Good information. I do use email on my phone, with notifications turned off. However I only check it once a day, for less then 30 seconds. I check it in the morning before walking in the door, to work. That way I have a good idea what is happening, before I get to my desk.

Hi Tom I am convinced that you are right in organizing your daily email processing as you show in this very clear video. Since years I try to apply a similar method or attitude with more or less success especially at work where we use Outlook only with a minimum of external tools for security reasons; I try to organize tasks inside outlook and info inside OneNote . Curiously I am more “organized” at home around the Apple echo system with Gmail, Apple Reminder which is available on all devices and Google keep which is a very convenient tool to keep track of short info of any kind and synchronize on all devices I will try to reduce the number of notifications which actually are incredibly distracting and time consuming. Thanks for this video which shows me I am not the only one trying to master the “email dictature” 🙂

Thanks Eric for taking time to write this detailed comment and sharing your personal experiences with us! There are a few more things I missed to mention in the video. Let’s don’t forget the snooze function to postpone emails to a later day and think about adding the way you process emails as an information to your email signatures, so people know that they cannot expect instant replied via email. 😉👍

Hi Tom, thank you for yet another fabulous tutorial! I recently requested you to do a video on Trello. It seems like it would be a great choice instead of using both Todoist and Asana. Trello would cover both your personal and team tasks. What I like most about Trello and Keep is that they make it easy to add images. I used to use ToDoist, but completely stopped using it after discovering the power of Keep and Trello. ToDoist feels too dry. I'm very visual. I feel more engaged and feel like I can scan tasks quicker with images. I also love the drop and drag features of Trello, plus the tasks easily integrate with Google calendar when you use a power up. I'd love to hear more details on how you decide where to put tasks on Keep vs ToDoist. Thank you!

Asana offers Kanban like Trello does but much more like timelines (Gantt) and portfolios. They are just about to release resource planning too. Todoist is solely a tick off list for my personal use. Google Keep is great to keep things in mind short-term. However, the tools are so diverse and there is always tool for certain situations. In my case in that area as a teamlead I go best with Asana to organize the team.

I think this time should be used to calm down and let your mind wander a little bit instead of keeping your brain busy without any stop. It was normal not long ago that people just sit and had a thought or two instead of dragging their thoughts away by doing this. Also, I don’t like to have that picture in mind a long line of people all starring at their mobile phones. The worst thing that happens more frequently now, are cashiers checking their phone while I am paying by card. This makes me sad. But this is personal opinion.

You did not explain what you do once you create a task in todist from an email. Do you also archive the mail then?

Yes! I archive it so it is out of the inbox. Thanks to the link that is created in ToDoist, it will open up the email again, even when it's archived!
