PA it will require you to specify where the User ID value is coming from. By default PA already stores the User's ID and Display Name as a variable. In the Action, choose bot.UserId for the value returned to Power Automate. Hope this helps!
