FlowBites: Using the SharePoint Term Store

Hi everyone, and welcome to FlowBites, my bite size Power Automate tutorial series.
Tagging content within SharePoint is paramount to successful and organised document management. One tool in our tagging toolkit is Managed Metadata, tags which can be globally used, and centrally managed from the SharePoint Term Store.
Working with this type of field from Power Automate, however, isn't that clear cut. If we just put straight forward text, then we will get an error:
"The data returned from the tagging UI was not formatted correctly"
We have to work a little bit harder, and ask the Term Store for the ID of the term as well as the label:
LABEL|TERM ID
To do that we are going to query SharePoint using a HTTP request with the following URI:
_api/v2.1/termStore/groups/[TERMGROUPID]/sets/[TERMSETID]/terms
Once we query that REST endpoint, we can get everything we need to dynamically tag content, using Managed Metadata, from within Power Automate.

Thanks. for covering that Matt, not an easy one. Just another glaring gap Microsoft should address. Very much like managing item permissions, creation of lists and managing document sets. Every time you have to go to the SharePoint http connector you feel like there is a gap to be filled or you are trying to do something that Powerautomate was not designed to do. Though some of those things are pretty common.

Yes I completely agree. Hopefully once the rest of the termstore integration is modernised this will become much easier. The annoying thing is, once you've used the term once, there's a hidden taxonomy list stored on the site which I can happily interrogate to find the key info, but unless the term has already been used it's not there!

Nice video. Do you have any suggestions for building an hierarchy of terms from this technique? It's a pity there isn't a value for path or parent/id.

sadly not working for me, not coming further than 15:00. sticking at the part with body expression with output(), supposed to be forbidden nowadays. giving me errors back. output('Send HTTP .....')?['body']?['value']. - > ERROR

This is a super PA. Only one Caveat. If my Term set is over 5000 items, what can I do?

Thanks you for the content ! i have a question for you : i have a term group -> i have my term group > i have many term set -> in my term set, i have many term, but i have for many term a new branch of term eg : term group GROUP TERM NAME > term set DOCUMENT METADATA > term A > term A1 > term A2 > term A3 > term B > term B1 > term B2 > term C > term C1 > term C2 With the call API, i get ALL terms. But you how can i retrieve only the terms in term A ? Thanks for you !

Hi, is it possible to delete the current items in a term store once a SharePoint list item is modified?

Awesome again. Complex yes.. A question on the parse of the returned data.. To prevent returning all data could you not pass into the http call something like? Select['Id'], ['name'] where ['name'] matches or == to the form choice? Very much like you would do with Powershell select-object where command? That way you should only ever return one set of I'd, name. Meaning no looping through all values returned in an array and speeding up the whole process? Might not be possible but figure if it is you would know how to do it :)

Hello, thank you for the video this is very useful and understandable and it's exactly what I need. But I have a problem with the API since 11:30 when I test it as you do, I got this error - Unexpected response from the service clientRequestId: 984cc7f7-59dd-4420-8230-d042c5588864 serviceRequestId: a707f19f-a009-c000-7508-128edec78063 Actually what I need to do is get the terms from local term set, and I thought that maybe I need to change something in the api for example grab the unique id about Site Collection before the id's about term group and term set but I couldn't find any reliable api. So I tried again with term group and term set that are global just to test if that is the problem, but I got the same error. Any idea how to fix this? Thank you in advance
