This tutorial will show you how to copy and paste from an Excel Spreadsheet to a SharePoint Online List. Specifically, this tutorial will show you how you can copy paste from excel to a SharePoint list using the quick edit function. Using the quick edit function, you can copy and paste items from excel to your SharePoint list effortlessly to save time on data entry. Quick edit is also sometimes referred to as the SharePoint datasheet view which lets you operate on your data in a tabular format.

When I control V, it is putting ALL the table data in that first field instead of spreading out the data to the appropriate fields.

Hi Michael, this may happen from time to time. To avoid this, you want to make sure that you are just selecting the first field and not clicking into it while in quick edit. If you view the 5:33 mark of the video, you can see my cursor clicks on the cell to select it but not into it. I hope this helps! Thanks for watching!

@@LuiIacobellis That's the most important trick. I had many issues with this sequence of keys. It would ideal if you can explain it in detail. Do you click where? What happens if you click on the radio option before you paste? I tell you, it has been a struggle to show users how to do this properly. Your video just needs to highlight that better.

@@LuiIacobellis I figured out my mistake from the original post, but now the first line of the paste has an error- "There was a problem validating data." And all the date matches line 2 and below...

So sorry for missing this comment. The copy and paste does not work if you have line breaks in Excel cells. This is most likely your issue.

I’ve tried this multiple times and my excel data will not cleanly paste into MS list. Not sure what I’m doing wrong but still trying!

Hi Carlos, that sounds like your person column was set to enforce unique values which means you would not be able to list a person twice in any of the items. If that is not the case, then it may be an issue with the person / account that you're trying to select. Hope this helps!

Is there a way to paste and keep formatting (bold, italic, etc) without having to do one cell at a time? If I paste an entire column the formatting is removed.

At this time, there is no support for retaining formatting unfortunately

You want to try and select the first field and ensure you do not click into so as to edit its content, it's a bit finicky

Totally off-topic, but do you have an idea how to copy data from an Excel spreadsheet into an MS Access database that is published in Sharepoint?

Hi Joma, You should be able to copy the data directly into access if your spreadsheet columns align with your access database exactly. Specifically, this means the column data types in your spreadsheet have to match the access database in terms of order. You could click into the table in Acess and paste in values. Alternatively, you can click on External Data tab in Access and click new data source and select from File. There is an Excel option which would let you import the data. Hope this helps!

Updating a single fields value in a list can only be done by one user at a time. Multiple people can be editing a list item at the same time provided this default behaviour hasn't been changed in SharePoint. Hope this helps and thanks for watching

Hi Lui, this copy-paste trick only works in Internet explorer. It doesn't work in any other browser. Is there any solution?

Hi Sukesh. That is not accurate. Copying & pasting from a spreadsheet to a SharePoint Online list can be done using Microsoft Edge, or Chrome. As you can see in the tutorial, I'm accessing the list using Microsoft Edge. If you are using an older version of SharePoint (i.e. 2016 or earlier) than unfortunately, you can only use Internet Explorer. Hope this helps!

Thank you Lui! I'm so glad not to be reverting back to Internet Explorer to accomplish this. I could not even sign onto sharepoint from IE any more! When I first tried pasting in the edit in gridview mode, all the rows from the spreadsheet ended up in the first cell (same old problem). But since you showed that this works and in your sample some data was already in the list, i tried adding a 1st record in the list and then when i did the paste in the 2nd row cell it worked like a charm. Thank you! Thinking maybe my issue was that I only have one column in my list (its a lookup)

Hi Lynn, totally agree with your comments about Internet Explorer. I'm glad you resolved the issue. Copying & pasting from Excel to SharePoint can be tricky at times. When you select the cell you want to paste into, you want to make sure to just select the cell (in the SharePoint list) but not click into it. That should help ensure it pastes correctly.
