This has been one of the most helpful tutorials on project management within teams. I’ve been overhauling our current setup, trying to map out everything and spinning in circles. Really good tips Deshon. I'm trying to get our org using Teams efficiently for projects and I've picked up some gems from this. Using a separate chat for back and forth and then website tab to link to the document library 👌🏽 so subtle but I can see it working so well

I love the chat module...sometimes 2 team members can really get chatty filling up the team chat with noise. Using the chat module as a side-bar is really useful ...thanks again for watching

DeShon - Great Video. BTW - change "Group by buckets" to "Group by labels" and then you can rename all of your labels without adding them to a task.

i thought i was great at teams, i love planner, i really struggle with lists, im trying forms now instead of lists. i learnt a lot from your video especially with hiding directories and controlling access. Thank you!

DeShon Clark is this content current? It says it is from a year ago. Has anything significant changed? Do you have a newer video? I am a project manager using Teams for my application and infrastructure projects. Currently trying to figure out how to get vendor access setup on a Teams channel that was already created. I am also trying to find the best way to track UAT testing in our Teams Site. This is the best video I have found so far on the topic and I have seen a lot! Thank you!

hey Danielle, this is still relevant today. I do need to post an updated video with the latest tips and tricks, but it will just "add" to this content. As far as external sharing (sharing the team with external vendors, clients, etc...) this would need to be enabled by your IT admin. I find tracking UAT and Issue Tracking best suited using a SharePoint list...and just embed the list within the MS Teams channel, understanding the context-switching is a productivity killer

@@DeShonClark yes! we are struggling because we have people working all across the globe and do not have the time to manually add everyone's calendar to a different group each time. I cannot make the shared/group calendar work z.z

Great video. Thank you. How would you suggest organising a large number of projects? My thoughts are to make the client name the team name, then make the channels under that team be the individual project. The Team owners would be the various PMs for the projects under that team name.

I've done exactly what you mentioned with a Microsoft team per client and then a channel per project. This seemed to work out fine the only concern is make sure you have a great archiving process in place.

Great vdo, topics covered are definitely used in real scenario. @5:34 u selected sharing type that is for internal to your org thats y it failed. ur external sharing policy was already set correctly Sharing type Specific people should be selected when u want to share with External user

Great tutorial. We use channels amd conversations in the channels. Is there a way to delete or archive a conversation once it’s no longer needed?

I guess you can use a Power Automate to delete old messages after a certain age, or for an org wide solution, maybe look at retention policies in the security and compliance center. Just not sure if you can set a retention schedule for MS Teams messages, worth a look...also worth noting the messages are stored in the shared mailbox for the MS Team, this may be needed when setting up retention schedules if they are limited to OneDrive, SharePoint and Exchange...keep me posted on how this goes

Ah! Very good question...this would require a little bit of customization...maybe you can get a visual using power apps...you can use power automate to gather all channels, and then power apps to display in a cool way. I'll look into it...very interesting

Hi 👋🏽 You video was great! My company has turned off the feature or maybe the email feature is no longer available. The message that I got when trying to setup the Site Mailbox. Consider using Office 365 Groups to connect a team site with an email conversation.

Hi, great video I learned a lot of tips for my projects. A question, ¿ why create a group chat with the engineers? Is not better to create a private channel, and chat inside this channel, where you can have conversations, files and more?. Thanks

In this scenario, where I wanted to keep the files centralize and not create confusion with yet another files structure, and tabs that come with a private channel, the chat group seems to be a better choice. Also, it is a repeatable pattern, as it may be engineers today, and possibly business analyst another day. Over time, it can be any combination of team members...especially with larger project teams. The chat groups seems to separate the conversation from the project structure, and gives you more flexibility in the event you had to bring someone in outside of the project team (without having to add them to the overall team....hope this helps

Hi I am looking some kind of setup to manage around 250+ projects and each project has only few deliverables but project will go years etc. how do I track in teams, planner or lists etc... your help is much appreciated.

Hi! Managing 250 projects can be a complex task, but Microsoft Teams provides some great tools to help you track and organize your projects. First, you can use Planner to create separate boards for each project. Within each board, you can create tasks, assign them to team members, set due dates, and track progress. This will allow you to have a clear overview of all your projects and their deliverables. Additionally, you can utilize Lists in Microsoft Teams to create custom trackers for each project. Lists allow you to create columns and customize views to track different aspects of your projects, such as key dates, milestones, or project status. Remember to establish a consistent naming convention and folder structure to keep your projects organized. This will make it easier to navigate and find specific projects when needed. I have a core team that is responsible for multiple projects at multiple clients and sites. I prefer not to set up multiple teams. I can set up each project as a private Channel on the Team site but then I don't have the ability to add "sub-channels" so that I can break out into General, and more specific channels. Are there any plans for MS Teams to allow sub-channels? Any other ideas on how to do this?

Thanks for watching....so far sounds like the channels will continue to be one level, but they do have other types of channels coming. May want to consider multiple teams for the various projects with the same client. Use libraries to share the common files between the various teams (using SharePoint cloud storage feature)...hope this helps

Have you done anything with portfolio management? Rolling status of up many projects? Planner is great, but I have leadership wanting to roll it all up in a list....they want "Project, but to not manually copy everything into Project or ask everyone to use Project and stop using Planner.

How do you sync the sharepoint new calendar, that is added to teams as a tab / list, to Outlook?

Thanks for watching, this modern generic list does not sync the calendar view with Outlook. You will have to use the events list which is a classic calendar, that calendar will sync with Outlook.
