Very helpful! Thanks for sharing! I have two questions: (1) Why aren't the IDs assigned in consecutive order (i.e., in the order in which the original documents are displayed)?; (2) If you assign a prefix and then change your mind, can you change it again? Again, many thanks 👍
Hey, Firstly great video - thank you for the guide. Secondly I have a document library where I have enabled "ID" for the documents but notice when I move the files from one library to another the ID changes. So I am hoping Document ID will be the answer to my issue here. My question is: Whats the difference between ID and Document ID? Thanks
Thank you -- helpful information as I am migrating content that is syncing to a 3rd party software and must retain the document ID to avoid losing that connection. Document ID feature was turned off in my source & destination site collections.
Hi Maven, Thanks for the great video. My question is, how to reduce the document id number, I feel it is too big. Can we have a 5 digits number instead? Is it possible to reduce?
Hi great video! Any idea how you can set document IDs per documentSet or normal document content type? To have unique identifiers per document/documentSet? Thanks in advance!
Hi Celina, most likely - NO - I think it has to do with the version of MS Office which is different for Mac from the PC version. I am not a MAC guy, but I suspect this is the case - maybe someone else can confirm.
Thanks for the good video! I found several helpful article publicized by you. Very helpful! Also thanks for that! I activated the document ID feature, the same way you described it here. But after 3 days only a few document IDs are available. it seems only new or recently edited files get a document ID. Any idea how to investigate this? Any log file that provide a deeper view into this?
Thanks for the instructions. Very helpful. I just enabled Document ID Service in my site collection and uploaded a document. It generated a document ID but when I copied the link via the ellipsis, I don't see the document ID as part of the URL. Do I need to wait 24 hours before SharePoint makes this change in the 'Copy link' option? Also, I have a report and planning on creating links within it that points to various documents in the same document library. If those documents get moved to another document library in the same site, will the links in the report break? What if the documents are moved into another site collection? I know you mentioned that the document ID will be preserved but I'm not sure if the links will still work in the report. Thanks!
Any moves within the same site (collection) shall retain the URL - but like with everything - I suggest you test first. After all, Doc ID is a legacy feature
I have the document id feature setup, however sharing a link to the document is using the absolute path rather than the document id and if i move the document the link is broken. Is there another feature in Sharepoint when enabled that may break the feature, thks Dale
@@SharePointMaven one of the downsides to a constantly evolving platform I guess, old features making way for new. Thanks for the response I will have to get creative and find some other solution
For some reason I don't see the Document ID Value field in the Quick Parts Document Property list. Have you encountered that before? If so, any idea how to enable it?
Hello. I read your articule in the link and configured the sharepoint site as you described. It worked fine. I made an external app tha use sharepoint APIS. This APP upload the file to sharepoint, takes the document-id and stores it in de APP-Database. Then it can retrieve the document whenever it takes. I have to say that the site had only the default document library: "documents". Now I have to put this in production but the new site have more than 20 document libraries. Well, when I do the steps, the document ID doesn't appear for selecting in the all documents view. Even when I shearch it with the API that retrieves the document ID, it doesn't. I have read on internet that when the prefix is blank, probably the document id service activation didn't work. Also I read than large sites as those with more than 20 document libraries, could have problems. Do you have any ideas for workaround this issue. I was really excited because the funcionality is awesome, but now, I feel that i will have to throw the work away... thanks for your time.
I turned on the feature and it says activated and I did the prefix configuration but when I go to edit the view and add the documentID tab not seeing it listed
Make sure you edit the view via a classic interface, not modern. Step 3 on this article: sharepointmaven.com/how-to-track-documents-in-sharepoint-using-document-id-feature/
Our data is stored in a communication website which also has been transformed into the root site. It is not a site collection however. There is only one site collection in our system that that is the previous root site. Enabling the feature there does not enable it in the other websites. How can I get the document ID feature for non-site-collection sites that are not connected to a site collection? I have tried so many approaches already…
Each modern site is its own site collection, so you have to enable Doc ID on each site separately. Enabling it on the root will only enable it on the root
@@SharePointMaven Thank you. I did change the name but int the video you have multiple document names. I only see a way to change the prefix once. In the video you have ADMIN docs AND you have COMPL. How do you have both? Site collection applies to all sites, so I don't understand how you have two.
@@parkerfasteners2067 I believe in that case I moved the docs from another site collection to this one and Doc ID was kept from the original site collection
@@SharePointMaven Oh! Darn, I was hoping for a way to have multiple prefixes for difference document sets. I only have one SharePoint site. If you figure out another way please post! Thanks.
I can enable the service and IDs are created but I cannot figure out how to display the Document ID as a column. It is not available in "+Add column" or "Show/hide columns" or Library Settings, "Add from existing site columns". I tried googling, but cannot figure this out. It's been a couple of days since I enabled the service. Any ideas?
Document ID won't be available under Show/Hide columns. It is a classic feature. In the View drop-down (under All Documents), choose Edit this view. Then select the check box next to Document ID column from there. Click Save
It is disappointing that the document id prefix is applying to the whole site collection instead of document library level. It would be actually useful if different libraries can have a different prefix.
This was very helpful, so thanks for this. It looks like with 365 you don't need to prefix the search anymore with dlcdocid: which is great. What I did find out is that you can use wildcards to some degree i.e., using the "*" after the first 3 digits; however, this does not seem to work with the middle digits, even if you add another "*" before them. Would love to hear your thoughts on this.
The Doc ID is a legacy feature not used often anymore, so the way it works and functions is probably how it will be and don't we can adjust this unless Microsoft totally revamps it.
