This SharePoint Online tutorial will demonstrate how to create a document approval workflow in SharePoint. Specifically, it will demonstrate how to create a document approval process in SharePoint and how to create a document approval workflow in SharePoint online. The SharePoint document approval workflow outlined in this video, allows users to create SharePoint document approval workflow multiple approvers, using out of the box functionality. Within a SharePoint Online document library, users can instantly send a file to multiple approvers for review and approval. This feature is facilitated through an embedded Microsoft Power Automate workflow that was added directly to the SharePoint online interface.
When this SharePoint document approval workflow power automate is executed for the first time, it will also add a status column to the document library to enable users to see the status of the approval request. Unfortunately, this SharePoint document approval power automate, does not display the workflow instance in the Microsoft Power Automate site meaning you cannot view executions in Power Automate directly. This SharePoint document approval flow is a great way to eliminate email approval requests and to allow any user to create centralized approval workflow in SharePoint Online. It's a pretty useful demo of the workflow feature in SharePoint, but I think it's a little more confusing than needed because he's also pitching the WalkMe Digital product at the same time...

Thanks for the video. I have similar question. Just to clarify, It looks like what you showed is meant to be a one time approval process, is that correct? So if there were 100 documents that needed approval (using your technique), you would have to do this 100 times?

Hi there, yes this method is entirely manual and user-driven. If you are looking for a more automated approval flow - you'd need to create one in Power Automate. Hi, if I download the file, how do I know if it is already approved? Can we put some signature or name/time stamp on the document? Thanks!

Hi there, this workflow doesn't actually modify the file content and thus it will not provide any indication that the file has been approved. This could be done in a number of ways including using a third party e-signature solution, modifying the file name after approval etc hope this helpsn

Using this method, users would need to initiate a flow manually. Alternatively, you can create a workflow directly in Microsoft Power Automate that triggers based on a change in metadata or when a file is uploaded. Hope this helps and thanks for watching!

Hi there, this doesn't require any setup. It is available by default if you have the Microsoft Approvals app enabled in your Microsoft environment then this should be available. Hope this helps and thanks for watching
